What this says
As at Fri 9 Oct 2026Check-in on 5 May 2026. Active use is about three people against fifteen licensed, and Deirdre is the main asker. Invoice ticket traced to a customer-side change. Renewal timing noted, nothing asked of the customer.
What happened: Elena Novak ran a four-point check-in with Deirdre Barry covering usage, tickets, consultant requests and the September renewal. Deirdre explained the usage dip as habit and absence, not tool failure.
Customer view: Deirdre said she is still the main user and that the ones who use it, use it a lot. The high priority ticket came from a field change in the accounting system that Finance did not flag, which she called their fault.
Commercial: Consultants want food science contractor placements from a separate spreadsheet. Elena must check the four-connector Starter limit before any add-on is discussed.
Watch: Cian will ask what the consultants get from the renewal, and Deirdre needs usage to show him. Key-person risk sits with Deirdre as the main asker.

Follow-up
Next steps
As at Fri 9 Oct 2026- Deirdre to confirm a morning for the consultant session.
- Deirdre to ask Donal to tell BG-Demo before changing the accounting system.
- Elena to check configured connectors and write to Deirdre about the spreadsheet.
Risks
As at Fri 9 Oct 2026- Deirdre is the main person asking questions, a key-person risk on Starter.
- Average active users of about three may be hard to justify to Cian at renewal.
- Finance changes to the accounting system can break the invoice connector without warning.
Opportunities
As at Fri 9 Oct 2026- A short consultant session with their own clients on screen could widen usage.
- The food science spreadsheet request could lead to an additional connectors add-on if the Starter limit is reached.
Transcript
- Elena NovakGood morning, Deirdre. Can you hear me all right?
- Deirdre BarryMorning, Elena, grand, I can hear you fine. Quick one before we start, if that's okay. One of the consultants asked me yesterday can she see a client's placements and the invoices on the same page, and I said I thought so, but I wasn't sure I was telling her right.
- Elena NovakYes, that is what your set-up is built for. To confirm, as long as the accounting connector and the CRM connector are both loading, she should be able to ask the brain for a client and see roles, placements and invoices together. I will show you how she asks it in a moment, if we have time.
- Deirdre BarryGrand, that'd save us hours. Go on, sorry, you had an agenda.
- Elena NovakAs I emailed on Friday, there are four points. One, usage over the last quarter. Two, the tickets from the last month. Three, anything the consultants want that they do not have yet. Four, the renewal in September, only briefly, so that nothing surprises you. I will send the actions in writing afterwards.
- Deirdre BarryPerfect. Yeah, I read it. Sounds right.
- Elena NovakGood. So usage first. The average number of people active in a month is about three, which is lower than the previous quarter. You are licensed for fifteen users, so there is plenty of room, but I wanted to ask you what is behind the dip.
- Deirdre BarryAh, yeah. I'd say that's mostly me being honest with you. Two of the consultants are out on the big pharma accounts the whole of this month, and they're not at their desks. And one of the newer ones, she's still doing everything out of her inbox. I keep meaning to sit down with her.
- Elena NovakI see. So it is not that the tool is failing them, it is habit.
- Deirdre BarryIt's habit, yeah. Honestly, the ones who use it, use it a lot. Cian asks it things on the way to meetings now. But I'm the main one still, and I know that's not great.
- Elena NovakThat is useful to hear, and I will make sure that we note it. One person asking a large share of the questions is something I would like to reduce, for your sake as much as ours. If you go on holiday, the consultants should not be waiting for you.
- Deirdre BarryHa, no, they would not like that. Right. So what do we do about it?
- Elena NovakI would propose a short session for the consultants, thirty minutes at most, with their own clients on the screen. Not a general demonstration. Each of them asks about a client they are about to call. Would you be willing to arrange the time? I will run it from Amsterdam.
- Deirdre BarryI would, yeah. Early morning works better than afternoons, they're all on the phone after lunch. Can I come back to you with a day? I'd want to check with the lads first.
- Elena NovakOf course. That is the first action, then: you confirm a morning, and I send a short invitation with two or three example questions they can try beforehand.
- Deirdre BarryGrand.
- Elena NovakSecond point, the tickets. There were three in the last month and one of them was marked high priority. I have the details in front of me. The high priority one was about the invoice data not appearing for a client, is that right?
- Deirdre BarryThat was me. Yeah. A client's invoices weren't showing and a consultant was about to ring them about a late payment. I panicked a bit and marked it urgent, sorry.
- Elena NovakPlease do not apologise. It was a reasonable thing to do. It was answered within the time for your tier, and as I understand it the cause was a change in the accounting system on your side that moved a field. It was fixed the same day.
- Deirdre BarryIt was, yeah. Donal had changed something on the invoice template, and nobody told me. That's on us, not on you.
- Elena NovakThank you. It is a common cause, so I will add a line to the notes: if Finance changes anything in the accounting system, please tell us before, and we will check the connector afterwards. Would that be workable?
- Deirdre BarryYeah, I'll tell Donal. He's very good once you tell him. Mm, what were the other two tickets?
- Elena NovakBoth were how-to questions. One about saving a search, one about who can see the notes on a client page. Both were closed with an answer from our support team.
- Deirdre BarryRight, yeah, the notes one was mine too. I'd better stop leaving it to be the only person who asks.
- Elena NovakIt is not a problem at all, it is a sign that you are using it. Third point, then. Is there anything the consultants want that they do not have?
- Deirdre BarryOkay, so, there's one. A couple of them want to see the contractor placements from the food science side, because those are logged in a separate spreadsheet that isn't in the CRM. Can the consultants see that?
- Elena NovakI would need to check, to be accurate. Starter has a limit on connectors, and I want to see how many of yours are in use before I answer. A spreadsheet stored in your shared drive may be possible, but it depends on whether it is within the limit.
- Deirdre BarryI don't know what the limit is, I'll be honest. Is it a lot?
- Elena NovakIt is four connectors on Starter. I will look at what you have configured today and tell you in writing, so that you do not have to remember a number. If we are at the limit, there is an add-on, and I would talk to Lewis about it, but only if the usage supports it. I do not want to sell you something you do not need.
- Deirdre BarryFair enough. That's honest of you. Grand.
- Elena NovakFourth, the renewal. Your contract runs to 17 Sep 2026, and the renewal date is 18 Sep 2026. Lewis Kerr will come to you on the commercial side nearer the time, and I will be there for adoption. I mention it now only so that you know the timing. Nothing is needed from you today.
- Deirdre BarryYeah, Cian will want to talk about it, he always does. He'll ask what's in it for the consultants. So I'd like to be able to show him they're actually using it, which, ha, brings us back to the first thing.
- Elena NovakExactly. If the session goes well, you will have a better answer for him. Before we finish, let me restate what we agreed. One, you confirm a morning for a short consultant session. Two, you ask Donal to tell us before changing anything in the accounting system. Three, I check your connectors and write to you about the food science spreadsheet. Is that correct?
- Deirdre BarryThat's it, yeah. Perfect.
- Elena NovakThen I will send these today. Thank you for your time, Deirdre.
- Deirdre BarryThanks a million, Elena. Talk soon.
