What this says
Current to 11 Oct 26Hannah Lowe demoed the brain on Kestle Bay's HubSpot sandbox to Sam Hollis and Rob Gledhill. Both were positive. Rob wants to know the cost and go-live date, and Tom Ashdown promised a proposal the following week.
What happened: On the 30 Sep 2024 demo, Hannah Lowe showed plain-English search over anonymised HubSpot data, including a Falmouth-only complaints filter. Sam Hollis and Rob Gledhill, Client Services Manager, both asked practical questions.
Customer view: Sam said it looked pretty good. Rob said it could work and wants to know what it costs and when it could be live.
Commercial: Tom Ashdown promised a proposal with pricing and an implementation timeline. That proposal is an open item, not an agreement.
Watch: Tom said four connectors would be live and indexed by the end of the first week, while discovery quoted a four-week implementation. The timeline in the proposal needs to reconcile the two.

Follow-up
Next steps
Current to 9 Oct 26- Tom Ashdown to send the proposal with pricing and implementation timeline to Sam Hollis and Rob Gledhill.
Risks
Current to 9 Oct 26- Rob wants cost and go-live date, and the first-week indexing claim may clash with a four-week implementation.
- The evidence does not show who approves spend, and Starter's four connectors are a hard limit.
Opportunities
Current to 9 Oct 26- The fourth Starter connector is open, with Slack suggested, and extra connectors could be sold later.
- Kestle Bay can build its own dashboards on Snowflake, which points toward Growth.

- Tom Ashdown NoneHi everyone, thanks for joining. Hannah's going to walk you through how the brain works on your data. Hannah?
- Hannah Lowe NoneThanks, Tom. Hi Sam, hi Rob. So, I've got a connection set up to your HubSpot sandbox, and what I'll show you today is what the brain sees when it pulls your guest records, your interactions, and your emails. Can everyone see my screen?
- Sam Hollis NoneYeah, we've got it.
- Hannah Lowe NoneRight. So the short answer is: you ask the brain a question in plain English, it searches across all your systems at once and gives you an answer. The longer answer is that we've indexed your data, anonymised for this demo, and we've built what's called a semantic layer so it understands context. Let me show you. I'm asking: 'Show me guest complaints from August.' Watch what happens.
- Rob Gledhill NoneHow long does that search take?
- Hannah Lowe NoneInstant, under a second. And you can see it's pulled the records and it's ranked them by relevance. So here's a complaint about a room issue, here's one about check-in. You can click through to the original email or the call note. To be precise, that's all linked back to the source, so your team's not looking at a copy.
- Sam Hollis NoneCan I narrow that down? What if I just want August complaints from the Falmouth property?
- Hannah Lowe NoneYeah, you can filter. The brain understands location, it understands the date, so you'd ask: 'August complaints, Falmouth only.' And watch, it re-ranks. Now you've got just the three that match. That's the power of it. You're not running separate reports in three systems.
- Tom Ashdown NoneAnd this is what you'd get on day one. We bring in HubSpot, Zendesk, Outlook, four connectors live, and it's all indexed by the end of the first week.
- Hannah Lowe NoneRight. And I'll talk about the connectors. On Starter you get four: CRM, helpdesk, email, and one more of your choosing. We'd recommend Slack if you're using it for comms, but that's up to you. Each connector syncs nightly, so if a guest books a new reservation today, it's in the brain by 07:00 tomorrow. If you make a note in Zendesk, same thing.
- Rob Gledhill NoneWhat if a system goes down? Does the brain stop working?
- Hannah Lowe NoneNo, we've got 99.5 availability, which means it's up and running 99.5 per cent of the time. And if there's an outage: your data doesn't change, so even if Zendesk is down, the brain still has the last synced copy and you can still ask it questions. You won't lose anything.
- Sam Hollis NoneAnd you said this all lives in our Snowflake account?
- Hannah Lowe NoneYes. We run inside your account, you control access, you own the data. We refresh it every night. And, because it's your Snowflake, you can also plug in other tools if you want. Build your own dashboards on top of it, or write your own queries.
- Tom Ashdown NoneSo the next bit, do you both feel like this is something you'd want to run with? Any other questions?
- Sam Hollis NoneLooks pretty good to me. Rob?
- Rob Gledhill NoneYeah, I think this could work. Want to know what it costs and when you could get it live.
- Tom Ashdown NoneRight. Let me send over a proposal with the pricing, the implementation timeline, and we'll get that in your hands next week. Sound good?
- Sam Hollis NoneYeah, great. Cheers.
