What this says
As at Fri 9 Oct 2026On 13 Jan 2025 the prospect described out-of-sync systems and fifteen to twenty hours a week of manual data work. Lewis Kerr positioned Growth, with a demo on their own data as the next step.
What happened: Jolien van Dijk and Willem Arts described a client database, HubSpot, Xero and Excel, pulled together by hand. They put the manual effort at fifteen to twenty hours a week.
Customer view: Willem said stale statuses mean they are managing risk without complete information. Jolien raised EU data residency and asked whether updates were real time.
Commercial: Lewis proposed Growth for ten to fifteen users and quoted fifty-six thousand all-in for year one, then fifty-six ongoing. The Growth list was £44k with a £12k implementation, so the ongoing figure does not match the list.
Watch: The evidence does not show an order form or a proposal. Nightly refresh may fall short of the real-time expectation.

Next steps
As at Fri 9 Oct 2026- Lewis Kerr to send the one-pager and book a demo on the customer's own data.
- Jolien van Dijk to send the list of key fields from each system the following week.
Risks
As at Fri 9 Oct 2026- Jolien asked about real-time updates, but the brain refreshes nightly by 07:00.
- The ongoing price quoted on the call does not match the Growth list, which may cause a pricing dispute later.
Opportunities
As at Fri 9 Oct 2026- Growth fits six or seven operations users plus board reporting, with room up to forty users.
- EU data residency is an add-on the customer said matters to them.
Transcript
- Lewis KerrMorning, Jolien, Willem. Thanks for taking the time. We've got forty-four minutes, and I'd like to understand what you're trying to solve with data.
- Jolien van DijkHi Lewis. We've been looking at ways to get better visibility into our broking processes and the policies we're managing.
- Lewis KerrVisibility into policy and client data. What systems do you run today?
- Willem ArtsWe've got a client database, HubSpot for sales, financial records in Xero, and a lot of Excel spreadsheets, to be honest.
- Lewis KerrRight. So when someone wants to know: say, policy renewals next month or client payment history, how does that get answered?
- Jolien van DijkWe pull from each system separately, consolidate it somewhere. It's time-consuming. And often the data is out of sync.
- Lewis KerrOut of sync how?
- Willem ArtsSomeone updates a client status in one place but the spreadsheet doesn't know about it for a week. We're managing risk without complete information.
- Lewis KerrThat's a real risk, especially in insurance. So you need a single source of truth that stays fresh. How much time per week are you spending on data wrangling?
- Jolien van DijkProbably fifteen, twenty hours a week across the team.
- Lewis KerrRight. So what we do is we build a layer on top of your HubSpot, your client database, Xero, all of it, and you get one interface to search and query. No more manual pulling.
- Jolien van DijkAnd that updates in real time?
- Lewis KerrNightly refresh, complete by seven in the morning. Real-time might be tricky with HubSpot's APIs, but you're never more than a day behind.
- Willem ArtsWhere does the data sit?
- Lewis KerrIn your own Snowflake account. You control it, your IT controls who accesses it.
- Jolien van DijkThat's important for us, data residency in the EU.
- Lewis KerrWe have that option, no problem. So let me ask: what teams would be using this? Who's the champion here?
- Jolien van DijkProbably me and my operations team. Maybe six, seven people to start.
- Willem ArtsAnd I'd want access for reporting to the board.
- Lewis KerrSo you're looking at maybe ten to fifteen users. Growth tier is forty users, so you'd have room to grow. Eight connectors, so you'd have HubSpot, Xero, your client database, and four more.
- Jolien van DijkWhat's the commercial?
- Lewis KerrFifty-six thousand all-in year one for Growth, then fifty-six ongoing each year.
- Willem ArtsAnd timeline?
- Lewis KerrEight weeks end to end. Four to build, four to go live and train.
- Jolien van DijkOK. So what's next?
- Lewis KerrI'll put together a one-pager, we'll get a demo scheduled with your data, and then if you want to move forward, a proposal. I'll need a list of the key fields you care about from each system.
- Jolien van DijkI can put that together next week.
- Lewis KerrPerfect. I'll send the doc today and we'll get a demo on the calendar. Thanks very much, both of you.
