What it says
What this says
Current to 13 Oct 26Internal draft renewal proposal for the Enterprise tier, dated 29 Oct 2025, proposing £120k per year for one year from the day after the term ends on 9 Jan 2026. Price is unconfirmed and the draft is not an offer capable of acceptance.
What it is: an unsigned draft prepared by Tom Ashdown for internal review before it goes to the customer. It proposes renewing the Enterprise subscription on the same scope, 180 licensed users, "billed annually in advance".
Commits: nothing yet. Section 8 says "It is not an offer capable of acceptance until it has been issued by BB-Demo as a final document." The Enterprise service levels are restated as continuing, but no availability percentage is quoted in the text.
Unusual: the proposed £120k sits against a current contracted figure of £115k and the document itself says the price must be confirmed against the price book and "should not be quoted to the customer until confirmed".
Not settled: the user count, add-ons such as Premium support or the Sandbox, and the customer contact for the order form. The text does not show whether it was ever issued or signed, and the executed order form would override it.

Brimscombe Energy - Renewal Proposal v1
Status: Draft
| Prepared for | Brimscombe Energy, Gloucester |
| Prepared by | Tom Ashdown, Account Executive, BB-Demo |
| Customer success manager | Daniel Okafor, BB-Demo |
| Date of draft | 29 Oct 2025 |
| Current term ends | 9 Jan 2026 |
| Tier | Enterprise |
This draft is for internal review before it goes to Brimscombe Energy. Open points are listed at the end.
1. Where we are today
Brimscombe Energy joined BB-Demo on 10 Jan 2025 on the Enterprise tier. The company brain was built inside your own Snowflake account so that the key-account, collections and complaints teams can see each business customer's sites, contracts, calls and bills together, rather than reconciling them by hand across systems.
The contracted annual recurring revenue for the current term is £115k, and the subscription covers 180 licensed users. The current term ends on 9 Jan 2026, so this proposal sets out how we would like to continue from the day after.
2. What the first year has shown
Read the whole document (4,578 characters)
- Adoption has grown. Active use over the latest quarter is clearly up on the quarter before, and the number of people asking questions of the brain on a typical day has risen with it.
- Support has been quiet. There have been no support tickets in the last month and no high-priority ones, which tells us the connectors and the nightly refresh are doing their job.
- Billing is clean. There are no overdue invoices on the account.
These are the points we would like to talk through with your team: what the brain now answers that used to take a manual lookup, and where the three teams would like to go next.
3. What we propose
We propose to renew the Enterprise subscription for a further annual term, starting the day after the current term ends on 9 Jan 2026, on the same scope you have today.
| Item | Detail |
|---|---|
| Tier | Enterprise |
| Licensed users | 180 |
| Term | One year, billed annually in advance |
| Annual price | £120k |
| Total renewal value | £120k |
| Implementation fee | None, this is a renewal |
The total value of this renewal is the annual subscription only. There is no one-off fee attached to it.
4. What stays the same
- The company brain continues to run inside your Snowflake account, with the same connectors that are live today.
- Enterprise features continue, including single sign-on and user provisioning, and an executive sponsor on the BB-Demo side.
- The Enterprise service levels continue to apply: the Enterprise availability commitment, the thirty-minute class of first response for the most serious incidents, and the nightly refresh completing by 07:00 on business days.
- Enterprise service credits continue to cover both availability and data freshness.
- Quarterly reviews continue with Daniel Okafor, so that usage and value are looked at together.
5. Why renew now
The renewal conversation is easier with time in hand. Settling the terms well before 9 Jan 2026 avoids any gap in service over the holiday period and gives your finance team a clear figure for budgeting. It also leaves room to talk about whether the three teams already using the brain want more users or further sources connected.
6. Next steps
- Tom Ashdown to confirm the price build internally and finalise this draft.
- Daniel Okafor to prepare a short usage and value summary for the review meeting.
- A review meeting with Brimscombe Energy to walk through the proposal and take questions.
- An order form issued under the existing master agreement once the terms are agreed.
- Signature ahead of the end of the current term on 9 Jan 2026.
7. Open points on this draft
- Price: Tom to confirm the annual figure of £120k against the price book before this is issued. It should not be quoted to the customer until confirmed.
- User count: confirm with the customer whether 180 licensed users is still the right number, given the growth in active use.
- Add-ons: ask whether Brimscombe Energy wants to discuss Premium support or the Sandbox. Neither is included in the figure above.
- Contacts: agree who on the customer side will receive the final order form.
8. Acceptance
This section will be completed on the executed order form. It is not an offer capable of acceptance until it has been issued by BB-Demo as a final document.
