Final renewal proposal dated 25 Aug 2026 recommending Carnmoor move from Growth to Starter at £22k a year, the Starter list price, from the end of the term on 1 Dec 2026. It is not an executed order form. It states no availability or P1 response figure.

What it is: a renewal proposal from Sophie Ling to Ian Prendergast, Finance Director, marked Final version two. It recommends a smaller tier because usage has fallen to "around six active users on average" against forty licensed seats.

Commits: nothing binding. It proposes Starter at "Twenty-two thousand pounds a year, the current Starter list price", billed "Annual, in advance, on the standard payment terms", with fifteen named users, four connectors and a six-monthly check-in.

Unusual: it is a downgrade. The leasing-system and billing ledger connectors are retired, and the dashboards builder and quarterly reviews would not continue.

Not settled: the document says "Nothing in this document is an executed order form." It does not say which four connectors remain, whether Ian accepts, or the Starter availability and P1 response figures. The current contracted figure it cites is £42k.

Carnmoor Fleet Leasing - Renewal Proposal

Prepared for: Ian Prendergast, Finance Director, Carnmoor Fleet Leasing Prepared by: Sophie Ling, Account Executive, BB-Demo Customer success manager: Amara Obi Date: 25 Aug 2026 Status: Final (version two, replacing the earlier draft)

Summary

This proposal sets out how BB-Demo recommends the company brain is renewed for Carnmoor Fleet Leasing when the current term ends on Tuesday 1 December 2026. Our recommendation is to move from the Growth tier to the Starter tier, at the current Starter list price, for a new term beginning the day after the present one ends.

We have written this because the way the brain is used today no longer matches what the Growth contract was sized for. We would rather put a right-sized renewal in front of you now than ask you to renew something you would struggle to justify to your board.

What the usage tells us

The number of people using the brain each day has fallen markedly. Over the last month there have been around six active users on average, which is a small fraction of the forty licensed seats and a sharp fall on the previous quarter. We read this as a smaller group of regular users, not as dissatisfaction: nobody has raised a ticket, and nobody has asked us for help.

The Growth tier was bought so that corporate account managers, the driver service desk and remarketing could see each client's fleet, queries and invoices together. Today the brain is being used by a much narrower group than that, and we do not think it is right to ask you to carry a tier built for a wider audience.

What we propose

Annual subscriptionTwenty-two thousand pounds a year, the current Starter list price
New term startsThe day after the current term ends on 1 Dec 2026

Customer successSix-monthly check-in
BillingAnnual, in advance, on the standard payment terms

The subscription figure is the list price for the tier. It is an annual price, and it is compared with the contracted £42k you pay today, so the reduction in pounds is the difference between those two figures.

Connectors being retired

The Starter tier has a fixed limit of four connectors, so the renewal changes what is connected:

  • The leasing-system connector is retired.
  • The billing ledger connector is retired.
  • The remaining sources stay connected, within the four the Starter tier allows.

We will confirm with your team which sources sit in the four before the new term begins, so that nothing is switched off by surprise. Retiring a connector means the brain stops indexing that source, and anything built on it will no longer refresh.

What changes for your team

  • Users: the Starter tier includes fifteen named users, with a soft limit. That comfortably covers the group using the brain today.
  • Dashboards builder and quarterly reviews: these belong to the Growth tier and would not continue. The six-monthly check-in replaces the quarterly review.
  • Service levels: these follow the Starter tier, including its availability level and first-response times for urgent issues.
  • Headroom: if wider use returns, the tier can be raised again, and we would be glad to talk about that when it happens.

Points we know you will want to test

You usually ask for the uplift or reduction in pounds and for the base each figure is measured against. The base here is the contracted annual figure of £42k. We would expect you to ask what the brain costs per client served, and whether a smaller footprint is the right answer or whether the better answer is to rebuild usage first. Both are fair questions, and we are happy to go through them with you.

Next steps

  • Ian Prendergast to review this proposal and take a view at renewal.
  • Sophie Ling to walk through the pricing and the connector changes with you whenever suits.
  • Amara Obi to confirm which four connectors remain and the arrangements for the change.
  • A decision is needed ahead of the term end on 1 Dec 2026, so that the order form can be issued in good time.

Nothing in this document is an executed order form. Contracted price and terms are set only by the order form once both sides have signed it.
