First quarterly business review since go-live, presented by Daniel Okafor on 3 Dec 2024 for the leadership team. Growth tier, contracted £42k, 40 licensed users, term ending 2 Jul 2025. Reports rising usage and no tickets.

What it is: a customer-facing QBR deck, stored as final, written by Daniel Okafor with Priya Raman named as account owner. It is a review, not a contract.

Commits: it restates the terms rather than setting them: "Contracted annual recurring revenue | £42k", "Licensed users | 40" and "Current term ends | 2 Jul 2025". It also lists plan actions, including a draft value statement and a renewal walk-through before the term end.

Unusual: usage is described only qualitatively ("roughly doubled"), with no counts of questions or users. The deck itself says it kept this section qualitative.

Not settled: it does not show who asks the questions, the number of admins, or the renewal price. It is dated 3 Dec 2024, so its position on tickets and usage is long out of date. Its figures should be checked against the executed order form.

Delancey Haig - QBR

Quarterly business review, prepared for the Delancey Haig leadership team

Presented on 3 Dec 2024 by Daniel Okafor, Customer Success Manager, BG-Demo

Account owner: Priya Raman

Status: Final

Agenda

  • Where we are: the contract and the plan you bought
  • Usage: how the brain is being used
  • Value: what your teams are getting from it
  • Service: tickets, invoices and support
  • Plan: what we suggest for the next quarter and beyond

Just to close the loop on why we are here: this is the first full review since go-live, and the aim is to agree what good looks like for your client-account directors before the year turns.

You chose Growth so that client-account directors could see each client's vacancies, placements, invoices and complaints in one place, rather than moving between systems and reconciling by hand. That is the outcome we have measured everything against in this review.

Usage: the headline

The most encouraging number in this review is the number of people using the brain on a typical day.

  • Average daily active users over the last thirty days have roughly doubled compared with the previous quarter.
  • Active users sit well inside the 40 licensed users, so there is plenty of room for more directors, consultants and team leads to join without any change to the plan.
  • The growth has come from the client-account directors the brain was bought for, and from colleagues they have invited in after seeing it used in client meetings.

What this tells us: adoption is moving in the right direction and at a good pace. The brain is becoming part of how your directors prepare for client conversations, which is where we hoped it would land.

Usage: what people are doing

AreaWhat we seeWhat it means
Search and chatThe main way people use the brainDirectors are asking questions about a client directly, instead of asking a colleague to pull a report
PagesClient views being opened regularlyThe joined-up view of vacancies, placements, invoices and complaints is being used
Dashboards builderAvailable on Growth, still earlyAn opportunity for your team to build the views they want to see every Monday

We have deliberately kept this section qualitative. The best single measure of value is the questions your teams ask, and we would like to look at who is asking them with you, so that the habit spreads across directors and does not rest on a handful of enthusiastic people.

Value: what your teams are getting

From conversations with your team since go-live, the benefits fall into three groups:

  • One view of a client. Before a client meeting, a director can see open vacancies, recent placements, what has been invoiced and any complaints in one place.
  • Fewer manual reconciliations. Time that used to go on cross-checking the CRM against finance and the helpdesk is going back to client work.
  • Earlier warning. A complaint sitting next to an open vacancy and an invoice tells a director something no single system would.

We would like to turn these into a short value statement you can use internally, in your own words, ahead of the renewal conversation. Daniel will draft it with your sponsor and come back to you with a version for comment.

Service: tickets, incidents and invoices

MeasurePosition
Support tickets in the last thirty daysNone raised
High-priority tickets in the last thirty daysNone raised
Overdue invoicesNone
Nightly refreshRunning as expected

A quiet support queue alongside rising usage is what we like to see: people are using the brain and it is working for them. We would still encourage your team to raise how-to questions as they come up, however small. A good question now saves a workaround later.

Risks and watch points

Nothing in the data gives us concern today. For completeness, these are the things we will keep an eye on together:

  • Key-person dependence. As usage grows, we want it spread across several directors, not concentrated in one or two.
  • Source changes. If your team changes the CRM, finance or helpdesk set-up, tell us early so the connectors keep loading cleanly and the brain does not go stale.
  • Admin cover. Make sure there is more than one administrator on your side, so that a holiday or a departure does not leave a gap.

Looking ahead to the renewal

Your current term runs to 2 Jul 2025. There is no decision needed today, and nothing in this review changes the contracted £42k annual recurring revenue or the 40 licensed users on the Growth plan.

What we would like is for the renewal conversation, when it comes, to be a straightforward one: a clear picture of how the brain is used, what it has saved your teams, and whether the plan still fits how Delancey Haig is growing. If usage keeps moving as it has, the conversation may be about whether more teams should join, and we would be glad to talk that through with you.

Thank you

Thank you for your time, and for the openness your directors have shown in telling us what works and what does not. How is the team finding it? Please tell us, and I'll come back to you by the end of next week with the draft value statement and a proposed date for the next review.

Best wishes,

Daniel Okafor
