What this says
Current to 13 Oct 26Demo to Shirley Bowman, Traffic Office Manager, on 25 Sep 2023. She saw hours saved on reconciliation and wanted dashboards for the bosses. Roadway, her dispatcher, is not yet a supported connector. A Starter proposal was promised.
What happened: Tom Ashdown and Tobias Renwick demoed the chat interface to Shirley Bowman. Tobias showed overdue-job and contact queries running over Xero and Outlook data.
Customer view: Shirley said it would save hours a week and that dashboards would be good to show the bosses. She did not say who else would decide, and no buying committee member was on the call.
Commercial: Tom committed to a Starter proposal with fifteen users, four connectors and the four-week implementation. Dashboards were raised but parked for a later call.
Watch: Roadway, the dispatcher, is not supported today. Tom owes Shirley a note on it, and the Starter connector limit of four matters if CSV or API routes are needed.

Follow-up
Next steps
Current to 9 Oct 26- Tom Ashdown to check Roadway export options and send Shirley a note by the following week.
- Tom Ashdown to send the Starter proposal and book a follow-up call.
Risks
Current to 9 Oct 26- Roadway, the customer's dispatcher, is not a supported connector yet.
- Only a user-level contact was on the call, so the budget holder is unknown.
- Extra connectors for Roadway could press on the Starter limit of four.
Opportunities
Current to 9 Oct 26- Starter subscription with the four-week implementation.
- Dashboards for management as a later upgrade conversation toward Growth.
Transcript
- Tom Ashdown NoneMorning Shirley, how are you? How's the week been?
- Shirley Bowman NoneMorning Tom. Busy, end of month always is. Lots of reconciliation to do.
- Tom Ashdown NoneYeah, which is actually what we're here to help with today. I've got Tobias, our CTO, and he's going to walk you through the brain, the AI layer that sits over all your data. You'll be able to ask it questions instead of manually pulling things from your dispatcher, accounts, calls, everything.
- Shirley Bowman NoneRight. So it's like a search thing, but smarter?
- Tobias Renwick NoneMore than that. It understands context. You can ask in plain English...'which drivers said they'd be back Wednesday', and it'll find the exact calls. All your data lives in your own Snowflake account. You own it entirely. We just build the query layer on top.
- Shirley Bowman NoneOkay. What data are we talking about?
- Tobias Renwick NoneYour CRM, call recordings, emails, your accounting system, Xero, is it? and anything that connects to Snowflake. We index all of it and make it searchable.
- Tom Ashdown NoneThe implementation is about four weeks. We handle the whole thing: getting your systems talking to us, mapping fields, running your first refresh. By the end you've got something live and we hand it over.
- Shirley Bowman NoneAnd then who maintains it? Is it something I'm managing?
- Tobias Renwick NoneYour systems administrator updates connector credentials if passwords change. That's it. The refresh runs every night automatically. If something breaks, we've got support on it.
- Tom Ashdown NoneLet me get Tobias to show you the interface now. Tobias?
- Tobias Renwick NoneSharing my screen. This is the chat interface. I'm asking: 'Which customers have been contacted this week?' There we go, twenty-three results. Each linked back to the call, the email, the CRM record. Click through and you see what was said, what was promised.
- Shirley Bowman NoneRight. So I don't have to dig through Outlook?
- Tobias Renwick NoneExactly. No hunting. I'm asking something harder now. 'Show me jobs that are overdue and haven't been paid yet.' Pulling from the job tracker and the payment system. Seventeen matches. Click into one and you see job details, last contact, invoice status, and there's the call transcript.
- Shirley Bowman NoneThat would actually save us hours a week.
- Tobias Renwick NoneThat's the value. Most teams reconcile manually, comparing spreadsheets against systems. Here you just ask and the answer is current.
- Shirley Bowman NoneCan you change the questions? Or are they fixed?
- Tobias Renwick NoneYou write whatever you want. Plain English. We give templates for inspiration, but it's truly queryable.
- Tom Ashdown NoneAnd if you wanted dashboards: a real-time view of which jobs are running late, vehicles out, cash collected, we can build those too.
- Shirley Bowman NoneThat would be good to show the bosses.
- Tobias Renwick NoneWe can go into that in detail next time. For now, any questions?
- Shirley Bowman NoneJust the systems we use. You mentioned Xero, but we've also got a dispatcher called Roadway and Outlook. Can you work with all of those?
- Tobias Renwick NoneXero and Outlook, definitely. Roadway, let me check. No, not yet. But if it exports data, we usually find a way in. Could be a CSV refresh or an API. Tom, shall we look at that?
- Tom Ashdown NoneLeave that with me. I'll dig into Roadway this week, have a chat with our team, and send you a note by next week.
- Shirley Bowman NoneOkay. So if we go ahead, how quickly could you start?
- Tom Ashdown NoneAs soon as you're signed. Which brings me to the next step, I'll put a proposal together for the Starter plan. Fifteen users, four connectors, and the four-week implementation. I'll send it this week and we can do another call next week. Sound good?
- Shirley Bowman NoneYeah, that sounds good.
- Tom Ashdown NoneBrilliant. I'll get that out today and we'll get something in the diary. Cheers, Shirley.
- Shirley Bowman NoneThanks, Tom. Thanks, Tobias.
- Tobias Renwick NoneThank you. Best, Tobias.
