What this says
As at Fri 9 Oct 2026New collections team member can authenticate and log in but sees no permission errors for all datasets. Olivia diagnoses as role sync delay.
Problem: New user authenticates successfully but cannot access any data; all datasets show as restricted.
Handling: Olivia diagnoses this as a typical role sync delay and offers two solutions: either wait for the next sync cycle every few hours, or she can manually assign the role via the admin panel if Lee provides the user's email and team access needs.
Watch: First response of 14 hours is slow for a user access issue. Verify that the user now has working data access and clarify whether manual assignment or sync resolution was used.

- created · Lee Hathaway 9 Apr 2025 08:09We're onboarding a new member to the collections team and we've set them up with an email and password, but they can't see any of the data. They can log in fine and authenticate, but once they're in the system everything shows as "no permission". Is this something we need to configure on our side, or something you handle in the brain?
- Public reply · Olivia Grant 9 Apr 2025 22:12Hi Lee, thanks for getting in touch. Just so I've got this right: they can authenticate and see the login page, but all the datasets show as restricted once they're in? That usually means the role assignment hasn't synced yet. Check that they're added to the right Snowflake role or SSO group on your end; we check those every few hours, so they should see the data once we sync. If you'd rather not touch the role side yourself, I can add them in the brain's admin panel instead. I'll just need their email address and which teams they should access. Let me know what works best. Thanks, Olivia
