What this says
Current to 11 Oct 26Renewal call on 17 Nov 2025. Tom Ashdown proposed Growth on the same terms at £39,600. Simon Ashworth asked to drop the unused seats and the break position. He will decide after a written note, with settlement aimed before 8 Dec 2025.
What happened: Tom Ashdown proposed renewing Growth on the same terms at £39,600 a year. Simon Ashworth, the Chief Operating Officer, asked to drop the user count because the company is not using forty.
Customer view: Simon found the time saving believable but questioned whether the company is overpaying for seats. Diane Cropper, Finance Manager, said invoices have been paid on time and asked for notice of any change.
Commercial: Tom said Growth is a package, so fewer users would not bring the price down much, and offered Starter as the alternative. Simon also asked for the break position; Tom said the term is annual.
Watch: Simon will decide once he has seen the note. The seat question was not resolved on the call.

- Tom Ashdown NoneAfternoon, everyone. Can you all hear me? Simon, Diane, Marcus. Good. How was your weekend, Simon?
- Simon Ashworth NoneFine. How long are we?
- Tom Ashdown NoneI've got us booked for the best part of half an hour, and I'll aim to finish early. Right. So the point of today is where we are on the renewal. Marcus, you sent over the one-pager, did you not?
- Marcus Bell NoneI did, yes, and Leanne added the bit on prep time. Simon, I think you had a look.
- Simon Ashworth NoneI did. It was clear. Usage is going the right way. The time saving is believable.
- Tom Ashdown NoneGood, that's what we wanted to hear. So, from my side, what I'd suggest is that we renew on the same basis as now. Growth, forty users, and the same annual figure of £39,600. I'll confirm that against the executed order form in writing, because I don't want to be quoting from memory.
- Simon Ashworth NoneSame figure.
- Tom Ashdown NoneSame figure, yes. No increase for this renewal, it's the same terms.
- Simon Ashworth NoneAnd the user count. We're not using forty. Can we drop it?
- Tom Ashdown NoneRight. That's a fair thing to ask. So the Growth tier comes with forty users and eight connectors, it's the package rather than a per-seat arrangement, so dropping the user count wouldn't change the tier or bring the figure down by much, if at all. I'd want to check what's possible properly before I say anything else, because I don't want to give you a wrong answer.
- Simon Ashworth NoneSo what's the alternative?
- Tom Ashdown NoneThe next one down is Starter, which is one team, and it's a smaller set of connectors. From what Marcus has shown, you've got several teams in there now, so it'd be a step back in what you can do. I wouldn't push you that way, to be honest. But I'll write down the options so you can see them side by side.
- Marcus Bell NoneCan I add something, Tom? From the usage side, the growth is in teams, not just in one or two heavy users. The account managers are using it before reviews, and the dashboards have been built across a few teams. So the fit with Growth looks right to me.
- Simon Ashworth NoneI'm not arguing it's not used. I'm asking whether we're overpaying for the seats.
- Diane Cropper NoneCan I add something from the finance side? We've paid every invoice on time and the amount has been the same all year. If it's the same figure again, that's easy for us to plan. If it changes, I'd need to know in good time.
- Tom Ashdown NoneThat's helpful, Diane, thank you. So what I'll do is this. I'll send a short note with the renewal on the same terms as the primary option, and the alternatives alongside, so Simon can choose. I'll make sure the note says clearly what's included at each level.
- Simon Ashworth NoneSend it this week.
- Tom Ashdown NoneThis week, yes. Leave that with me.
- Simon Ashworth NoneAnd I want to know the break position. If we renew and it doesn't work, where are we?
- Tom Ashdown NoneIt's an annual term, so you're not tied beyond the year. I'll set out the notice position in the same note, and I'll confirm it against the master agreement before I send it rather than guess.
- Simon Ashworth NoneGood.
- Diane Cropper NoneAnd for the invoice, it'd be the same as this year? Annual, in advance, thirty days?
- Tom Ashdown NoneSame, as far as I know, and again I'll put it in the note so you've got it in writing. If you'd rather something different, say so and I'll check what we can do.
- Diane Cropper NoneNo, the same is fine. I just want to be sure.
- Marcus Bell NoneTom, shall I make sure the usage summary goes in with your note, so it's all one pack for Simon?
- Tom Ashdown NoneYes please. That'd be perfect. So the pack is: renewal on current terms, the options, the notice position, and Marcus's usage view. Simon, then we're aiming to settle before the 8 Dec 2025, which is where I've got it in my diary.
- Simon Ashworth NoneThat's fine. I'll decide when I've seen it.
- Tom Ashdown NoneAbsolutely. Anything else from anyone?
- Marcus Bell NoneNothing from me.
- Diane Cropper NoneNothing here, thanks.
- Simon Ashworth NoneGood. Simon.
- Tom Ashdown NoneCheers, all. Speak soon. I'll get that note out.
