Renewal proposal from Tom Ashdown for Penmaen Software's Growth tier: 40 licensed users, £48k for the year, against a contracted £44k shown today. The term ends 24 Jul 2025. It is a proposal, not an order form.

What it is: a version 1 renewal proposal dated 19 May 2025, marked final, prepared by Tom Ashdown with Marcus Bell as customer success manager. It proposes "Renew on the Growth tier for a further annual term, with the same 40 licensed users and the same scope as today."

Commits: nothing binding. It states that "The renewal amount is £48k for the year" and that the figures are "for confirmation in the order form, which remains the document that fixes price and terms."

Unusual: the proposed price is above the contracted £44k shown in the document, and the text does not explain the difference. It also notes fewer active users than the previous quarter and no support tickets in the last thirty days.

Not settled: the document does not show whether the customer accepted or whether an order form was signed. It is dated well before the as-of date, so its figures are not current without an executed order form.

Penmaen Software - Renewal Proposal

Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Marcus Bell Date: 19 May 2025 Status: Final, version 1

1. Context

Penmaen Software has been a BB-Demo customer since 25 Jul 2024. You bought the Growth tier so that your customer success team could read tickets, renewals and usage per leisure operator in one place, rather than reconciling several systems by hand.

Your current subscription ends on 24 Jul 2025. This proposal sets out what we suggest for the next term, so there is time to talk it through well before then.

2. Where you are today

ItemCurrent position
TierGrowth
Licensed users40
Annual recurring revenue (contracted)£44k
Contract end24 Jul 2025
Overdue invoicesNone
Support tickets in the last thirty daysNone, including high priority

Usage has been steady rather than growing. The number of active users is a little lower than in the previous quarter, and well inside the 40 licensed users. We would like to understand that with you rather than assume what it means.

3. What we propose

Renew on the Growth tier for a further annual term, with the same 40 licensed users and the same scope as today.

LineDetailAnnual price
Growth subscriptionGrowth tier, 40 licensed users, annual in advance£48k

The renewal amount is £48k for the year. There is no new implementation fee, because the brain is already built and running in your Snowflake account.

The figures above are for confirmation in the order form, which remains the document that fixes price and terms.

4. What stays the same

  • The Growth feature set, including the dashboards builder and quarterly QBRs.
  • The standard Growth service levels for availability and first response.
  • The nightly refresh and the connectors you already use.
  • Marcus Bell as your customer success manager.

5. Points we would like to talk through

  • Active users. Fewer people are using the brain week to week than a quarter ago. Marcus can walk through who is asking questions and where it would help to bring in more of the team.
  • Value case. We would like to agree with you a simple way of showing what the brain saves your customer success team, so the renewal is easy to justify internally.
  • Shape of the term. If an annual term is still right, we will keep it. If you would prefer a different billing rhythm, tell us and we will confirm what is possible.

6. Next steps

  1. Review this proposal and note any questions. Tom is happy to go through it by phone.
  2. Marcus shares the usage numbers ahead of the conversation, so we are working from the same picture.
  3. Agree the final scope and price, and Tom issues the renewal order form.
  4. Signature before the current term ends on 24 Jul 2025, so there is no gap in service.

If anything here does not match how you see the last year, tell us and we will adjust it.

Tom Ashdown Account Executive, BB-Demo

Data as of Fri 9 Oct 2026. Text marked AI was written by the brain from the records listed in its made-from link; an AI output that cannot cite its evidence is refused and the previous text kept. Where two systems disagree (for example a contract and the CRM), the key facts show both values and mark the difference.
