What it says
What this says
Current to 13 Oct 26Draft proposal of 12 Feb 2025 from Lewis Kerr for the Growth tier: £40k annual subscription, billed in advance, and a £52k total first-deal amount including one-off implementation. Not agreed or executed; service levels are described only as standard Growth.
What it is: a working draft proposal, marked "Draft for discussion" and "Draft, not yet agreed". It covers Growth tier scope, implementation approach and commercials for Harcastle Environmental, Wakefield.
Commits: nothing binding. It states "the annual price of £40k is what recurs each year" and that the £52k deal amount "includes the one-off implementation fee", which "does not recur at renewal". Billing is annual in advance, quarterly if preferred.
Unusual: nothing off the standard terms, but prices exclude VAT and the VAT position is still to be confirmed.
Not settled: the connector list and owners, user numbers, the day-to-day administrator and billing frequency are open points. It gives no availability %, P1 response time, refresh deadline, service credits or connector delivery dates, and it sets no start or end date. Only an executed order form would fix price and terms.

Body
Harcastle Environmental - Proposal v1
Draft for discussion. Prepared 12 Feb 2025
| Prepared for | Harcastle Environmental, Wakefield |
| Prepared by | Lewis Kerr, Account Executive, BB-Demo |
| Customer success contact | Marcus Bell, BB-Demo |
| Proposed tier | Growth |
| Status | Draft, not yet agreed |
This draft sets out what we would put in place for Harcastle Environmental, what it would cost and how we would get started. It is a working document and I expect it to change after we have talked it through with you.
1. Context
Harcastle Environmental provides commercial waste collection and recycling to a very large base of business customers across Yorkshire and the North East. Your account managers need to see a customer's whole picture before they pick up the phone, but today the information sits in separate places: collections, missed-collection tickets, calls and invoices.
What you have told us you want is simple to state. When an account manager opens a customer, they should see collections, missed-collection tickets, calls and invoices together, and be able to ask a plain question and get an answer without reconciling systems by hand.

2. What we propose
We propose the Growth tier of the company brain: one AI-queryable layer over the systems your account managers already use, built and run inside your own Snowflake account, so your data stays with you.
Scope
| Area | What is included |
|---|---|
| Customer view | Pages, chat and search across collections, missed-collection tickets, calls and invoices for each business customer |
| Sources | The connectors needed for your CRM, the helpdesk, the call recorder and the accounting system, within the Growth connector allowance |
| Dashboards | The dashboards builder, so your own team can build the views account managers use daily |
| Users | The Growth user allowance, enough for your account management teams and their leads |
| Reviews | Quarterly business reviews with your customer success manager |
| Service levels | The standard Growth service levels for availability, support response and nightly refresh |
Implementation
Implementation is a one-off, fixed-fee engagement that connects your sources, loads your history and trains your account managers to use the brain. We will agree the order of connectors with you, starting with whichever source your account managers lean on most.
3. Commercials
All prices below exclude VAT, and I will confirm the VAT position on the formal order form.
| Item | Amount |
|---|---|
| Growth subscription, annual, billed in advance | £40k |
| One-off implementation (fixed fee) | Included in the deal amount below |
| Total deal amount (first year subscription plus implementation) | £52k |
To put a number on it: the annual price of £40k is what recurs each year. The deal amount of £52k is the total value of the first deal, and it includes the one-off implementation fee. The implementation fee does not recur at renewal.
The subscription is billed annually in advance, and we can bill quarterly if that suits your finance team better.
4. How we would work together
| Phase | What happens | Owner |
|---|---|---|
| Agree | Walk through this draft, settle scope and users, confirm connectors | Lewis Kerr with your sponsor |
| Contract | Order form issued under our master agreement | Lewis Kerr |
| Implement | Connect sources, load history, check the customer view with a pilot group of account managers | BB-Demo implementation team |
| Adopt | Training for account managers, first dashboards built, first quarterly review | Marcus Bell |
5. What we would measure
We would agree a small number of measures with you at the start, so that nobody has to guess later whether the brain is earning its place:
- how many questions your account managers ask each month, and who asks them;
- how often a customer view is opened before a call;
- whether missed-collection tickets are being resolved with the full picture to hand;
- how many dashboards your own team builds.
6. Open points
These are still to be settled before this goes to you as a final proposal:
- The exact list of systems to connect first and who at Harcastle Environmental owns each one.
- The number of users in each account management team, so we can confirm the Growth allowance is enough.
- Who will act as your day-to-day administrator.
- Your preferred billing frequency.
7. Next steps
I will send this over for your comments, and we can then arrange a short call to go through the open points. Once those are agreed I will issue the order form, co-termed to the start date you choose.
Kind regards,
Lewis Kerr Account Executive, BB-Demo
