What it says
What this says
Current to 13 Oct 26Renewal proposal from Lewis Kerr dated 2 Feb 2026 to renew Growth for twelve months at £44k, exclusive of VAT. Current term ends 10 Apr 2026. P1 first response is one business hour; no availability percentage is stated. It is not a contract.
What it is: a renewal proposal marked final, prepared by Lewis Kerr for Harcastle Environmental. It recommends a straight Growth renewal with no upgrade, extra users or implementation fee.
Commits: nothing binding. It states "This proposal is for information and is not a contract." The proposed terms are £44k for twelve months, billed annually in advance, with payment thirty days from invoice.
Unusual: it sets the contracted figure of £40k against the £44k renewal price and says the first-term discount ends. The price is the list price under the pricing that applied at signing, so it is a rise at renewal.
Not settled: the availability percentage is only "the standard Growth level". The signatory is not named, and the document does not show whether the renewal order form was issued or signed, or whether the customer agreed. Usage shows a slight dip in active users against the previous quarter.

Body
Harcastle Environmental - Renewal Proposal
Prepared for: Harcastle Environmental, Wakefield Prepared by: Lewis Kerr, Account Executive, BB-Demo Customer success manager: Marcus Bell Date: 2 Feb 2026 Version: 1 (final)
1. Why we are writing
Harcastle Environmental has been a BB-Demo customer since 11 Apr 2025. Your current Growth subscription runs to 10 Apr 2026. This proposal sets out what we recommend for the next twelve months, what it costs and what happens next, so that the renewal is settled well ahead of the end date and there is no gap in service.
In short: we propose renewing the Growth subscription as it stands, for an annual price of £44k, exclusive of VAT, co-termed to your renewal.
2. Where you are today
Harcastle Environmental bought Growth so that account managers can see each customer's collections, missed-collection tickets, calls and invoices together, across a large commercial customer base in Yorkshire and the North East. The brain runs inside your own Snowflake account, as it did from the start.

| Item | Current position |
|---|---|
| Tier | Growth |
| Licensed users | 40 |
| Contracted annual recurring revenue | £40k |
| Current term ends | 10 Apr 2026 |
| Overdue invoices | None |
A few observations from the last quarter:
- Usage. A small group of people use the brain most days. There has been a slight dip in active users against the previous quarter. We read that as a quiet stretch rather than a change of direction, but it is worth a conversation, because the licence has room for far more people than are using it.
- Support. There was a single ticket in the last thirty days and none of high priority. Nothing is outstanding from our side.
- Billing. Your account is up to date and no invoice is overdue.
3. What we recommend
We recommend a straight renewal on Growth. We are not proposing an upgrade or extra users, because current usage does not call for them. The licensed 40 users already give the business headroom to bring in more account managers and the customer service team if you wish.
Scope of the renewal
| Line | Detail |
|---|---|
| Subscription | Growth tier, twelve months, annual in advance |
| Users | 40 licensed users |
| Connectors | The Growth connector allowance, with the connectors you already use kept live |
| Features | Pages, chat and search, plus the dashboards builder |
| Reviews | Quarterly business reviews with your customer success manager |
| Implementation | None; this is a renewal, so there is no implementation fee |
4. Pricing
| Item | Amount |
|---|---|
| Growth subscription, twelve months | £44k |
| Implementation fee | Not applicable |
| Total for the renewal term | £44k |
All prices are exclusive of VAT, and invoicing is in pounds sterling.
To put a number on it: your current contracted annual recurring revenue is £40k, which reflects the discount applied to your first term. First-term discounts apply to the first term only, so the renewal moves to the Growth price of £44k. That price is the list price under the pricing that applied when you signed, and it is the figure that applies to this renewal.
5. Service levels
The Growth service levels continue unchanged:
- Availability at the standard Growth level.
- First response on a priority one ticket within one business hour.
- Nightly refresh complete by 07:00 UK time on business days.
- Service credits for availability, as set out for Growth in your order form.
If your order form contains any variation to these terms, the executed order form takes precedence over this summary.
6. Commercial terms
- Term: twelve months, starting the day after the current term ends on 10 Apr 2026.
- Billing: annual, in advance. Quarterly invoicing is available on request.
- Payment terms: thirty days from invoice.
- Governing terms: the existing MSA, with a renewal order form issued under it.
7. Making the most of the next term
There is value in the licence that is not yet being used. With your agreement, Marcus Bell will cover the following in the next quarterly review:
- Which teams outside the current regular users could benefit, for example the people who handle missed-collection complaints.
- Whether any dashboards would help account managers prepare for customer calls.
- A short review of the connectors, to confirm each source is still loading as expected.
None of this changes the price. It is about making sure the brain earns its place in the renewal conversation next year.
8. Next steps

Lewis Kerr Account Executive, BB-Demo
