What this says
Current to 13 Oct 26Training call on 8 Nov 2024, a day after data went live. Callie Brennan covered search, dashboards, chat and manual refresh; Charlotte Haigh said she was impressed and the team rollout was released.
What happened: Callie walked Charlotte and Shannon Lockwood through search, a pre-built open roles dashboard, building their own dashboards, chat and a manual refresh. Data had gone live the day before.
Customer view: Charlotte called it impressive and thanked Callie at the end. Both asked practical questions, including how to see invoices by month.
Commercial: Callie said everyone in the business could be given access on the 15 users in the plan. Building dashboards is listed under Growth, so the call does not show which tier or order form applies.
Watch: Callie called the system self-healing but said chat is not magic. Marcus is the contact for problems and for the six-month check-in.

Opportunities

Transcript
- Callie Brennan NoneRight, afternoon. Good to see you both. So I know the data went live yesterday, so you've had a chance to poke around a bit, yeah?
- Charlotte Haigh NoneYeah, we had a quick look. It's impressive.
- Callie Brennan NoneBrilliant. Today, I want to walk you through how to get the most out of it. So we'll cover search, dashboards, the chat interface, and then how to run a refresh if you need one. Sound OK?
- Shannon Lockwood NoneYeah, good.
- Callie Brennan NoneRight. Let me share my screen. So this is the main search page. You can search for anything: a client, a person, an open role. I'll search for 'Acme', that's one of your big clients. Watch what comes up.
- Callie Brennan NoneSo here's Acme. You can see their contact history: all the emails, the roles you're placing with them, their outstanding invoices. You can drill into any of these. So if you click on an email, you'll see the whole conversation. If you click on a role, you'll see the details: salary, location, how long it's been open.
- Charlotte Haigh NoneAnd we can use this to see, say, all the invoices we're owed from a client?
- Callie Brennan NoneExactly. You search the client, and all their outstanding invoices pop up. No more digging through spreadsheets. I'll show you the dashboards in a minute, which are even more powerful for that kind of thing.
- Callie Brennan NoneSo search is great for one-off lookups. Dashboards are great if you want to see patterns. So here's a dashboard I've built for you, all your open roles by client. You can see which clients have the most vacancies, which roles are stalling. You can filter by region, by industry, all that.
- Shannon Lockwood NoneCan we build our own dashboards?
- Callie Brennan NoneYes. That's what I want to show you next. So once I've walked you through this example, Shannon, I'll show you how to build your own. It's pretty straightforward: you pick a data source, add a filter or two, and boom, you've got a dashboard. Marcus can help with anything fancier, but most people can do it themselves.
- Charlotte Haigh NoneThat's useful. So if I wanted to see all invoices by month, I could build that?
- Callie Brennan NoneAbsolutely. Data source is your finance system, you pick invoice date and amount, and the brain aggregates it for you by month. Takes maybe a minute to set up.
- Shannon Lockwood NoneWhat about the chat thing?
- Callie Brennan NoneGreat question. So the chat interface, it's in the bottom right, lets you ask the brain questions in English. So you could say 'how many invoices are outstanding' and it'll give you a number. Or 'show me roles open for more than a month' and it'll list them. It's useful for quick questions where you don't want to build a whole dashboard.
- Callie Brennan NoneBut fair warning: it's not magic. Sometimes it gets the question wrong or it can't figure out what you're asking. If it's not working, search and dashboards are more reliable. I'd say search is your most-used feature, dashboards are your second, and the chat is for the lazy questions.
- Charlotte Haigh NoneThat makes sense.
- Callie Brennan NoneOK, so finally: connectors. Every night, the brain refreshes your data automatically. But if you ever want a manual refresh, say you've just updated your CRM, Shannon, you can do this. Let me show you the admin panel.
- Callie Brennan NoneSo here's the admin section. You can see your connectors, your users, all that. To run a refresh, you just click 'refresh now'. It'll run in the background and come back to you when it's done. Takes about fifteen minutes. If anything goes wrong, you'll get a notification. Just flag it to Marcus.
- Shannon Lockwood NoneDo I need to do anything else?
- Callie Brennan NoneNot really. The system's pretty self-healing. If a connector drops, which is rare, we get an alert and we'll fix it. But day-to-day, you're just using the brain. Any questions so far?
- Charlotte Haigh NoneNot from me.
- Shannon Lockwood NoneNo, this is really clear.
- Callie Brennan NoneGreat. So you're free to roll this out to the team now. You've got 15 users on your plan, so everyone in the business can get access. Just send Marcus a list of email addresses and he'll set them up. And if anyone hits a problem, you've got my email and Marcus's. Marcus will check in with you in six months.
- Charlotte Haigh NoneBrilliant. Thanks, Callie. Really impressed with how this has come together.
- Callie Brennan NoneThanks, Charlotte. I'm really pleased too. Right, I'll send you both a quick-start guide and a link to some video tutorials. And Marcus will be in touch about the six-month check-in. Cheers.
