What this says
As at Fri 9 Oct 2026Kickoff for Haddon Rook Logistics on Starter: four connectors (Salesforce, call recorder, Xero, Google Workspace) and fifteen users. Spencer Gaunt agreed the plan and credentials task; go-live was put at about three weeks.
What happened: Laura Penhaligon confirmed the Starter scope with Spencer Gaunt: four connectors, fifteen users. She set out the build steps, the nightly refresh and the roles. Esther Quaye introduced herself as CSM.
Customer view: Spencer gave short agreement throughout and asked only about the refresh and permissions. He did not raise price, rivals or value concerns.
Commercial: The four connectors are the Starter hard limit, so any fifth source would need the additional connectors add-on or a higher tier. A six-monthly check-in was agreed, which matches the Starter service level.
Watch: Go-live depends on Spencer's IT team supplying a Salesforce service account and the call recorder API key. Only Spencer was on the call, so the wider team was not yet engaged.

- Laura PenhaligonMorning Spencer. Great to have you on. So you signed last week, welcome. This is the kickoff where we plan your implementation. You're on Starter, four connectors, fifteen users. Does that match what you've got?
- Spencer GauntYeah, that's right.
- Esther QuayeBrilliant. So Laura and I are going to walk through the connectors with you, and then we'll get a timeline locked in. Laura, shall I hand over to you on the connectors?
- Laura PenhaligonYep. So you've got four connectors included. From the demo, I think we talked about Salesforce, your call recorder, accounting system and email. Is that still the plan?
- Spencer GauntYeah, those four make sense for us.
- Laura PenhaligonOkay. Salesforce, I'll need access to your org. That's a service account with read access. Your IT team usually handles that. For the call recorder, you'll give me the API key. Accounting system, which one are you on?
- Spencer GauntXero.
- Laura PenhaligonGood. Xero I can connect, I'll need your login details and we'll configure the connector. And email is Google Workspace?
- Spencer GauntYeah, Google Workspace.
- Laura PenhaligonPerfect. So here's the timeline. I'll get you an intake form later today, I'll need all the credentials and access details. Once I have those, I can start building the connectors. That's about a couple of weeks depending on your response time. Then we'll do a test run, make sure the data is loading correctly, and once you're happy, we'll flip it live.
- Esther QuayeJust so we're aligned, once it's live, you'll start seeing data in the brain. The nightly refresh kicks in the next day, so by the morning after you go live, you've got fresh data coming through.
- Spencer GauntWhat does the refresh do exactly?
- Laura PenhaligonEvery night, the brain pulls fresh data from Salesforce, the call recorder, Xero and Google Workspace. New call recordings, new accounts, new transactions, all of it. Completes by seven in the morning UK time on business days. So you're always starting the day with current data.
- Spencer GauntAnd the permissions, how does that work?
- Laura PenhaligonSo we'll set up roles for your team. Dispatch sees calls and exceptions. Operations sees calls, accounts and exceptions. Finance sees the Xero data. You're the admin, so you see everything. We'll configure that during the build phase.
- Esther QuayeI'll be your CSM through all of this. If you've got questions, anything that's slow or not working as expected, you reach out to me and I'll chase engineering or help directly. I've logged all the connectors today, and I'll send you a follow-up with everything we've discussed.
- Spencer GauntOkay. So what do I need to do right now?
- Laura PenhaligonTwo things. One, get your IT team to create a read-only service account for Salesforce and send me the credentials. Two, get the API key for the call recorder. Once I have those, I'm away.
- Spencer GauntI'll sort that this week.
- Esther QuayePerfect. And Spencer, once you're live, we'll have a check-in call every six months. Not pushy, just making sure everything's working and you're getting value. Does that suit you?
- Spencer GauntYeah, that's fine.
- Laura PenhaligonRight. I'll get you that intake form today. You send me the credentials, and we'll have you live in about three weeks. Sound good?
- Spencer GauntYeah, sounds good. Cheers.
- Esther QuayeBrilliant. Many thanks, Spencer. Speak soon.
