Current to 12 Oct 26Trent Nakamura asked how the brain handles daily EHR updates to physician affiliations. Bethan explained that nightly refreshes replace affiliation records with current data while keeping historical activity linked to each physician.
Problem: customer needed clarity on how the brain reconciles changing physician affiliations when EHR data updates daily; specifically whether calls from old hospital assignments stay linked when the physician moves.
Handling: Bethan asked clarifying questions to understand the requirement, then confirmed the brain automatically updates affiliation records nightly while preserving historical activity by person.
Watch: technical discussion shows good onboarding; customer invested enough to ask detailed questions about data reconciliation.

Physicians move hospitals, pick up new placements, or drop affiliations fairly regularly. Once the brain is live and running nightly refreshes, how does it handle these changes? If a physician's hospital affiliation updates in the source, will the brain reflect that automatically, or is there a reconciliation step we need to manage? Also, when an affiliation changes, do old activity (like a call from when the physician was at Hospital A) stay linked to that physician even if they've since moved to Hospital B? I want to make sure we're not creating a scenario where the brain lags behind reality. Thanks, Trent
- public_reply · Bethan Lister 18 May 2026 23:24I've picked this up. Just so I've got this right: your EHR pushes physician and affiliation data daily, you want the brain to always show the current state, and you're wondering whether old activity (like a call from an old hospital assignment) should stay linked to the physician or get re-grouped by current affiliation. Is that the core question?
- public_reply · Trent Nakamura 20 May 2026 10:25Yes, that's it. The call should stay tied to the physician, so we see their complete history. But the current hospital affiliation should be the active one for filtering and searches. The old affiliation is historical, not the primary view. Does that make sense?
- public_reply · Bethan Lister 20 May 2026 16:51Perfect. That's what we do automatically. Your nightly refresh replaces the affiliation record with the latest from your EHR, so the brain always shows current hospital assignments. Calls and other activity stay linked to the physician as a person, so the history stays complete. The key is making sure your EHR connector is set to do a full refresh (not just append new rows) on the affiliation table each night. I'll confirm that's enabled in your config and send you the details.
