Final version 1 renewal proposal dated 22 Sep 2026 from Tom Ashdown to Graham Tovey. It proposes twelve more months of Enterprise plus thirty extra users, at one hundred and thirty thousand seven hundred and fifty pounds a year, billed quarterly.

What it is: a renewal proposal, not a contract. It is prepared for Graham Tovey, Chief Customer Officer, and sets out a twelve-month Enterprise renewal starting the day after the current term ends on 9 Jan 2027.

Commits: nothing binding yet, as the order form will carry the figures. It restates Enterprise terms: a 30-minute first response on priority one issues, nightly refresh complete by 07:00 on business days, and quarterly billing in advance on 30-day payment terms.

Unusual: the price is written in words only, and it compares with the current contracted £120k a year. The proposal also notes that use has eased against the previous quarter and that two tickets are open, one high priority.

Not settled: the user count is unconfirmed, the order form is not issued, and the availability percentage is not stated. The renewal start date is described only as the day after the term ends.

Brimscombe Energy - Renewal Proposal

Status: Final, version 1 Date: 22 Sep 2026 Prepared for: Graham Tovey, Chief Customer Officer, Brimscombe Energy Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Daniel Okafor, BB-Demo

1. Purpose

This proposal sets out how BB-Demo suggests Brimscombe Energy renews its Enterprise subscription for the company brain. It covers what stays the same, what we suggest changes, the commercial position and the steps to get the renewal signed in good time before the current term ends.

2. Where we are today

Brimscombe Energy became a customer on 10 Jan 2025 and bought Enterprise so that the key-account, collections and complaints teams can see each business customer's sites, contracts, calls and bills together in one place, inside your own Snowflake account.

Over the last month the helpdesk saw two tickets from your team, one of which was marked high priority. Daniel and the support team are keeping an eye on both and he will go through them with you directly. Use of the brain has eased a little against the previous quarter, which is normal at this point in the year, but it is one of the reasons we have included a short adoption plan below.

3. What we propose

We propose to renew Enterprise for a further twelve months, starting the day after the current term ends on 9 Jan 2027, and to add capacity for thirty additional users so that more people in the complaints and collections teams can work from the brain directly.

LineBasisAnnual amount
Enterprise subscription, renewalAnnual, per the Enterprise tierOne hundred and eighteen thousand seven hundred and fifty pounds
Thirty additional usersAnnual add-onTwelve thousand pounds
Total subscription from the start of the renewal termAnnual, billed quarterlyOne hundred and thirty thousand seven hundred and fifty pounds a year

The total is shown in words so that it reads the same in every copy of this document; the order form will carry the figures. The renewal total compares with the current contracted £120k a year.

Billing

We suggest billing the subscription quarterly in advance, on the standard 30-day payment terms. This is a change from the current arrangement only if your finance team prefers it; we are happy to talk through the alternatives.

4. What stays the same

  • Enterprise service levels, including the availability commitment, the 30-minute first response on priority one issues, and the nightly refresh complete by 07:00 on business days.
  • Service credits for availability and for data freshness, which Enterprise carries.
  • Single sign-on and SCIM, and you as executive sponsor on the Brimscombe Energy side.
  • The brain running inside your own Snowflake account.

5. Adoption plan for the renewal year

Because the extra users only pay back if they are asking questions, we suggest the following alongside the renewal.

  1. Onboarding of the new users. Daniel runs short sessions for the complaints and collections teams, built around real customer queries.
  2. Review of the open tickets. Daniel confirms the cause and the fix for the high priority ticket and shares the outcome with you early.
  3. Quarterly review. A short checkpoint each quarter on questions asked, who is asking them and where the brain is not yet being used.

6. Why this makes sense for Brimscombe Energy

A complaint at a regulated supplier is only as good as the picture the handler has in front of them. Having contract, call, email and billing history together lets your teams answer the question "what does the customer see?" without chasing several systems, and it gives you a clearer record when a complaint is reviewed. Adding users extends that picture to the people who currently work around the edges of it.
