What it says
What this says
Current to 11 Oct 26A renewal proposal from Tom Ashdown dated 15 Jun 2026 for a Growth subscription ending 1 Sep 2026. It sets out three options after a fall in usage, against 40 licences, and quotes no renewal price. It is a proposal, not an order form.
What it is: A renewal proposal from Tom Ashdown dated 15 Jun 2026, stored as final version 1, for a Growth subscription ending 1 Sep 2026. It is a proposal, not an order form, so it fixes no price.
Commits: It offers three options: renew as it stands, renew with an adoption plan, or move to Starter. Tom is to confirm renewal pricing in writing after a call, with the order form issued "Well ahead of 1 Sep 2026".
Unusual: Usage is described as "a handful, against 40 licences", and "No first-term discount carries over". The renewal figure is deliberately not quoted.
Not settled: The document does not show which option Calderbrook chose, whether the call happened or whether an order form was signed. The end date of 1 Sep 2026 is before the as-of date, so the outcome must be checked elsewhere.

Calderbrook Housing Group - Renewal Proposal
Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Natalie Eze Date: 15 June 2026 Status: Final, version 1 Current subscription ends: 1 Sep 2026
1. Why we are writing
Calderbrook has been with BB-Demo since 2 Sep 2024. Your current Growth subscription runs to 1 Sep 2026, so this paper sets out how we suggest the renewal is handled. It is deliberately candid. Usage has softened over the last quarter, and we would rather talk about that openly than send you a standard renewal notice and hope it goes through.
2. Where you are today
| Item | Position |
|---|---|
| Tier | Growth |
| Contracted annual recurring revenue | £44,000 |
| Licensed users | 40 |
| Overdue invoices | None |
| Open priority tickets | None in the last month |
| Support tickets in the last month | Two |
You have paid on time throughout and the support queue is quiet. Neither of those is a concern.
3. What we are seeing in usage
Read the whole document (4,589 characters)
The number of people using the brain in a typical month is now a handful, against 40 licences. That is a clear fall on the previous quarter, and the gap between licensed and active users is wide.
When the brain was bought, the business-intelligence team wanted to bring tenant calls, repairs tickets, complaints and rent arrears into one board-ready picture. That purpose is still a good one. What we cannot tell from usage alone is whether the board picture is still being built from the brain, or whether the work has moved elsewhere. We would like to find that out together before anything is signed.
A small, quiet user base with few tickets can mean a team that is happy and self-sufficient. It can also mean a team that has drifted away. We do not want to assume the first.
4. Options for the renewal
Option A: Renew Growth as it stands
Keep the Growth tier, 40 users and the existing connectors for a further annual term. Because your first term began under our earlier price book, the renewal moves to the current Growth list price. No first-term discount carries over, as those apply to the first term only. Tom will confirm the exact figure in writing before an order form is issued, and we are not quoting it from memory here.
Option B: Renew Growth with an adoption plan
The same subscription as Option A, with a short, structured programme led by Natalie:
- a review of which teams should be asking questions of the brain and who is not;
- a check that every connector is still loading and that records are still being indexed;
- a refresher session for the business-intelligence team and anyone new to the board reporting cycle;
- a review at the half-way point of the term, so that value is visible well before the following renewal.
This is our recommendation if the work is still meant to run through the brain.
Option C: Move to a smaller footprint
If the real user base is now a small team, the Starter tier may fit better: one team, a smaller user allowance and fewer connectors, without the dashboards builder or quarterly reviews. We would only suggest this if it matches how you actually work, and we would want to be sure no connected source is lost in the move.
5. What we need from Calderbrook
- A conversation with the business-intelligence lead about how reporting is being produced today.
- A view on whether the tenant calls, repairs, complaints and rent arrears sources are still wanted in the brain.
- A decision on the option above, with enough time left before 1 Sep 2026 for paperwork and, if needed, any change to connectors or users.
6. What happens if nothing changes
If we do not hear otherwise, the subscription ends on 1 Sep 2026 and the brain in your Snowflake account stops refreshing. We would much prefer to agree a plan than to let that happen by default, and we will help with an orderly handover of anything you want to keep.
7. Next steps
