Current to 11 Oct 26Tom Ashdown restates the £56,000 Growth tier figure as total deal value including implementation and targets 16 Aug 2024. Helen Marsden will not commit to a date until arrears are traced to source on her own extract, and wants the cover of the price stated.
Ask: Helen wants a source-tracing session on Calderbrook's own arrears extract before the order form reaches her. She also wants a clear statement of what the £56,000 covers and what it does not.
Customer view: arrears do not reconcile to the housing system and the board will ask why. Her legal team will need time with the order form.
Next: Tom books the session and confirms order form wording with Owen Tallis. Helen sends the extract.

- Tom Ashdown 6 Aug 2024 09:04Hi Helen, Thanks for your time on the call last week. I hope the board pack deadline hasn't eaten your whole month. Just a short note to pull together where we've got to, so we're both looking at the same page. We're proposing the Growth tier for Calderbrook. The figure in the proposal is £56,000. That is the total deal value and it includes the one-off implementation, so please don't read it as an annual subscription price. I'll confirm the split against the order form before anything goes to you for signature, as I don't want to quote you from memory. I've copied Owen Tallis, our VP Sales, as he's looking over the commercial terms with me. We're aiming to have this wrapped up by 16 Aug 2024 if that still works at your end. Could you let me know whether there's anything outstanding on your side, either on the figures or on how the brain will join up your tenant calls, repairs tickets and arrears data? Happy to pick up the phone if easier. Best, Tom Tom Ashdown Account Executive, BB-Demo
- Helen Marsden 7 Aug 2024 14:02Dear Tom, Thank you for the summary. Two things from my side. First, the arrears section of the board pack. At the moment these don't reconcile to the housing management system, and the board will ask why. Before we sign anything I need to see how the brain traces a rent arrears figure back to its source record. Can you show me the source, using our own extract rather than a demonstration dataset? Second, I'd like a clear statement of what the £56,000 covers and what it does not. I would rather not discover later that something I assumed was included is an extra. I appreciate you have a date in mind. I can't commit to it until I've seen the first point. Kind regards, Helen
- Tom Ashdown 9 Aug 2024 13:53Hi Helen, Fair points, both, and no drama. On the source tracing: yes, we can do that on your own extract. Our team will take an arrears figure and walk it back, record by record, to the housing management system, so you can see exactly where each number comes from. Leave that with me and I'll get a session in the diary for you and whoever from your team you'd like in the room. On the price: the £56,000 is the total value of the deal, covering the implementation and the subscription together. The order form will set out the split clearly, and I'll confirm the exact wording with Owen before it reaches you. I'm not going to quote you a breakdown off the top of my head. The 16 Aug 2024 date is a target, not a deadline. If the session pushes it, we move it. Owen's copied in so he can see where we've landed. Cheers, Tom
- Helen Marsden 9 Aug 2024 15:12Tom, Thank you, that's helpful. I'd like the walkthrough to happen before the order form comes to me, not alongside it, so that I'm reading the contract with the answer already in hand. Our legal team will also need time with the order form once it arrives, so please bear that in mind when you talk to Owen about timing. I will send you the extract early next week. Kind regards, Helen
