What this says
Current to 11 Oct 26Ashtonbury Housing's operations director and COO described manual cross-system reporting and a need for at-a-glance KPIs. Tom Ashdown pitched Starter; the customer asked for a quote and a follow-up call.
What happened: Tom Ashdown ran a discovery call with Kevin Duckworth and Steve Greenhalgh on 29 Sep 2026. Both described pulling repair data from the helpdesk and CRM by hand.
Customer view: Kevin builds spreadsheets to compare completed and outstanding repairs. Steve, as COO, wants to see KPIs at a glance and is chasing reports.
Commercial: Kevin counted about ten users and two main systems, which fits Starter at fifteen users and four connectors. Tom gave a ballpark of high twenties for the first year with implementation and mentioned Growth as a later step. Steve asked for a quote and a follow-up call.
Watch: the quote and the early-next-week call were promised on the call. The evidence does not show whether either happened, and no formal quote is on record.

Next steps
Current to 9 Oct 26- Tom Ashdown to send the formal Starter quote to Steve Greenhalgh and Kevin Duckworth.
- Tom Ashdown to confirm the follow-up call and walk through implementation and the 90 days' notice term.
Risks
Current to 9 Oct 26- The quote was only a verbal ballpark, so price expectations are not yet anchored in a written proposal.
- The evidence does not show whether the quote or the follow-up call has happened.
Opportunities
Current to 9 Oct 26- Starter fits about ten users and two main systems, with Growth as a path if users or connectors increase.
- The COO wants KPI visibility, which a brain over the helpdesk and CRM addresses directly.
Transcript
- Tom Ashdown NoneRight, Kevin, Steve, hi, can you both hear me?
- Kevin Duckworth NoneYep, we're good.
- Steve Greenhalgh NoneAll set.
- Tom Ashdown NoneGreat. So, bit of background on what we do, BB-Demo is a data layer on top of your CRM, your calls, email, helpdesk, whatever. You ask it questions, and it answers from all those systems at once. But I don't want to just talk at you, I want to understand what you're actually trying to solve. Kevin, you're the operations director, so what's the main challenge you're facing day to day?
- Kevin Duckworth NoneWell, we manage stock, we manage calls and enquiries from residents, and we've got data all over the place. CRM, helpdesk tickets, spreadsheets. When I need a report on, say, how many repairs we've completed versus how many are outstanding, I've got to pull from the helpdesk, cross-reference it with the CRM, build a spreadsheet myself. It takes a while.
- Tom Ashdown NoneSo you're doing manual reporting?
- Kevin Duckworth NoneExactly that.
- Steve Greenhalgh NoneAnd from my end, as COO, I need to know if we're hitting our KPIs: response time on repairs, resident satisfaction, completion rates. Right now I'm chasing Kevin for reports or I'm digging into dashboards that don't quite show what I need.
- Tom Ashdown NoneSo you need better visibility into operations.
- Steve Greenhalgh NoneThat's it. I need to know at a glance if we're on track.
- Tom Ashdown NoneThat's very much what we solve. So how many people would actually use something like this? How many would need access to reports and queries?
- Kevin Duckworth NoneThere's me and my team, about six people. And Steve, obviously. And then probably two or three other managers who might want to run their own reports.
- Tom Ashdown NoneSo, ten people give or take?
- Kevin Duckworth NoneYeah, about that. For now, anyway.
- Tom Ashdown NoneAnd systems, you've got the helpdesk and a CRM. Are there others?
- Kevin Duckworth NoneNot really. We've got email, internal chat, but the meat of the data is in the helpdesk and the CRM.
- Tom Ashdown NonePerfect. So, we have a tier called Starter: it's designed for smaller teams, fifteen users, four data connectors, and it includes a quarterly check-in with us. The implementation is about four weeks, and then you're on the subscription. Would that kind of fit your needs?
- Steve Greenhalgh NoneWhat's the cost?
- Tom Ashdown NoneI'll send you over a formal quote, but to give you a ballpark, we're talking high twenties for the first year, all-in, with implementation.
- Steve Greenhalgh NoneAnd what's the commitment?
- Tom Ashdown NoneAnnual. So you'd commit for a year, then it renews. If you want to cancel, ninety days' notice.
- Kevin Duckworth NoneHow long would implementation actually take?
- Tom Ashdown NoneAbout four weeks. We'd get Snowflake set up: that's the infrastructure we run in: connect your helpdesk and CRM, do some training, and you'd be live.
- Steve Greenhalgh NoneWhat does training look like?
- Tom Ashdown NoneIt's a couple of hours with your team, going through how to use it, how to ask questions. After that, we're here if you need help.
- Kevin Duckworth NoneAnd if we need more features or more users, you can scale us?
- Tom Ashdown NoneAbsolutely. We've got a Growth tier with forty users if you outgrow Starter. But that's a later conversation, let's get you live first.
- Steve Greenhalgh NoneAll right. Send us the quote and let's set up a proper call to discuss next steps.
- Tom Ashdown NoneWill do. I'll get that out tomorrow, and let's get something in the diary for early next week?
- Kevin Duckworth NoneYeah, that works for us.
- Tom Ashdown NonePerfect. Cheers both.
