Final renewal proposal dated 24 Oct 2025 from Tom Ashdown, proposing a further annual Growth term from the day after 31 Dec 2025. It cites a contracted figure of £39,600 but does not state the renewal fee. It is a proposal, not an executed order form.

What it is: a renewal proposal written by Tom Ashdown, Account Executive, for the term ending 31 Dec 2025. It recommends renewing on the same scope and offers three options: renew as is, renew and extend, or review the tier.

Commits: nothing binding. It describes the proposed scope as Growth tier, dashboards builder, quarterly business reviews and "annual billing in advance on standard thirty-day terms", with quarterly billing on request.

Unusual: the price is left open. The text says "I will confirm the exact renewal fee in writing before anything is signed" and that first-term discounts do not carry over.

Not settled: the renewal fee, the chosen option, and whether an order form was signed. The document is dated 24 Oct 2025, so it may be stale. Any later executed order form would take precedence.

Fairhallow Travel - Renewal Proposal

Status: Final Version: 1 Date: Friday 24 October 2025 Author: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Marcus Bell

1. Why we are writing

Fairhallow Travel joined BB-Demo on 1 Jan 2025 on the Growth tier. The current term ends on 31 Dec 2025. This proposal sets out what the brain has done for the business over the term and what we suggest for the next one, so that the renewal can be settled well before the term ends.

It has been a good first year, and we would like to keep going.

3. What the term has shown

Fairhallow Travel bought the brain to see client bookings, service tickets and account reviews together, rather than reconciling them by hand across systems.

  • Adoption is growing. Active use over the last quarter is up on the quarter before, and more of the licensed users are asking questions of the brain each month.
  • Support has been quiet. There have been no high-priority tickets in the last month and no overdue invoices on the account.
  • There is headroom. Active users sit well inside the licensed allowance of 40 users, so there is room for more teams to join without any change to the plan.

We would be glad to walk through the detail of usage by team with you and Marcus, in the same format as the quarterly reviews.

4. What we propose

We propose renewing the Growth subscription for a further annual term, starting the day after the current term ends, on the same scope:

  • Growth tier, with the licensed users and connectors currently included;
  • dashboards builder and quarterly business reviews continuing as now;
  • the Growth service levels for availability and priority response, and nightly refresh complete by 07:00 on business days;
  • annual billing in advance on standard thirty-day terms, with quarterly billing available on request.

Pricing

The current contracted annual figure is £39,600. The renewal fee follows the price book that applies to renewals starting from this point in the term, and first-term discounts do not carry over. I will confirm the exact renewal fee in writing before anything is signed, rather than quote it from memory here.

5. Options to consider

  1. Renew as is. Same tier, same users, same connectors. The simplest route and our recommendation if the team's needs have not changed.
  2. Renew and extend. Keep Growth and add users or connectors if more teams, such as additional account managers, want to use the brain.
  3. Review the tier. If the business is planning a wider rollout, we can talk through whether a different tier suits better, with no obligation.

If anything here does not match how you see the year, tell me and I will change it. No drama, and let's get something in the diary to go through it together.

Cheers, Tom
