What it says
What this says
As at Fri 9 Oct 2026Renewal proposal from Tom Ashdown dated 25 Jun 2025, proposing a further annual Starter term unchanged at 25 users. It cites contracted annual recurring revenue of £23k and leaves the final figure to the renewal order form.
What it is: a short renewal proposal, stored as final version 1, for a term ending 29 Aug 2025. It is a proposal, not an executed order form.
Commits: it proposes "Billing: annual, in advance, on standard 30-day terms" with Starter, 25 users and the existing connectors carried over. No service levels or credits are restated beyond saying the Starter levels were met.
Unusual: nothing off standard terms. It floats reducing users and a second team (Growth) as options, explicitly "not part of the proposal".
Not settled: the final price, which "the renewal order form will confirm". The text does not show whether the order form was issued or signed, and its figures are as at 25 Jun 2025, so they may not be current.

Body
Ardenmore Pension Administration - Renewal Proposal
Prepared by: Tom Ashdown, Account Executive, BG-Demo Date: 25 Jun 2025 Status: Final, version 1
1. Why we are writing
Ardenmore Pension Administration has been a BG-Demo customer since 30 Aug 2023. The current subscription term ends on 29 Aug 2025. This note sets out what we propose for the next term so that nothing is left to the last minute. It is deliberately short: the account has been steady and there is not much that needs to change.
2. Where you are today
| Item | Current position |
|---|---|
| Tier | Starter |
| Licensed users | 25 |
| Contracted annual recurring revenue | £23k |
| Contract end | 29 Aug 2025 |
| Account owner | Tom Ashdown |
| Customer success manager | Marcus Bell |
The brain was bought for the client-relationship team, which supports the Midlands employers whose occupational pension schemes you administer.
3. How the last term has gone
Read the whole document (3,156 characters)
- Usage. A modest group of people use the brain regularly, a little under a third of the licences. Use is up slightly on the previous quarter, so it is stable rather than growing quickly.
- Support. No tickets were raised in the last month, and none were high priority.
- Billing. There are no overdue invoices on the account.
- Service. The nightly refresh and availability have run to the Starter service levels throughout.
We read this as a team that has the brain working for it day to day without needing much from us. The licence count is comfortably above what is being used, so there is no pressure to add users.
4. What we propose
We propose to renew on the same terms for a further annual term:
- Tier: Starter, unchanged, for the client-relationship team.
- Licensed users: 25, unchanged.
- Connectors: the Starter connector allowance, with the sources already connected carried over as they are.
- Billing: annual, in advance, on standard 30-day terms.
- Price: the renewal order form will confirm the annual figure. The current contracted annual recurring revenue is £23k, and we are not proposing a change in scope that would move it.
If you would prefer quarterly invoicing, that is available on request.
5. Options we can discuss
These are not part of the proposal, only worth a conversation if useful:
- Reducing the licensed users if 25 is more than the team needs. We would rather you paid for what you use, and I would want to talk it through properly.
- Bringing a second team onto the brain, which would point towards the Growth tier.
- A training session for newer joiners in the client-relationship team, to widen regular use.
6. Next steps
| Step | Owner | When |
|---|---|---|
| Confirm the renewal approach with your team | Ardenmore operations lead | Over the next couple of weeks |
| Issue the renewal order form | Tom Ashdown | Once the approach is agreed |
| Signed order form returned | Ardenmore | Before 29 Aug 2025 |
I will confirm the final figure in the order form itself. If anything in this note does not match your understanding of the account, tell me and I will put it right.
Cheers, Tom
