1. Context

Wexmoor Property Group manages office and light-industrial portfolios across the Midwest. Your operations teams work from three places that rarely meet: tenant tickets in the helpdesk, lease-renewal conversations in recorded calls, and service contracts held as documents. Today, answering a simple question such as "which tenants with an expiring lease also have an open maintenance complaint?" means someone reconciling those sources by hand.

To be transparent, that manual reconciliation is the problem we are proposing to remove. Here's where we are: we have talked through how your teams work, and this proposal sets out what we would build, what it costs and how we would get you live.

2. What we propose

We propose the Growth tier of the company brain: one AI-queryable layer over the systems your operations teams already use, built and run inside your own Snowflake account. Your data stays where it is. BB-Demo does not move it into a separate environment.

The brain would connect to:

  • Your helpdesk, so tenant tickets, categories and response history are searchable.
  • The call recorder, so lease-renewal calls can be asked about in plain language.
  • Your document store, so service contracts, terms and renewal dates sit alongside everything else.
  • Your CRM, so tenant and portfolio records give the other sources context.

Your operations people would then ask the brain questions directly, in chat or search, rather than opening four systems.

Anything beyond the Growth allowances, such as extra users, extra connectors or dedicated data residency, can be added later as a priced add-on. Nothing in this proposal commits you to those.

4. Implementation

Implementation is a one-off, fixed-fee engagement that comes before the subscription begins delivering value. It covers:

  1. Discovery and access. We agree the sources, confirm who owns each system and set up access inside your Snowflake account.
  2. Connector build. Each source is connected and its history loaded, with a live commitment written into the order form.
  3. Validation. Your operations leads test the brain against questions they already know the answers to, so trust is built on your own data.
  4. Training and handover. Your team learns how to ask good questions, build dashboards and manage users.

Elena Novak, your customer success manager, will own adoption from the first week of go-live, and I will stay on as account owner for commercial terms.

6. What success looks like

We suggest measuring the first months against a few plain outcomes:

  • Operations leads answer cross-system questions in the brain instead of by spreadsheet.
  • Lease-renewal preparation draws on call history and open tickets without manual lookups.
  • More than one person on your team asks questions regularly, so the value does not rest on a single user.
  • Your team builds its own dashboards, which tells us the brain has become part of the working week.

What would make this a yes? If there is a different outcome your leadership would want to see first, tell me and we will build the plan around it.

7. Security and data handling

Because the brain runs inside your Snowflake account, your existing access controls and audit practices continue to apply. If your security team has a questionnaire, send it over and we will answer it fully and plainly, including anything that is a limitation. We would rather your security team hear it from us up front.

8. Commercial terms

  • The subscription is annual and invoiced in advance, in GBP.
  • The order form is signed under BB-Demo's master services agreement.
  • Standard payment terms apply.
  • Renewal is handled by your customer success manager, who will raise it well ahead of the renewal date.
