What it says
What this says
As at Fri 9 Oct 2026QBR deck presented on 18 May 2025 to a Growth customer with 50 licensed users and a term to 27 Dec 2025. Active users are just under ten and falling. It proposes a five-step adoption plan and an early renewal conversation.
What it is: a customer QBR deck prepared by Daniel Okafor, stored as final. It states "Contracted annual recurring revenue: £48k" and "Current term runs to 27 Dec 2025".
Commits: it sets action owners and timing rather than contract terms. Daniel is to hold usage conversations and arrange training, and Tom Ashdown is to open the renewal discussion "Well before the end of the term on 27 Dec 2025".
Risk: active users are "Just under ten" against 50 licences and "Down on the prior quarter". The deck calls this "Needs attention" and notes that no value measure has been agreed.
Not settled: the deck gives no hours saved, no reason for the fall in users and no proposed renewal price. It also does not show the order form, so the £48k figure is the deck's own statement and not executed paper.

Body
Pentreath Cold Chain - QBR
Quarterly business review, prepared by Daniel Okafor, Customer Success Manager, BG-Demo
Presented on 18 May 2025
Slide 1: Where we are
- Customer since 28 Dec 2023, on the Growth tier.
- Contracted annual recurring revenue: £48k.
- 50 licensed users.
- Current term runs to 27 Dec 2025.
- No overdue invoices.
- Account owner: Tom Ashdown. Customer success: Daniel Okafor.
Thank you to everyone at Pentreath Cold Chain for making the time. This review covers how the brain is being used, what it is doing for your account managers, anything that has got in the way, and what we suggest for the months ahead.
Slide 2: Usage this quarter
| Measure | Reading | Direction |
|---|---|---|
| Active users (30-day average) | Just under ten | Down on the prior quarter |
| Licensed users | 50 | Unchanged |
| Support tickets, last 30 days | One | Low |
| High-priority tickets, last 30 days | None | Healthy |
What we see:
Read the whole document (3,779 characters)
- Active users have slipped compared with the previous quarter, by a noticeable margin.
- The number of people using the brain is small next to the 50 licences you hold, so there is plenty of unused capacity.
- Support demand is very light. In this case that fits a small, settled group of users, but we do not want quiet to turn into drift.
Slide 3: Value delivered
You bought Growth so that account managers can see each client's temperature-excursion tickets, orders and contract reviews together, rather than hopping between systems.
- The people who do use the brain are using it for exactly that joined-up client view.
- Contract review preparation is the clearest example of time saved, because the history sits in one place.
- We have not measured hours saved formally. We would like to agree a simple measure with you so the value can be stated plainly at renewal.
Slide 4: Issues and risks
| Item | Assessment | Owner |
|---|---|---|
| Fall in active users | Needs attention. Could reflect people moving on, a busy season, or the brain not yet part of the weekly routine. | Daniel Okafor with the Pentreath team |
| Few users against many licences | Opportunity to widen adoption, and a point to be ready to discuss at renewal. | Daniel Okafor and Tom Ashdown |
| Support tickets | One ticket in the last 30 days, no high-priority items. No service concern. | Daniel Okafor |
| Payments | On time, no overdue invoices. | Tom Ashdown |
We would rather raise the usage point now than have it surprise either side later in the year.
Slide 5: Proposed plan
- Find out why. A short conversation with the account managers who stopped using the brain, to understand what changed.
- Refresh the training. A practical session for the account management team built around their own client reviews.
- Widen the audience. Invite colleagues from the satellite depots who handle client orders to see the brain on their own data.
- Agree a value measure. One or two simple numbers that show what the brain saves, to be reviewed again at the next QBR.
- Plan the renewal early. Tom Ashdown will open the renewal conversation well ahead of the notice period, so there is time to size users and scope sensibly.
Slide 6: Next steps
| Action | Who | When |
|---|---|---|
| Short usage conversations with account managers | Daniel Okafor | Over the next few weeks |
| Training session arranged | Daniel Okafor | Within the quarter |
| Value measure agreed | Daniel Okafor with Pentreath team | By the next QBR |
| Renewal discussion opened | Tom Ashdown | Well before the end of the term on 27 Dec 2025 |
Just to close the loop: I will come back to you with proposed dates for the usage conversations and the training session, and we will pick up progress at the next review.
