What this says
Current to 14 Oct 26Callie Brennan walked Abbie Gaskarth through the Salesforce, call and email mappings before the first refresh. Abbie asked for a holiday let bookings object to be added and will review the updated mappings before sign-off.
What happened: Callie walked through the mappings for contacts, opportunities, service cases, call metadata and outbound email. Abbie raised a custom holiday let bookings object with five fields, which Callie agreed to add.
Customer view: Abbie was cooperative but brief, asking mainly how recordings, transcripts and emails work. She asked who runs training and was told Daniel owns adoption.
Commercial: Early adoption is the lever for the first renewal. Call transcripts are not ingested yet and could be added if the recorder stores them.
Watch: Abbie is the only customer voice on the call, and no business owner is named. Training depends on the first refresh landing with data.

Follow-up
Next steps
Current to 9 Oct 26- Callie Brennan to add the holiday let object, map five fields and send updated mappings by Friday.
- Abbie Gaskarth to review the mappings and sign them off so the refresh can switch on.
- Daniel Okafor to run team training about a week after the first refresh.
Risks
Current to 9 Oct 26- Only one customer contact took part, and no business owner for adoption was named.
- Training depends on the first refresh landing cleanly after sign-off.
Opportunities
Current to 9 Oct 26- Call transcripts could be ingested later if the recorder stores them.
- Holiday let revenue by client and season adds context for the brain.
Transcript
- Callie Brennan NoneHi Abbie, thanks for calling in. This is the first real test, we're going to walk through the mappings I've built and get you to sign them off so we can switch the refresh on.
- Abbie Gaskarth NoneOkay, so I look at what you've done and say yes or no?
- Callie Brennan NoneRight. I've pulled the Salesforce schema and matched each field to what the brain needs. So, for example, your Contact email, that maps to the brain's contact email. Your Opportunity amount, that's the deal value. If it looks wrong, we fix it before the data flows. So let me walk you through it.
- Abbie Gaskarth NoneOkay, I'm listening.
- Callie Brennan NoneSalesforce first. Your Contact object has the email, phone, and a custom field for the client type: farm, rural business, holiday let. I've mapped all three. The phone might be useful for the brain to search on: like, give me all farms in that area and their phone numbers. That maps cleanly.
- Abbie Gaskarth NoneFine so far.
- Callie Brennan NoneOpportunities, I'm pulling in the account link, the amount, the close date, and the stage. That's so the brain can answer questions like, what deals are due to close next month, and which account are they under? Same thing with your service case object: we're pulling in the case ID, the contact, the case type: so claims, renewals, general queries, and the date it was opened.
- Abbie Gaskarth NoneAnd the call recordings, how do those work?
- Callie Brennan NoneThe call recorder pushes a daily export: metadata really, date, duration, the participants. We pull that into Snowflake and link it to the contact by phone number or email. So if the brain's asked, what conversations have we had with client X, it can pull those call records.
- Abbie Gaskarth NoneBut not the transcript?
- Callie Brennan NoneNot yet, that's something we can add if the call recorder stores transcripts and you want to ingest them. For now, we're pulling metadata. But metadata is usually enough: you can see the call happened, how long it was, and who was on it.
- Abbie Gaskarth NoneOkay, got it. What about emails?
- Callie Brennan NoneI've connected to your Google Workspace account. We'll pull in outbound emails from your team: the to, from, date, and subject. I'm linking those to Salesforce contacts by email address. So if someone asks the brain, what correspondence has there been with client X, it shows the emails. The content of the email is in there too.
- Abbie Gaskarth NoneOkay. And that all works?
- Callie Brennan NoneI've tested the mappings on test data and it works. What I need to check with you is: are there any fields in Salesforce that I've missed? Any custom objects or fields that matter for your business? Because once the refresh goes live, it'll start pulling this exact set of data every night, and we want to make sure nothing important is left out.
- Abbie Gaskarth NoneLet me think. We've got a custom object for holiday let bookings, should that be in there?
- Callie Brennan NoneDefinitely. What fields does that have?
- Abbie Gaskarth NoneUm, the booking ID, the property, the client, the dates, and the revenue for that booking.
- Callie Brennan NonePerfect. So I'll add that object and map those five fields. That'll give the brain visibility into your holiday let revenue by client and by season, which is useful context alongside their renewal and claims status. I'll rebuild the mappings, test it, and get it back to you by the end of the week. Once you say yes, we'll switch the refresh on.
- Abbie Gaskarth NoneHow long does the actual first refresh take?
- Callie Brennan NoneDepends on your data volume, but usually a couple of hours. Salesforce data comes in, call records, emails, all of it lands in Snowflake, and the brain indexes it. By morning, it should be ready. So if we switch on tomorrow night, you'd have a working brain by Friday morning.
- Abbie Gaskarth NoneAnd then I need to train the team, or does Daniel do that?
- Callie Brennan NoneDaniel runs the training: shows everyone how to ask questions, where the data is, how to use the dashboards. I'll be on hand for any technical issues, but Daniel owns the adoption side. That usually happens a week or so after the first refresh lands, just so there's data in there to play with.
- Abbie Gaskarth NoneGreat. So I review the updated mappings, say yes, and the refresh switches on?
- Callie Brennan NoneThat's it. I'll send the updated mappings by end of week, you review by early next week, I'll make any final tweaks, and then we go. If there are any problems with the refresh itself: data not landing, weird errors, I'll troubleshoot and get it sorted before Daniel does the training.
- Abbie Gaskarth NoneThanks, Callie. That's clear.
- Callie Brennan NoneNo worries. I'll get the holiday let object added and back to you by Friday. Speak then.
