What it says
What this says
Current to 11 Oct 26Proposal from Tom Ashdown dated 19 Jul 2024 for the Growth tier. Subscription £44,000 per year in advance; total first-term deal amount £56,000 including one-off implementation; no discount (0%). Not a contract; no signature in the text.
What it is: a customer-facing proposal, stored as final, prepared by Tom Ashdown for Calderbrook Housing Group. It recommends the Growth tier and an implementation of about eight weeks covering up to eight connectors.
Commits: it states "The annual price of the subscription is £44,000" and "The deal amount of £56,000 is the total for the first term and includes the one-off implementation fee. It is not an annual price." Invoicing is annual in advance on standard payment terms.
Unusual: nothing off standard. It says "No discount is applied to either line (0%)" and offers to discuss quarterly billing.
Not settled: the user and connector allowances, connector go-live days and exact implementation fee are left for the order form. The text says the renewal figure is subject to the price book in force at the time. The document does not show whether an order form was signed.

Body
Calderbrook Housing Group - Proposal
Prepared for: Calderbrook Housing Group, Leeds Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success contact: Natalie Eze, BB-Demo Date: 19 Jul 2024 Status: Final
Why we are writing
Thank you for the time your business-intelligence team has given us over the last few weeks. This proposal pulls together what we heard, what we suggest, and what it would cost. It is meant to be read by the people who will have to say yes to it, so we have kept it plain.
Calderbrook Housing Group looks after a large portfolio of homes across West Yorkshire. Your board wants one picture of how the business is doing for tenants. Today that picture is stitched together by hand from several systems, and the stitching takes your analysts more time than the analysis does.
What we heard
Read the whole document (5,374 characters)
- Tenant calls, repairs tickets, complaints and rent arrears all sit in different places.
- Your business-intelligence team spends much of its month reconciling those sources before anyone can look at a trend.
- Board papers need to be defensible: when a director asks where a number came from, the team wants to be able to show it.
- Several teams, not just one, would want to ask questions of the same data, so a single-team tool would be outgrown quickly.
If we have any of that wrong, please say. Nothing here is set in stone until you tell us it fits.
What we propose
We propose the Growth tier of the company brain. The brain is one AI-queryable layer over your own systems, built and run inside your own Snowflake account, so your data stays under your control and is not copied into a separate product.
What you would get
| Area | What it means for Calderbrook |
|---|---|
| Connected sources | Your CRM or housing system, the call recorder, the helpdesk, finance and the other sources in scope, joined into one layer |
| Pages, chat and search | Staff ask questions in plain English and get answers that point back to the underlying records |
| Dashboards builder | Your analysts build and keep the board-ready views themselves |
| Quarterly business reviews | A regular review with Natalie Eze to look at usage, value and what to do next |
| Service levels | The standard Growth service levels, including a fast first response on priority issues |
The Growth tier covers several teams, so the user and connector allowances are those of the Growth tier. We will confirm the exact allowances in the order form so there is no ambiguity.
How we would build it
Implementation is a fixed-fee project of about eight weeks, covering up to eight connectors. The phases are:
- Discovery. We agree the sources, the questions the board cares about and who owns each source.
- Connect. Each source is connected inside your Snowflake account and refreshed nightly.
- Prove. We run the brain on your own data and check answers against figures your team already trusts.
- Hand over. Training for your analysts and the first dashboards, built together.
Each connector promised in the order form carries a commitment to be live within an agreed number of days, which we will set out there.
Pricing
| Item | Type | Amount |
|---|---|---|
| Company Brain Growth subscription | Annual, in advance | £44,000 |
| Implementation, Growth (fixed fee) | One-off | Balance of the deal amount |
| Total deal amount | First term, including the one-off implementation fee | £56,000 |
A few notes on the numbers:
- The annual price of the subscription is £44,000. That is the figure that would renew each year, subject to the price book in force at the time.
- The deal amount of £56,000 is the total for the first term and includes the one-off implementation fee. It is not an annual price.
- No discount is applied to either line (0%).
- Invoicing is annual in advance on standard payment terms. We can talk about quarterly billing if that suits your finance team better.
What we need from you
- A named sponsor on the business side and a named lead in the business-intelligence team.
- Read access to the sources in scope, and a colleague in IT who can approve the connections inside your Snowflake account.
- A short security conversation with your IT and information governance colleagues. We are happy to answer any questionnaire you send.
Risks we would manage together
- Source quality. If a source has gaps, the brain will show them. We would rather you saw that early than late, and we will flag it during the prove phase.
- Change in your systems. If a source system changes, the connector can stop loading. We ask you to tell us before a change so we can plan around it.
- Adoption. A brain nobody asks questions of is just an expense. The quarterly reviews exist to catch that early.
Next steps
- You review this proposal with your colleagues and send us any questions.
- We hold a short call to walk through the scope and pricing and tidy up anything unclear.
- We issue an order form under our master services agreement for your legal team to review.
- Once signed, we book the discovery sessions and agree a start date with you.
Let's get something in the diary for early next week so the review does not drift. I will confirm any figure in writing before you rely on it.
Best, Tom
