Draft renewal proposal by Tom Ashdown, dated 14 May 2025, for the Growth tier. It proposes £48k against current contracted ARR of £44k for 40 users. Not agreed or issued as an order form.

What it is: a working draft renewal proposal for Penmaen Software's Growth subscription, prepared by Tom Ashdown. It states "Not yet agreed or issued as an order form."

Commits: nothing binding. It proposes an annual term, "Annual, in advance, 30-day payment terms", at a "Total renewal amount" of £48k, with Growth service levels unchanged unless an order form says otherwise.

Unusual: the proposed figure is above the £44k the draft gives as current contracted annual recurring revenue, and the text leaves the basis open: "Tom will confirm the final figure and the basis for it".

Not settled: whether the additional connectors carry forward, the signing date, the price and any first-term arrangement. The draft also notes usage "has dipped a little against the previous quarter". The renewal date it cites, 24 Jul 2025, is long past, so this is stale and the executed order form decides current terms.

Penmaen Software - Renewal Proposal v1

Draft. Prepared 14 May 2025 by Tom Ashdown, Account Executive, BG-Demo. For discussion with Penmaen Software ahead of the renewal. Not yet agreed or issued as an order form.

1. Context

Penmaen Software has been a BG-Demo customer since 25 Jul 2024. B-Glass was bought on the Growth tier so that customer success can read tickets, renewals and usage for each leisure operator in one place. The current term ends on 24 Jul 2025, and this proposal sets out what we suggest for the renewal.

On the account today:

  • Contracted annual recurring revenue is £44k.
  • The subscription covers 40 licensed users.
  • There are no overdue invoices, and support tickets have been few and quiet.
  • Day-to-day usage has dipped a little against the previous quarter. That is worth a conversation with the team, and we would rather talk it through than guess at the reason.

2. What we propose

Renew the Growth subscription for a further annual term, starting the day after the current term ends on 24 Jul 2025.

For comparison, the current contracted annual recurring revenue is £44k. Tom will confirm the final figure and the basis for it before this goes anywhere near an order form.

4. What stays the same

  • Your data stays inside your own Snowflake account.
  • Service levels remain those of the Growth tier unless an order form says otherwise.
  • The nightly refresh, support route and named contacts at BG-Demo are unchanged.

5. Open points

  1. Usage. We would like to understand how the team uses the brain today, and whether more people could be brought in within the user allowance.
  2. Connectors. Whether the additional connectors added earlier this year should carry forward into the renewal term. Not yet decided.
  3. Renewal date. Agree a date for the order form to be signed comfortably before the current term ends.
  4. Price. Confirm the figure above, and whether any first-term arrangement still applies.
