What happened: Tom walked Luke Oakes and Asif Nuttall through the Starter proposal on 23 Oct 2024. Both said nothing was blocking them and Asif said to move forward.

Commercial: the proposal price is £25,500, made up of £6,000 implementation and £19,500 for the first year of Starter, annual in advance. The proposal is valid through 13 Dec 2024.

Upsell: Tom named Growth at £44,000 a year as an optional step later, and extra users and connectors as add-ons.

Watch: Luke said sign-off needs Asif and maybe one more person, who is not named. The call does not show an executed order form, and Tom described the four weeks as running from kickoff.

Follow-up

Next steps

Current to 9 Oct 26
  • Tom Ashdown to send the order form the day after the call and work towards a mid-December close.
  • Confirm who else must approve the order form before the proposal lapses on 13 Dec 2024.

Risks

Current to 9 Oct 26
  • A second approver beyond Asif Nuttall is mentioned but not named, so sign-off is not secured.
  • The four-week implementation clock was defined as running from kickoff, which the customer may later read differently.

Opportunities

Current to 9 Oct 26
  • Growth tier at £44,000 a year was raised as an optional later step.
  • Extra users and connectors were described as available add-ons beyond Starter limits.

Hi Luke, hi Asif, thanks for jumping on. I wanted to walk through the proposal we've sent over and make sure everything's clear on scope and pricing before we move to order form stage.
  2. Luke Oakes
    Luke Oakes None
Yeah, we've had a look. Mostly makes sense. Just a couple of things to clarify.
  3. Tom Ashdown
    Tom Ashdown None
    Fire away.
  4. Luke Oakes
    Luke Oakes None
So the implementation, it says it's four weeks. Is that four weeks from the order, or four weeks from when you actually start work?
  5. Tom Ashdown
    Tom Ashdown None
Good question. Four weeks from kickoff, which is when we kick off. That's when we start asking for API credentials and mapping your fields. You might have a week or two to line those things up before we formally kick off, but the four-week clock starts when the engagement starts.
  6. Luke Oakes

And go-live is when? End of January?
  7. Tom Ashdown
    Tom Ashdown None
So if you sign the order form in December, let's say mid-December, we'd kick off straight after Christmas, which means you'd be live early January. That's why the proposal is valid through 13 Dec 2024, to give us a clear path to a January go-live.
  8. Asif Nuttall
    Asif Nuttall None
Right. And the £25,500, that's implementation plus the first year of subscription?
  9. Tom Ashdown
    Tom Ashdown None
Correct. So that's £6,000 for implementation, and £19,500 for the first year of Starter, all in. From year two, it's just the annual subscription at renewal, so £19,500 a year. Unless you upgrade to a bigger tier or add users or connectors, it stays that way.
  10. Asif Nuttall
    Asif Nuttall None
Okay, and that's annual in advance?
  11. Tom Ashdown
    Tom Ashdown None
Yeah, annual in advance. So you'd pay the £25,500 upfront when you sign, and that covers everything through 31 Dec 2025. Then from 1 Jan 2026 onwards, we'd renew and you'd pay the annual rate at that point.
  12. Luke Oakes
    Luke Oakes None
And what about service levels? I know you mentioned them in the demo, what exactly are we getting?
  13. Tom Ashdown
    Tom Ashdown None
So Starter comes with 99.5% availability, that's a four business hour first response for any support tickets. Data refreshes nightly by seven a.m. your time. You get 15 user licences and can add more in packs of 10. You have 4 connectors to systems, and can add 5 more if you need them down the line. All pretty standard stuff for Starter.
  14. Asif Nuttall
    Asif Nuttall None
And if we need to scale after that, what does that look like?
  15. Tom Ashdown
    Tom Ashdown None
Pretty straightforward. If you want more users, you just add them: pro-rata during the current term, or bundled into the next renewal. Same with connectors. If you find yourself needing role-based access or faster refresh, you'd move to Growth tier: that's £44,000 a year with more connectors and additional features. But that's all optional and down the track.
  16. Luke Oakes
    Luke Oakes None
Right. What about support during the implementation? Do we get a dedicated person or...?
  17. Tom Ashdown
    Tom Ashdown None
Yeah, so our implementation team, Callie is heading up your onboarding, she'll be your main point of contact for the four weeks. You'll kick off with her, she'll run through what she needs from you, handle all the technical setup, and then hand you over to Marcus, who'll be your success manager going forwards. Any issues once you're live, you go through the standard ticket process.
  18. Asif Nuttall
    Asif Nuttall None
Okay. And the MSA: any red lines for you guys, or is it pretty standard?
  19. Tom Ashdown
    Tom Ashdown None
Standard stuff. No major curveballs. We'll give you everything in writing once you're ready to move forward. The proposal is valid through 13 Dec 2024, so if you want to move ahead, we should wrap the order form by then and get you keyed up for January.
  20. Luke Oakes
    Luke Oakes None
Okay. I think we're good. We'll need to get sign-off from Asif and maybe one more person, but I don't think there's anything blocking us here.
  21. Asif Nuttall
    Asif Nuttall None
Yeah, I don't see any red flags. Let's move forward.
  22. Tom Ashdown
    Tom Ashdown None
Brilliant. I'll send the order form over tomorrow, and we'll work towards that mid-December close. Any questions in the meantime, you know where to find me.
