What this says
Current to 11 Oct 26Onboarding call on 16 May 2024 agreed four starting connectors and their order. Sunita Bains is the only admin and the parent account field is patchy. Helen Varley insists on views by trust.
What happened: Callie Brennan confirmed four connectors: CRM, helpdesk, order system and the contract renewals spreadsheet. Sunita Bains will export the account list so Callie can check the parent field before the refresh is switched on.
Customer view: Helen Varley wants everything by trust and does not want her NHS key-account manager reading care home contracts. Permissions will follow groups by book.
Watch: Sunita is the only admin, and Callie asked for a second one by the end of onboarding. Helen only said she would think about it, so cover is still open.
Commercial: The Growth tier allows eight connectors and four are in use, so there is headroom for more sources later.

Follow-up
Next steps
Current to 9 Oct 26- Sunita Bains exports the account list with the parent field for Callie Brennan to check.
- Helen Varley names a second admin and chases operations for order system access.
- Callie Brennan writes the setup note recording each connector, its owner and its mapping.
Risks
Current to 9 Oct 26- Sunita Bains is the only admin, so a stopped connector may go unseen if she is away.
- The parent account field is not filled in for all trusts, so views by trust may need manual cleanup.
- The contract renewals spreadsheet is inconsistent and is the last connector to be built.
Opportunities
Current to 9 Oct 26- Four of eight Growth connectors are in use, leaving headroom for further sources.
- Group-based permissions by book show the brain can serve each key-account team separately.
Transcript
- Callie Brennan NoneMorning, both. Can you hear me okay? Lovely. So, the plan for the next hour. First, a quick look at where we are. Second, what I need from your side for each connector. Third, who owns what once it's running. And I'll put a date against every step before we finish.
- Helen Varley NoneMorning, Callie. That's roughly my three points too, so we're aligned. I'll listen mostly, Sunita's the one doing the connecting.
- Sunita Bains NoneMorning. Yes, I'm the CRM administrator, so most of the access goes through me. I've been through the checklist you sent.
- Callie Brennan NoneBrilliant. So, as a reminder, you're on Growth, up to forty users and eight connectors, and we've agreed four to start with. Sunita, can you confirm which four, so that we're all reading from the same list?
- Sunita Bains NoneThe CRM, the helpdesk, the order system, and the contract renewals spreadsheet. The spreadsheet is the awkward one, because it's a file on a shared drive and it isn't very consistent.
- Callie Brennan NoneThat's fine, we see those a lot. What I need from your side is a read-only account for each of the three systems, and the path to the spreadsheet. I never start a connector without written access, so an email is enough.
- Sunita Bains NoneOkay. For the CRM I can create an integration user myself. For the helpdesk I think I need to ask our IT colleague, and the order system is owned by operations.
- Helen Varley NoneOperations is mine. I'll take that. Sunita, send me exactly what you need and I'll have it done by the end of the week.
- Sunita Bains NoneI'll send it straight after this call. Thank you, Helen.
- Callie Brennan NonePerfect. Then the order, so we're not tripping over each other. CRM first, because it's the backbone and everything hangs from the account records. Then the helpdesk, then the order system, then the spreadsheet last, because that's where the mapping needs thought.
- Helen Varley NoneBy trust, please. Whatever you build, I want to see it by trust. That's how my key-account managers think.
- Callie Brennan NoneUnderstood. That's a mapping question, and it's the right one to ask now. In the CRM, what identifies a trust? Is there a single field, or is it the account name?
- Sunita Bains NoneIt's the account name mostly, but there's a parent account field as well, because some trusts have several sites. It's not filled in for all of them, to be honest.
- Callie Brennan NoneRight. So I'd rather not say that maps cleanly, because I haven't looked at the data yet. Can you export the account list with the parent field, just the names and the field, and I'll check it before we switch on the refresh?
- Sunita Bains NoneYes, I can do that this afternoon. Is it okay if some are blank?
- Callie Brennan NoneThat's exactly what I want to see. Blanks tell me where the work is.
- Helen Varley NoneWhat about people? Who gets to see what? My NHS key-account manager shouldn't be reading the care home contracts, for example.
- Callie Brennan NoneGood point. Permissions follow groups, so we set up groups by book: NHS, GP practices and care homes. Sunita will be the admin who manages that. I'll show you where in the admin pages.
- Sunita Bains NoneAnd I'm the only admin at the moment. Is that a problem?
- Callie Brennan NoneNot today, but I'd name a second one by the end of onboarding. If you're away and a connector stops loading, someone needs to be able to look. Helen, is there someone in operations?
- Helen Varley NoneI'll think about it. Probably someone from my team. I'll tell you next time.
- Callie Brennan NoneOkay, dates. Access for the CRM from Sunita this week. The account export this afternoon. The helpdesk and order system access by the end of next week. I'll do the first CRM refresh the week after, and we meet again to check it. Does that work?
- Sunita Bains NoneThat works for me.
- Helen Varley NoneFine by me. I'll chase operations myself.
- Callie Brennan NoneOne last thing. I'll write a setup note as we go, so that you have a record of every connector, who owns it and what it maps to. I never hand over without one.
- Sunita Bains NoneThat would be really useful. Thank you.
- Callie Brennan NoneBrilliant. Thanks both, speak soon. Thanks, Callie.
