What this says
Current to 11 Oct 26Demo of the brain on a sandbox of Penvarra's HubSpot and email data. Toby Lister and Steve Yates asked about speed, security, connectors and training. Toby ended with 'Let's see the proposal.' Early-stage interest, no commitment.
What happened: Tom Ashdown hosted a demo with Tobias Renwick showing cross-system questions on a sandbox of Penvarra's HubSpot and email data. Toby Lister and Steve Yates attended for the customer.
Customer view: Toby asked whether security or compliance requirements would be affected and was told the brain runs inside Penvarra's own Snowflake account. Steve asked about speed, connectors and training, and called the four-week timeline 'pretty fast'.
Commercial: This is a Starter conversation: four connectors, a half-day training session and a six-monthly check-in. Tom committed to send a proposal with pricing and a detailed timeline.
Watch: Tobias said swapping a connector takes a couple of days. Connector limits and flexibility may come back once the customer's needs grow.

Follow-up
Next steps
Current to 9 Oct 26- Tom Ashdown to send Toby Lister a proposal with pricing and a detailed timeline.
- Tom Ashdown to follow up on the security and compliance question in the proposal.
Risks
Current to 9 Oct 26- Security and compliance were raised early, so the Snowflake access model may need a clear written answer.
- Interest rests on a sandbox demo and the customer has made no commitment yet.
Opportunities
Current to 9 Oct 26- A Starter subscription with the fixed-fee implementation for HubSpot, email and Slack.
- Later add-ons if more connectors or teams are wanted.
Transcript
- Tom Ashdown NoneToby, Steve, great to see you both. Tobias is here from our technology side to show you what the brain can do with your data.
- Toby Lister NoneCheers. We've been curious how this would work for a team like ours.
- Tobias Renwick NoneRight. So what we've done is load some of your HubSpot and email data into a sandbox and built the brain on top of it. The idea is your team can ask a single question and get answers from multiple systems at once.
- Tobias Renwick NoneImagine you're prepping a pitch. You ask the brain: 'Show me all conversations with client X in the last quarter, across calls, emails, and messages.' The brain pulls that together and gives you a timeline.
- Steve Yates NoneThat's useful. How fast is that?
- Tobias Renwick NoneSub-second in most cases. Your data lives in Snowflake, which is very fast for this kind of query. And the data refreshes nightly, so anything that happened yesterday is queryable by morning.
- Tobias Renwick NoneNow, the way this works is the brain runs inside your own Snowflake account. We have a service account with read-only access to your data, but your data never leaves your warehouse. It's your infrastructure, your rules.
- Toby Lister NoneSo if we have security or compliance requirements, you're not in the way?
- Tobias Renwick NoneCorrect. Your IT team sets the access rules. We work within those rules. You maintain full control over who sees what and how the data flows.
- Steve Yates NoneWhat systems can you connect?
- Tobias Renwick NoneOn Starter you've got four connectors. Standard ones are HubSpot, your email, and Slack. Beyond that, most systems with an API. We'd design the connectors during implementation.
- Toby Lister NoneAnd once it's live, can we change what systems we're querying?
- Tobias Renwick NoneYeah. You can add or swap connectors. Takes a couple of days to set up, but it's definitely flexible.
- Steve Yates NoneWhat's the training like?
- Tom Ashdown NoneWe run a half-day hands-on session. You'll learn search, how to build pages, common patterns. Then after go-live, I'll check in every six months to see how you're getting on.
- Toby Lister NoneWhat's the timeline if we wanted to move forward?
- Tom Ashdown NoneImplementation is four weeks. Once you sign, we design the connectors, build, test, and train. You'd be live in mid-December.
- Steve Yates NoneThat's pretty fast.
- Tom Ashdown NoneStarter is smaller scope, so it moves quick. I'll send over a proposal with pricing and a detailed timeline. Happy to answer any other questions.
- Toby Lister NoneLooks interesting. Let's see the proposal.
