Final renewal proposal dated 11 Jun 2026 for a Growth subscription ending 22 Aug 2026, contracted at £44k. It proposes renewing on Growth at the current list price, flags low usage and one overdue invoice, and states no discount.

What it is: a renewal proposal from Priya Raman to the customer, stored as final, version one. It says "Your Growth subscription runs to 22 Aug 2026" and proposes a further annual term on Growth.

Commits: it states the current contract (Growth, £44k, 40 licensed users) and says the executed order form remains the record. Growth service credits "cover availability only".

Unusual: the usage picture is candid: "the brain is being used by far fewer people than it is licensed for". It also holds the order form back until the overdue invoice is cleared.

Not settled: the renewal price is not stated, only that it "replaces the £44k you pay today" at the current Growth list price. User numbers, the renewal decision owner and the outcome of the two tickets are open. The document does not show whether it was accepted, and the term end is before the as-of date.

Ashwell Mercer Interiors - Renewal Proposal

Prepared by: Priya Raman, Account Executive, BG-Demo Customer success contact: Marcus Bell, BG-Demo Date: 11 Jun 2026 Status: Final, version one Tier: Growth

Why we are writing

Your Growth subscription runs to 22 Aug 2026. This paper sets out what we propose for the renewal, where the account stands today, and what we think needs to happen between now and the end of the term to make the next year worth having. We have tried to be straightforward about the usage picture, because it is not where either of us would want it to be.

Where you started

Ashwell Mercer Interiors joined BG-Demo on 23 Aug 2024. You bought Growth so that your project, commercial and credit-control teams could see each client's projects, variations, calls and invoices in one place, instead of reconciling them by hand across several systems. That was the point of the brain for you, and it remains the right test of whether it is working.

The executed order form is the record of your contracted price and terms. Nothing in this proposal changes it before the term ends.

Usage and account health

The honest summary is that the brain is being used by far fewer people than it is licensed for.

  • Active users. Over the last thirty days only a handful of people were active, against forty licensed users. That is about a third lower than the previous quarter.
  • Support. There were two tickets in the last thirty days, one of them high priority. Marcus is looking at both and will confirm the outcome with your team directly.
  • Billing. One invoice is currently overdue. We would like to clear that with your finance team before any renewal paperwork is raised, so the two things do not get tangled together.

A falling user count alongside very few tickets can mean people have quietly gone back to their old routines. We would rather say that plainly now than discover it at the end of the term.

What we propose

Renew on Growth

We propose renewing on the Growth tier for a further annual term starting the day after the current term ends, with the same user allowance and connector allowance, the dashboards builder and quarterly business reviews.

Pricing

Because this renewal begins after 1 Jul 2026, it moves from the original price book to the current Growth list price. The figure will be stated in the order form, and it replaces the £44k you pay today. Any first-term discount from your original purchase ends at renewal. We are not offering a further discount in this paper.

Right-sizing the users

If the working group is now smaller than forty, we would rather talk about it than have you pay for seats nobody uses. Marcus can review who is actually asking questions and which teams have dropped away, and we can then decide together whether the licensed users should stay as they are or whether the better answer is to bring the dormant teams back in.

Service levels

The standard Growth service levels continue to apply: availability commitment, first response on priority tickets, and the nightly refresh finishing before the working day starts. Service credits for Growth cover availability only. Anything different would need to be written into the executed order form.

Next steps

  • Please let us know who on your side should own the renewal decision. We would like a commercial or finance voice in the room as well as the day-to-day users.
  • Marcus will book the adoption review and share what it finds before we discuss price.
  • Once we agree scope, I will send the order form so there is time to sign comfortably before the term ends.

Happy to make this easy. If anything in this paper does not match how things look from your side, tell us and we will correct it.

Best, Priya
