What it says
What this says
Current to 13 Oct 26Internal draft renewal proposal, not shared with the customer. It recommends moving Carnmoor from Growth to Starter at £22k a year because use has fallen below the 40 licensed users. The Growth renewal price is not set out.
What it is: an internal draft by Sophie Ling, dated 17 Aug 2026, headed "Draft for internal review. Not yet shared with the customer." The current term ends 1 Dec 2026.
Commits: nothing yet, as a draft. It proposes Starter at "£22k" annual price, billed "Annually in advance, standard payment terms", with no implementation fee and a one-year term.
Unusual: it recommends a downgrade at renewal, not an uplift. The contracted figure of £42k is quoted from account records, and the draft says it should be re-checked against the executed order form.
Not settled: why use has fallen, which connectors fit the Starter hard limit, and the Growth renewal price, which "needs to be confirmed against the price book". The key-person exposure is also unchecked.

Body
Carnmoor Fleet Leasing - Renewal Proposal v1
Status: Draft for internal review. Not yet shared with the customer.
| Customer | Carnmoor Fleet Leasing, Milton Keynes |
| Prepared by | Sophie Ling, Account Executive, BB-Demo |
| Customer success manager | Amara Obi |
| Date prepared | 17 Aug 2026 |
| Current term ends | 1 Dec 2026 |
| Customer since | Tuesday 2 December 2025 |
1. Why we are writing
Carnmoor joined BB-Demo on Tuesday 2 December 2025 on the Growth tier, so that corporate account managers, the driver service desk and remarketing could see each client's fleet, queries and invoices in one place. The current term ends on 1 Dec 2026, and this proposal sets out what we recommend for the renewal that follows.
The account has been commercially healthy. Invoices are paid on time and nothing is overdue. It has also been quiet in the right and the wrong ways: there have been no support tickets in the last thirty days, but the number of people using the brain each day is well below the licensed seats, and daily use has fallen against the prior quarter. We would rather say that plainly now than discover it at the renewal meeting.

2. Where the account stands today
| Item | Position |
|---|---|
| Tier | Growth |
| Licensed users | 40 |
| Contracted annual recurring revenue | £42k |
| Overdue invoices | None |
| Support tickets, last thirty days | None |
| Daily active use | Well below the licensed users, and lower than the prior quarter |
What the evidence shows: the licence is far larger than the group that uses it. What it does not show: why use has fallen. We have no complaint on file and no ticket to point to, so we should not assume a cause. It may be a reorganisation of who works with client fleet data, a change in how the service desk works, or simply that the early enthusiasm from the first months has faded.
3. Recommendation
We recommend offering Carnmoor a renewal on the Starter tier at an annual price of £22k, matched to the number of people who actually use the brain, with a clear route back up to Growth if use recovers.
| Line | Detail |
|---|---|
| Deal type | Renewal |
| Tier | Starter |
| Annual price | £22k |
| Total deal amount | £22k |
| Implementation fee | None, this is a renewal |
| Term | One year from the end of the current term |
| Billing | Annually in advance, standard payment terms |
The £22k is the full annual price and the full deal amount. There is no separate one-off fee in this renewal.
What changes if Carnmoor moves to Starter
- The user allowance becomes the Starter allowance, which is a soft limit. Additional users can be added in blocks of ten if the service desk or remarketing team want access.
- The connector allowance becomes the Starter allowance, which is a hard limit. Before the renewal we need to confirm that every system currently connected fits within it, and agree which ones to keep.
- The dashboards builder and the quarterly business reviews are part of Growth and would not be included. Check-ins would move to six-monthly.
- Pages, chat and search stay as they are.
- The service levels are those of the Starter tier. First response on a priority one issue is slower than on Growth, and Amara should talk this through with the customer.
What stays the same
- The brain continues to run inside Carnmoor's own Snowflake account.
- The nightly refresh commitment is the same on every tier.
- All existing pages, history and configuration are kept.
4. The alternative: stay on Growth
Carnmoor could renew on Growth. That keeps the dashboards builder, quarterly reviews and the larger allowances, but it asks the customer to pay for a licence that, on today's usage, they are not using. The renewal price for Growth is not set out in this draft and needs to be confirmed against the price book before we show it to anyone. We recommend presenting it as the second option, not the first, so the customer can compare for themselves.
5. Risks and open points
- Unexplained fall in use. We do not know the reason. Amara to ask the main contacts directly before the proposal goes out.
- Connector fit. Need to confirm which connected systems would remain within the Starter allowance.
- Key people. We have not recorded which individuals account for most of the questions asked. If it is one or two people, the account is exposed to a departure.
- Reaction to a lower tier. The customer may read a downgrade as a signal that the product has not worked. We should be ready with a value case built from what they actually ask the brain.
- Growth path. If the remarketing and service desk teams were never fully onboarded, a refreshed onboarding could make the Growth tier worthwhile again. That conversation can sit alongside the renewal.
