What this says
Current to 11 Oct 26Onboarding call with Helen Varley and Sunita Bains on the contract documents connector, role permissions and helpdesk data. Open points: a live versus archive folder check and a second admin. Helen found a use for repeat delivery queries.
What happened: Callie Brennan covered the last of four connectors (contract documents), a three-group permissions model and the helpdesk view of delivery queries by trust. Sunita agreed to sort live and archive folders by Wednesday before the connector is switched on.
Customer view: Helen chose open access to orders and helpdesk data, with contract terms restricted to the owner and herself. She said the repeat-query cluster is a conversation she can have with the trust, and with facts.
Commercial: The helpdesk view shows early value to the commercial operations lead. Restricting contract documents by data source is a configuration, not a change of tier.
Watch: Sunita is the only admin and no second admin has been named. An expired contract appearing as live would damage trust in the brain.

Follow-up
Next steps
Current to 9 Oct 26- Sunita Bains to mark live and archive contract folders by Wednesday.
- Callie Brennan to set the permissions by data source and show Helen they work before others are added.
- Sunita Bains to ask the order export owner in IT about becoming second admin.
Risks
Current to 9 Oct 26- Sunita Bains is the only admin and no second admin has been named, so a lapsed credential could go unfixed.
- Expired agreements could show as current if live and archive contract folders are not separated before the connector is switched on.
Opportunities
Current to 9 Oct 26- The repeat delivery query view gives Helen Varley a concrete use with her account managers, which supports adoption of the helpdesk connector.
Transcript
- Callie Brennan NoneMorning, both. Weekend all right?
- Helen Varley NoneMorning. Wet. Football in the rain, enough said. Sunita, how about you?
- Sunita Bains NoneQuiet, thankfully. Morning Callie.
- Callie Brennan NoneRight, the plan for the hour. First, the contract documents connector, which is the last of the four. Second, who can see what, so the roles and permissions. Third, a look at how the helpdesk data has settled in since last week.
- Helen Varley NoneMine's the same, plus one thing at the end. A trust that's been on the phone to me twice.
- Callie Brennan NoneNoted, we'll leave time. Let's start with the documents. Sunita, you gave me folder access on Friday. Thank you. What I found is that the contracts sit in a lot of subfolders, one per trust, and the naming isn't consistent.
- Sunita Bains NoneYes. That's years of different people. Some are called the trust name, some have the word contract, some have a year.
- Callie Brennan NoneThat's okay, the brain doesn't care about folder names, it reads the documents. But I'd like a list of which folders are live contracts and which are archive, otherwise an expired agreement could show up as current.
- Helen Varley NoneThat would be bad. Wrong renewal date, wrong conversation with the trust.
- Sunita Bains NoneI can do that. There's an archive folder at the top, most of the old ones are in there. The ones outside should be live.
- Callie Brennan NoneShould be. I'd rather we checked than assumed. Could you do a quick pass this week, and mark any exceptions?
- Sunita Bains NoneYes. I'll sort it by Wednesday.
- Callie Brennan NoneBrilliant. I'll switch the connector on after that and not before. Next, permissions. What I need from your side is a decision on three groups. Admins, who manage connectors and users. Account managers, who see their own trusts. And a wider group, like Helen, who see everything.
- Helen Varley NoneAccount managers see their own trusts only? Why not all of them?
- Callie Brennan NoneIt's your choice entirely. Some customers like the ring-fence, some like everyone seeing everything. It's a setting, not a rebuild, so you can change it later.
- Helen Varley NoneI'd go with everyone sees everything on orders and queries. But contract terms, only the owner and me. Is that possible?
- Callie Brennan NoneIt is. I'd do it by data source. Orders and helpdesk open to all account managers, contract documents restricted. I'll set that up and show you it working before anyone else is added.
- Sunita Bains NoneAnd I stay admin. Is it just me, or can there be a second one?
- Callie Brennan NoneI'd really recommend a second. If you're on leave and a connector credential expires, nobody can fix it. Is there someone in IT who'd take it on?
- Sunita Bains NoneProbably the colleague who owns the order export. I'll ask.
- Callie Brennan NoneGood. Now, the helpdesk data. Let me share. So here's the last week of delivery queries across all trusts, grouped by trust. You can see the top three by volume.
- Helen Varley NoneThat one at the top, I know why. Their drivers changed. What I didn't know was how many were repeats.
- Callie Brennan NoneThe brain flags repeats from the same practice about the same order. Look, there. A cluster.
- Helen Varley NoneRight. I'll take that to the account managers today. That's a conversation I can have with the trust, and with facts.
- Callie Brennan NoneThat's precisely the sort of thing it's for. Okay. Recap. Sunita, live and archive folders by Wednesday, and a possible second admin. Helen, I'll set the permissions as described. I connect the documents after the folders are checked. Setup note updated tonight.
- Helen Varley NoneAnd the trust that rang me twice, can we do that now? Two minutes.
- Callie Brennan NoneOf course. Which trust?
- Helen Varley NoneLet me pull the name up. Right. Here, this one.
- Callie Brennan NoneOkay, I can see their open queries. Three, all about the same product line. I'll leave you with it. Thanks, both. Thanks, Callie.
