Internal draft renewal proposal dated 8 Jun 2026 for the Growth subscription, current term 23 Aug 2024 to 22 Aug 2026. Contracted figure £44k, 40 users. Renewal price is not fixed: it is to be set at the current Growth list price once pricing sign-off is complete.

What it is: an internal draft by Priya Raman, marked "Status: Draft" and prepared "for internal review before anything goes to the customer". It is not a contract and was not issued.

Commits: nothing binds a party. It restates the current term and £44k a year with 40 licensed users, and says the executed order form wins where the two differ.

Unusual: the renewal price is left open. It says the renewal "is priced at the current Growth list price rather than £44k", with the figure confirmed in the order form. Any first-term discount ends at renewal and no new discount is proposed.

Not settled: the sponsor, the user count, the cause of the overdue invoice and the high-priority ticket outcome. The document does not show whether the renewal was signed. The term end of 22 Aug 2026 is before the as-of date, so check the executed order form.

Purpose

This proposal sets out how we renew the Growth subscription for Ashwell Mercer Interiors when the current term ends on 22 Aug 2026. The aim is to keep the brain running without a gap, and to make sure the customer can see what it is getting for the money before they are asked to sign.

Where we are today

Ashwell Mercer bought Growth so that its project, commercial and credit-control teams could see each client's projects, variations, calls and invoices in one place. The subscription has run since 23 Aug 2024 at £44k a year, with 40 licensed users.

The picture going into renewal is mixed, and we should be straight about it:

Read the whole document (5,236 characters)
  • Usage has fallen. Average daily active users over the last month are well below the licensed 40, and they are down sharply on the prior quarter. Adoption, not access, is the issue.
  • Support contact is light. There have been two tickets in the last month, one of them high priority. We should read the detail of that high-priority ticket before the customer conversation.
  • One invoice is overdue. Accounting shows a single overdue invoice. We need to confirm with our finance team whether this is a payment delay on the customer's side or something we got wrong on our side, before anyone raises it with the customer.

None of this says the customer is leaving. It does say we should not treat renewal as automatic.

What the customer has under Growth

  • The brain across the connected systems, with pages, chat and search
  • The dashboards builder
  • Quarterly business reviews with the customer success manager
  • The Growth user and connector allowances
  • The standard Growth service levels for availability and priority incident response, with the nightly refresh finished before the working day starts

The existing order form remains the reference for anything specific to this customer. Where this draft and the executed order form differ, the order form wins.

Proposal

Option A: renew on Growth, as is

A one-year renewal on Growth with the same scope, billed annually in advance. Because this account signed under the earlier price book and its first renewal falls after the price change date, the renewal is priced at the current Growth list price rather than £44k. The exact figure will be confirmed in the order form once pricing sign-off is complete. The uplift is a known change that every customer on the earlier price book has already been told about, and we should say so plainly rather than let it land as a surprise.

Any first-term discount from the original deal ends at renewal. We do not propose a new discount at this stage.

Option B: renew on Growth with a right-sizing conversation

If the customer says 40 users is more than the business needs, we should hear that and discuss it openly, rather than defend the number. The alternative is to rebuild usage first. A reset of who the brain is for, which teams are in and which questions it should answer, may do more for the renewal than any change of price.

What we would not recommend

We would not move the customer to another tier for the sake of it. Usage does not show a need for Enterprise capability, and moving up while adoption is falling would only make the value question harder.

Making the value case

Before the renewal conversation, Marcus Bell should prepare a short value summary for the customer covering:

  1. Which teams are asking questions, and which have gone quiet
  2. The connectors that matter most to project, commercial and credit-control work, and whether each is still loading
  3. Any dashboards the customer has built, as a sign of their own investment
  4. The open ticket history, and what we did about it

The point is to show what the brain does for them in their own terms, not ours.

Open points

  • Renewal price to be confirmed at the current Growth list price
  • Who at the customer is the right sponsor for the renewal decision
  • Whether the customer wants to change the number of licensed users
  • Cause and status of the overdue invoice

This draft will be superseded by the executed order form once signed.
