What this says
Current to 13 Oct 26Kickoff on 30 Sep 2024 for Marsden Vale's Starter brain: four systems, live four weeks from the call, Shannon Lockwood as the single admin. Support and check-in cadence were set out, and the order form was confirmed signed.
What happened: Callie Brennan opened the four-week Starter implementation with Charlotte Haigh and Shannon Lockwood, with Marcus Bell joining for customer success. She said the order form is signed and the brain would be live four weeks from the call.
Customer view: Charlotte asked what value recruiters see, and was told one view of clients, open roles and invoices. Shannon confirmed she is the main admin.
Commercial: Starter support was set at a response within four business hours. Marcus described a six-monthly check-in and an annual review, whereas Tom Ashdown had spoken of a quarterly check-in on the proposal call.
Watch: One named admin is a key-person risk, and Jonathan, whom Charlotte consulted on the proposal call, was not on this call.

Follow-up
Next steps
Current to 9 Oct 26- Callie Brennan to email the credentials template and timeline on the day of the call.
- Charlotte Haigh and Shannon Lockwood to return system credentials by next Friday.
- Marcus Bell to run a training session just before go-live.
Risks
Current to 9 Oct 26- Shannon Lockwood is the only named admin, so a departure or absence would stall connector runs.
- Check-in cadence was described as six-monthly, against a quarterly check-in mentioned on the proposal call.
- Go-live depends on the customer returning system credentials by next Friday.
Opportunities
Current to 9 Oct 26- Marcus Bell will track usage month on month, giving a base for a value case at the first review.
- Marcus named more users, more connectors or a bigger tier as the next commercial conversation.
Transcript
- Callie Brennan NoneHi, everyone. Can you hear me OK? Right, brilliant. Welcome. I'm Callie, and I'll be running your implementation. This is Marcus from customer success. We're really excited to get you started on the brain. So today, what I want to do is run through the plan for the next four weeks, talk through what we need from your side, and make sure you know what to expect.
- Charlotte Haigh NoneGreat, thanks. Yes, we're very keen to get going.
- Callie Brennan NoneExcellent. So you're on Starter, which means we'll connect up to four systems to begin with. That's your CRM, your email, your helpdesk if you use one, and your accounting system. And we run that inside your Snowflake account, so all your data stays with you. Shannon, I'm assuming you'll be the main admin?
- Shannon Lockwood NoneYeah, that's me.
- Callie Brennan NonePerfect. What I need from your side is credentials for each system. API keys, or service accounts, I'll send you a template after this call and you can fill it in. Once I have those, I can start connecting the dots. Before we switch on the refresh, I'll map the fields from your systems, so your client names line up, your role titles are right, all that. That maps cleanly with recruiters.
- Shannon Lockwood NoneHow long does that take?
- Callie Brennan NoneRoughly a week once I have the credentials. So if you can get me those by next Friday, I'll have a draft map to you by the following week. Then we'll do a final check, and the connectors go live. The first refresh is a full load, takes a bit longer than normal, but you'll have the data by the next morning. After that, every night the data refreshes, so you always have today's snapshot.
- Charlotte Haigh NoneWhen would we be live to the team?
- Callie Brennan NoneBy end of October, so four weeks from now. I'll give you an exact date once we've checked the mappings. Before then, Shannon will get access to run connectors herself if anything needs a refresh, and I'll leave you a setup note. Marcus will run a training session with you just before you go live, so your team knows how to use the brain: that's search, dashboards, the chat interface.
- Marcus Bell NoneYeah, happy to do that. We usually do it in a couple of hours, get everyone comfortable with it.
- Charlotte Haigh NoneThat sounds good. And after launch, what does support look like?
- Callie Brennan NoneI'll be the main contact during the four weeks. After that, Marcus takes over. If something goes wrong: and it's rare: like a connector stops loading, Marcus logs it, and we aim to get a response to you within four business hours on Starter. If it's a bigger issue, Tom is the account executive. He's off the hook unless we need to talk about something more strategic.
- Shannon Lockwood NoneWhat counts as bigger?
- Marcus Bell NoneUsually if you want to add more users, more connectors, that kind of thing. Or if you're thinking about upgrading to a bigger tier. But day-to-day, I'm your person.
- Charlotte Haigh NoneOK, makes sense. And do you have a sense of what value you see from this in recruiters like us?
- Callie Brennan NoneYeah, definitely. Mostly it's seeing your clients, open roles and invoices in one place, so you're not jumping between systems. Saves a lot of time in finance checks, spotting invoicing gaps, that sort of thing. And when you bring on new staff, they don't need training on five different tools.
- Marcus Bell NoneAnd I'll be tracking how much the team's using the brain month on month, so we can show you if it's actually saving time. We normally do a check-in every six months, and a full review once a year.
- Charlotte Haigh NoneGreat. Is there anything we need to sign, or is everything already done?
- Callie Brennan NoneOrder form's signed, so you're all set on that. I'll email you today with the credentials template and a timeline. Any other questions?
- Shannon Lockwood NoneNo, I think that covers it.
- Marcus Bell NoneBrilliant. I'll get my contact details over today and Callie will send that template. Speak soon.
- Charlotte Haigh NoneThanks so much. Really looking forward to getting started.
- Callie Brennan NoneThanks, Charlotte. We will too. Cheers.
