On the 18 Oct 2023 proposal call, Carole Ellerker and Mick Rhodes agreed to move forward on Growth at £56k for year one. The renewal price was left open, and no signed paper is shown.

What happened: Tom Ashdown walked Gilberdyke Freight through the Growth proposal on 18 Oct 2023. Carole Ellerker, Finance Director, and Mick Rhodes, Commercial Manager, said they wanted to proceed.

Customer view: Carole pressed on cost after year one, unused capacity and payment terms. She also asked whether they could go live before year-end.

Commercial: Year one is £56k, subscription and implementation bundled, invoiced upfront. Tom said year two is the standard Growth subscription fee, to be confirmed closer to renewal, so no renewal figure was given.

Watch: The contract renews automatically 90 days before it ends. The call shows no signed order form, so the contract is not yet evidenced.

Follow-up

Next steps

As at Fri 9 Oct 2026
  • Tom Ashdown to send the full contract and order form to Carole Ellerker and Mick Rhodes straight after the call.
  • Tom Ashdown to confirm with finance whether quarterly subscription billing can be offered.

Risks

As at Fri 9 Oct 2026
  • The year-two price was described only as the standard Growth fee to be confirmed later, which may surprise the finance director at renewal.
  • The customer asked about quarterly payment and Tom said he would have to check with finance, so that is unresolved.

Opportunities

As at Fri 9 Oct 2026
  • Growth gives eight connectors and quarterly check-ins, leaving room to add users or connectors at the 90-day renewal conversation.

    Tom Ashdown
Right, Carole, Mick, thanks for making time. How are you both?
  2. Carole Ellerker
    Carole Ellerker
Good, thanks. I've had a look at the spec you sent. Want to walk us through the proposal?
  3. Tom Ashdown
    Tom Ashdown
Yeah, absolutely. So you've seen two demos now, Tobias has answered the technical questions. What I want to do today is make sure the commercial side makes sense to you, and then we can get a contract over the line if you're happy.
  4. Mick Rhodes
    Mick Rhodes
    Sound good.
  5. Tom Ashdown
    Tom Ashdown
Right. So, to recap, you're looking at Growth tier. That's multiple teams, lots of users, up to eight connectors, dashboards, quarterly check-ins from me. Price is 56,000 all-in for the first year. That's the subscription and the implementation bundled together.
  6. Carole Ellerker
    Carole Ellerker
    And after year one?
  7. Tom Ashdown
    Tom Ashdown
Year two onwards, it's annual renewal. So you'd renew once a year, and we'll talk 90 days before it ends about whether you want to upgrade, add users, connectors, all that. You get plenty of notice and a chance to discuss.
  8. Mick Rhodes
    Mick Rhodes
What would the renewal price be?
  9. Tom Ashdown
    Tom Ashdown
Good question. Year two it's the standard Growth annual subscription fee, we'll confirm exact pricing closer to renewal, but no surprises. That's just the subscription, no implementation second time round.
  10. Carole Ellerker
    Carole Ellerker
So we're paying 56,000 first year, then the subscription on its own after that?
  11. Tom Ashdown
    Tom Ashdown
Exactly. The implementation is a one-off in year one.
  12. Mick Rhodes
    Mick Rhodes
Are there any other costs? Like, if we want to add someone, or add a connector later?
  13. Tom Ashdown
    Tom Ashdown
Good point. So Growth includes a lot of users and connectors. If you want to go beyond that, there's a cost for each extra block, but you'd probably not hit those limits. If you do, we'll work it out with you.
  14. Carole Ellerker
    Carole Ellerker
And if we don't end up using all of it? Do we get a credit?
  15. Tom Ashdown
    Tom Ashdown
Nah, it's all included, so use it or don't. Cost is the same.
  16. Mick Rhodes
    Mick Rhodes
    Fair enough.
  17. Carole Ellerker
    Carole Ellerker
What about support? What happens if something breaks?
  18. Tom Ashdown
    Tom Ashdown
You're on Growth, so you get priority support. If something's urgent, we'll get back to you within an hour, business hours, UK time. And I'll be on your implementation, I'll check in with you every week for the first month, then quarterly after that.
  19. Carole Ellerker
    Carole Ellerker
Okay. And the contract, what's the term?
  20. Tom Ashdown
    Tom Ashdown
Annual. So you sign for one year, it renews automatically 90 days before it ends, unless you tell us you want to leave. You can also cancel during the year, but there's a thirty-day notice.
  21. Mick Rhodes
    Mick Rhodes
How long is the implementation, again?
  22. Tom Ashdown
    Tom Ashdown
Eight weeks from kick-off. That's setting up your Snowflake environment, wiring in the connectors, testing, training your team, and then you're live.
  23. Carole Ellerker
    Carole Ellerker
And we could go live before year-end if we sign now?
  24. Tom Ashdown
    Tom Ashdown
Yeah, if you signed this week we'd kick off next week, and you'd be live in late November, probably.
  25. Mick Rhodes
    Mick Rhodes
That's good for us. What about payments?
  26. Tom Ashdown
    Tom Ashdown
We'll invoice you upfront for the 56,000, and it's due within thirty days. You can pay by bank transfer, we take most major cards as well.
  27. Carole Ellerker
    Carole Ellerker
Do you do payment plans, or is it all upfront?
  28. Tom Ashdown
    Tom Ashdown
It's all upfront for the first year. The subscription can go quarterly if you'd rather, but I'd have to check with our finance team. Easy fix though.
  29. Carole Ellerker
    Carole Ellerker
Let me think about that. What else is in the contract?
  30. Tom Ashdown
    Tom Ashdown
Standard stuff, confidentiality, liabilities, what happens if either of us wants to leave. It's pretty straightforward. Our legal team drafted it, happy to walk through anything that looks dodgy to your team.
  31. Mick Rhodes
    Mick Rhodes
Cool. I think we're good. What's the next step?
  32. Tom Ashdown
    Tom Ashdown
Right. I'll send you the full contract and an order form. You have a read, get your team to check it, any questions you come back to me. Once it's signed, we get a kickoff call in the calendar and we start.
  33. Carole Ellerker
    Carole Ellerker
How long do you need us to take to review it?
  34. Tom Ashdown
    Tom Ashdown
No rush, but if you want to be live before Christmas, end of this week would be ideal. That gives you a week to review, and then we can get started.
  35. Mick Rhodes
    Mick Rhodes
I'll make sure Carole gets it top priority.
  36. Carole Ellerker
    Carole Ellerker
Yeah, I can have a look today, actually.
  37. Tom Ashdown
    Tom Ashdown
Brilliant. I'll get it over in the next hour. Anything else?
  38. Mick Rhodes
    Mick Rhodes
I don't think so. This looks good to us.
  39. Carole Ellerker
    Carole Ellerker
    Agreed. Let's move forward.
  40. Tom Ashdown
    Tom Ashdown
Cheers, both. I'll send the docs, and we'll get this over the line.
  41. Mick Rhodes
    Mick Rhodes
    Brilliant, thanks, Tom.
  42. Carole Ellerker
    Carole Ellerker
    Thanks, Tom.
