A BG-Demo QBR deck for a Growth tier customer, prepared by Marcus Bell and dated 1 Jan 2026. It reports slipping usage across 40 licensed users, quiet support, one overdue invoice and a term ending 22 Aug 2026. It sets no service terms.

What it is: a customer-facing QBR deck from Marcus Bell, Customer Success Manager, stored as final, version 1. It states contracted annual recurring revenue of £44k and 40 licensed users, and says only "a handful of people were active on an average day".

Commits: Marcus to share the review, book working sessions with the three teams, confirm the overdue invoice details with finance and report back at the next quarterly review. He also says the ninety-day renewal notice "will come from me".

Unusual: the deck is candid about risk, naming key-person dependence and linking quiet support to falling use. It treats the overdue invoice as possibly BG-Demo's own error.

Not settled: why usage fell, which invoice is overdue, and the amount. It states no availability, response time or price beyond the £44k figure, and it is not a contract.

Ashwell Mercer Interiors - QBR

Quarterly business review, Growth tier Prepared by Marcus Bell, Customer Success Manager, BG-Demo Date: Thursday 1 January 2026 Status: Final, version 1

1. Purpose of this review

  • Look at how B-Glass is being used across the project, commercial and credit-control teams.
  • Be straight about where usage has slipped, and agree what would help.
  • Agree next steps well ahead of the contract end date of 22 Aug 2026.

I have pulled the numbers from the platform and the helpdesk. Where the evidence does not show something, I say so rather than guess.

Growth was bought so that project, commercial and credit-control teams can see each client's projects, variations, calls and invoices in one place. The dashboards builder and quarterly reviews like this one are part of the tier.

3. Usage: the headline

Read the whole document (5,153 characters)
  • You have 40 licensed users. Over the last thirty days only a handful of people were active on an average day.
  • Compared with the prior quarter, average active users have fallen noticeably.
  • That leaves most of the licensed seats unused.

What this tells us

The brain is being used by a small group rather than by the three teams it was bought for. A small group means the value depends on very few people, and if one of them is away or moves on, day-to-day use drops further.

What the evidence does not show

The usage figures do not tell us why people stopped. It could be workload, a change in how projects are run, or the brain not yet answering the questions people have. That is a conversation to have with you, not a conclusion to draw from a chart.

4. Support activity

Measure (last thirty days)Result
Tickets raisedTwo
High priority ticketsNone

Two tickets from a licence of this size is quiet. Quiet on its own is not a good sign here: it fits with fewer people using the brain, rather than with a team that is finding everything works. I would rather hear small frustrations than none.

5. Billing

  • One invoice is showing as overdue in our accounting records.
  • We have no information on the reason. It may be a routine processing delay on your side, or it may be something we have got wrong on ours.
  • I will ask our finance team to confirm the invoice details so that your finance team has what it needs.

This is a housekeeping point and not a comment on how you feel about the service.

6. Where value should come from

The Growth tier was bought for three groups. For each, here is what the brain is meant to do and what we would like to check with you.

TeamWhat the brain should give themQuestion for you
Project teamsEach client's projects, variations and call notes in one viewDo site and project managers still reach for spreadsheets first?
CommercialVariations and client conversations alongside the account historyIs the commercial team asking the brain before client meetings?
Credit controlInvoices and client calls together, so chasing is informedIs credit control using it to prepare, or working from the accounting system alone?

7. What I would like to do

  1. Re-engage the three teams. A short working session with each team, using your own project data, focused on the questions they ask most often.
  2. Identify the regular users. Find out who the few active people are and what they find useful, so we can build on it.
  3. Review the dashboards. Check whether any dashboards built earlier still answer today's questions, and retire or rebuild the ones that do not.
  4. Check the connected systems. Confirm that everything connected is still loading as expected, in case a change on your side has affected a source.
  5. Clear the invoice query. Settle the overdue invoice so it is not a distraction.

I am happy to jump on a call to go through any of this.

8. Looking ahead to the renewal

  • The current term ends on 22 Aug 2026.
  • The ninety-day renewal notice will come from me well before then, and I would like us to have a shared view of the value the brain is delivering by that point.
  • Commercial terms sit with Priya Raman, and she will be involved in that conversation.

The most useful thing between now and the notice is a visible increase in how many of your 40 licensed users are asking questions.
