Demo to Quaystead's data and client services staff. They want contract terms and job tickets in one place. Tom Ashdown quoted Starter at £19,500 with a £6,000 implementation, and a proposal was promised.

What happened: Hannah Lowe demoed chat, search and dashboards on sample data, joining jobs to contract terms. Luke Oakes said his team keeps switching between a contracts system and a job tickets system.

Customer view: Emma Haworth pressed on same-day freshness and permissions, and Ian Fairclough asked what happens if a refresh fails. Luke said the proposed timeline suits them.

Commercial: Tom quoted Starter at £19,500 a year with 15 licensed users, plus £6,000 implementation over about four weeks. Role-based access sits in the higher tiers, which is a possible upgrade lever.

Watch: Hannah answered the refresh-failure question with a fix within four business hours. The Starter commitment is a four-business-hour first response, so that wording may set too strong an expectation. The evidence does not show who signs.

Follow-up

Next steps

Current to 9 Oct 26
  • Tom Ashdown sends the proposal promised on the call.
  • Hannah Lowe clarifies the Starter first-response commitment in writing.
  • Tom confirms who at Quaystead approves the purchase.

Risks

Current to 9 Oct 26
  • The four-business-hour fix wording may be read as a repair commitment, when Starter promises a first response.
  • Starter gives everyone access to everything, which may not satisfy Emma's permissions question.
  • The evidence does not show who signs, so the buyer is unconfirmed.

Opportunities

Current to 9 Oct 26
  • Role-based access in a higher tier answers the permissions question.
  • Four connectors may be fully used by contracts, jobs, CRM and accounting, so extra connectors are a likely add-on.

Hi everyone, thanks for taking the time. This is Hannah from our team: she runs all our demos and security reviews, so she'll walk you through what the brain can do with your data. Luke, what would you most like to see today?
  2. Luke Oakes
    Luke Oakes None
Mainly, we have customer contracts in one system and job tickets in another, and we're constantly switching between them. We want to see if your platform can bring those together.
  3. Hannah Lowe
    Hannah Lowe None
That's exactly what we're built for. The short answer is yes, absolutely. The longer answer is: we pull data from all your systems into a unified layer inside your Snowflake account, and then you can ask questions across all of them at once. So a question like, 'Show me all jobs for this customer and their contract terms', you just ask the brain and it pulls it together instantly.
  4. Emma Haworth
    Emma Haworth None
Instantly? Even if the data was just updated in one of the systems?
  5. Hannah Lowe
    Hannah Lowe None
Good question. The data refreshes every night, completed by morning. So if something changes in your systems during the day, you'll see it the next morning. That means you're never more than a day behind.
  6. Ian Fairclough
    Ian Fairclough None
And is that reliable? I mean, what if a refresh fails?
  7. Hannah Lowe
    Hannah Lowe None
We commit to 99.5% availability, which means if something does go wrong, we catch it and fix it within four business hours. For a Starter plan, that's the service level. We also have higher tiers with faster response times if that matters to you later on.
  8. Luke Oakes
    Luke Oakes None
Okay. So walk me through the actual interface. How do I query the brain?
  9. Hannah Lowe
    Hannah Lowe None
So there are a few ways. The main one is chat: you just type a question in plain English, and the brain answers it. You can also use search to filter and browse data, or build dashboards if you want to track something over time. Let me show you on my screen.
  10. Hannah Lowe

So this is a demo setup with some sample data. If I ask 'What jobs do we have for customer ABC?' it pulls back a list. Then I can click into a job and see the contract terms for that customer right there alongside it. Before, you'd have to open two systems and cross-reference manually.
  11. Emma Haworth
    Emma Haworth None
That's useful. What about permissions? Can we lock certain data down for different users?
  12. Hannah Lowe
    Hannah Lowe None
On Starter, everyone who has a licence has access to everything. If you need role-based access control, say, only certain people can see financial data, that's available in our higher tiers. But for most teams on Starter, a shared view works well.
  13. Luke Oakes
    Luke Oakes None
Okay, and how much data are we talking about? We've got thousands of contracts and tens of thousands of jobs.
  14. Hannah Lowe
    Hannah Lowe None
Starter supports up to 4 connectors: so you could bring in your contracts system, your jobs system, your CRM, and say your accounting platform. Within that, there's no hard limit on records. Refresh takes time if it's very large, but it's all handled overnight.
  15. Tom Ashdown

And from a commercial point of view, Starter is £19,500 a year, with 15 licensed users. Implementation is £6,000, takes about four weeks. We'd handle all the setup and mapping, and hand you over ready to go.
  16. Ian Fairclough
    Ian Fairclough None
And what happens if we want to add more users or bring in more systems later?
  17. Hannah Lowe
    Hannah Lowe None
You can add more users anytime, additional packs of 10. And you can add more connectors, you get 4 on Starter, you can add 5 more if you need to. Those are add-ons, priced separately. Mid-contract, you'd pay pro-rata.
  18. Luke Oakes
    Luke Oakes None
Right. And how does onboarding work? Would we need to do anything on our end?
  19. Hannah Lowe
    Hannah Lowe None
Our implementation team will own most of it. We need API credentials for each system you want to connect, and you'll need to give us a bit of time to map your fields, that's usually the longest part. Once we've got that, we run the first load and then hand over to your team. Normally four weeks from kickoff to go-live.
  20. Tom Ashdown
    Tom Ashdown None
And we'd run you through training on the actual platform: how to search, ask questions, build dashboards if you want. That's all part of the implementation.
  21. Emma Haworth
    Emma Haworth None
That sounds pretty smooth, actually. What happens after you hand over? Do we get support?
  22. Hannah Lowe
    Hannah Lowe None
Yeah, you get standard support, ticket-based, four business hour response time. If you find issues or have questions, you log a ticket and we get back to you. You can also reach out to your success manager anytime.
  23. Luke Oakes
    Luke Oakes None
Okay. I think that covers most of it for now. We need to digest this and chat internally. What's the next step?
  24. Tom Ashdown
    Tom Ashdown None
I'll send you a proposal. We're thinking you'd go live early in the new year, so the proposal timeline is: we've got a few weeks to review, and if you want to move forward, we'd get something signed by the middle of December. Sound fair?
  25. Luke Oakes
    Luke Oakes None
Yeah, that works. We're moving fairly quickly on this, so that timeline suits us.
  26. Tom Ashdown
    Tom Ashdown None
Perfect. I'll get that out to you by end of next week. If you have any other questions before then, Hannah and I are both happy to chat.

Data as of Fri 9 Oct 2026. Text marked AI was written by the brain from the records listed in its made-from link; an AI output that cannot cite its evidence is refused and the previous text kept. Where two systems disagree (for example a contract and the CRM), the key facts show both values and mark the difference.
