What it says
What this says
Current to 11 Oct 26Internal draft plan to renew Calderbrook's Growth subscription from 1 Sep 2026, written 10 Jun 2026 and never shared with the customer. It quotes no renewal price, and no availability or P1 response terms. It flags falling usage as the main concern.
What it is: an internal working draft by Tom Ashdown with Natalie Eze. It sets out how to approach the first renewal of the Growth tier and lists open points before anything goes to the customer.
Commits: nothing binding. It proposes a further annual term billed annually in advance on standard terms, with a possible seat right-sizing conversation.
Unusual: usage is the concern, with active users down "by roughly a third compared with the prior quarter". The draft says quiet support may be silence rather than satisfaction.
Not settled: the renewal price. The draft says it is "to be confirmed against the current price book", and no number is quoted.
Stale: the term it addresses ended on 1 Sep 2026, before 9 Oct 2026. The record does not show whether a v2, an order form or a renewal followed.

Body
Calderbrook Housing Group - Renewal Proposal v1
Status: Draft. Not yet shared with the customer. Prepared on 10 Jun 2026 by Tom Ashdown, Account Executive, with Natalie Eze, Customer Success Manager.
Purpose
This paper sets out how BB-Demo proposes to renew the Growth subscription held by Calderbrook Housing Group, which reaches the end of its current term on 1 Sep 2026. It is written as a working draft so that the account team agrees the approach, and the open points below, before anything goes to Calderbrook.
Where the relationship stands
Calderbrook Housing Group is a housing association based in Leeds, with a home base across West Yorkshire. It has been a BB-Demo customer since 2 Sep 2024. The business-intelligence team bought the brain to bring tenant calls, repairs tickets, complaints and rent arrears into one board-ready picture, all inside Calderbrook's own Snowflake account.

Health of the account
The commercial picture is clean. Calderbrook pays on time and there are no overdue invoices. Support has been quiet: three tickets in the last month, none of them high priority.
Usage is the concern. The average number of active users over the last month is small against the 40 licensed seats, and it has fallen by roughly a third compared with the prior quarter. Few tickets from a shrinking user base can be silence rather than satisfaction, so we should not read the quiet support queue as a sign that all is well.
What the records do not tell us is why usage has dropped. It could be a reorganisation, a change of priorities in the business-intelligence team, or people simply moving on. We should find out before we propose anything.
What we propose
Renewal of the Growth subscription
- Renew the Growth tier for a further annual term from 1 Sep 2026, billed annually in advance on standard terms.
- Keep the scope as it stands: several teams, the included connectors, the dashboards builder and quarterly business reviews.
- Offer a right-sizing conversation on seats if Calderbrook's own picture of who needs access has changed.
Price
Calderbrook signed under the earlier price book, and this is its first renewal. The renewal is therefore expected to move to the current Growth list price. The exact figure, and any adjustment to the percentage change, is to be confirmed against the current price book by Tom before this proposal is issued. No number is quoted in this draft. First-term discounts, if there were any, do not carry into the renewal.
Value case
Because usage has softened, the renewal needs a value case as much as a price. Natalie will prepare a short summary, drawn from the brain's own activity, of:
- the questions asked and who asks them;
- the dashboards the business-intelligence team has built;
- the board-ready reporting that depends on the joined-up tenant, repairs, complaints and arrears data.
Open points
- Confirm the renewal price from the current price book. Owner: Tom Ashdown.
- Understand the fall in active users and whether the main champion and the admins are still in place. Owner: Natalie Eze.
- Check that every connector is still loading and that records indexed are still moving. Owner: Natalie Eze.
- Decide whether to offer a seat reduction or an adoption push for the wider teams. Owner: Tom Ashdown, with Natalie.
- Agree who at Calderbrook receives the proposal and who signs.
Next steps
- This week: Natalie reviews usage and connector health and shares her findings with Tom.
- Next week: Tom and Natalie agree the approach and Tom asks for a conversation with the business-intelligence team lead.
- After that conversation: this draft is revised into a version two for the customer, with the price confirmed.
- Well before 1 Sep 2026 passes, the renewal conversation needs to be held and the order form ready, so Calderbrook is not left without cover.
Let's get something in the diary with the customer as soon as the internal review is done.
Tom Ashdown, Account Executive, BB-Demo
