What this says
Current to 13 Oct 26Hamza Akhtar and Aisling Kiely confirmed the accounting connector now loads invoices after a permission fix. The recruitment connector works. Duplicate client names and the first user invites remain.
What happened: The accounting connector had shown as connected but loaded nothing, because the permission granted was too narrow. After the finance lead widened it, invoices came in during the call.
Customer view: Aisling raised the ticket herself and thanked Hamza for the quick fix. She does not want records the consultants rely on changed mid month.
Commercial: Starter has 15 licensed users and only a couple have logged in. The mailbox is deferred until the consultants have used the brain for a week or so.
Watch: Some clients appear under two names across the recruitment and accounting systems. A stale role status turned out to be stale in the customer's own system too.

Next steps
Current to 9 Oct 26- Hamza Akhtar to send Aisling and Deirdre the list of clients that do not match.
- Hamza Akhtar to confirm the invoice connector refreshes overnight and report on Wednesday if it does not.
- Aisling Kiely to decide the naming rule and invite the first group of consultants once the role status is tidied.
Risks
Current to 9 Oct 26- Clients that appear under two names across the recruitment and accounting systems may distort the first answers until a matching rule is agreed.
- Only a couple of people have logged in so far, so adoption has not started.
- Stale statuses in the customer's own system will show up as stale answers in the brain.
Opportunities
Current to 9 Oct 26- The mailbox can be scoped later with Deirdre once invoices and roles are solid.
- Fifteen Starter seats leave room for the pharma consultants and the wider team once the first group is happy.
Transcript
- Hamza Akhtar NoneMorning, Aisling. Can you hear me alright?
- Aisling Kiely NoneMorning, yes, loud and clear. Sorry, give me a second, I've got your checklist open in the other window.
- Hamza Akhtar NoneNo rush at all. We're a bit over a week in, so I thought today we could go through where the connectors are, and what's left on your side. Does that suit?
- Aisling Kiely NoneThat suits. I should say up front, I did raise a ticket last week, because the accounting connector wouldn't authorise. Was that picked up?
- Hamza Akhtar NoneIt was, and I've got it in front of me. I marked it high priority because it was blocking the whole invoice side. As far as I can see the permission your finance lead granted was read only on the wrong part of the account, so the connection could see the organisation but not the invoices. Does that match what you saw?
- Aisling Kiely NoneYes, that's exactly it. It said connected and then loaded nothing. I wasn't sure whether I'd done something wrong.
- Hamza Akhtar NoneYou hadn't. It's an easy one to hit, because the screen lets you say yes to a narrower permission. Has your finance lead had a chance to widen it?
- Aisling Kiely NoneShe did it on Friday afternoon. I haven't checked whether it came through since.
- Hamza Akhtar NoneShall we look together? I'll share my screen, and you can tell me if it matches what you'd expect.
- Aisling Kiely NonePlease.
- Hamza Akhtar NoneRight, so the connector now shows as loading, and there are invoices coming in. Have a look at the list, are those your clients?
- Aisling Kiely NoneYes. Well, some of them. There are a few I don't recognise, but I think they're old, from before we changed the naming.
- Hamza Akhtar NoneThat's the sort of thing I'd like to flag. Some clients appear under two slightly different names, one in the recruitment system and one in accounting. I've got a draft list of the ones that don't line up. I'll send it to you and to Deirdre today.
- Aisling Kiely NoneThank you. How many is it, roughly? I'd like to know whether it's an afternoon or a week.
- Hamza Akhtar NoneNot a week. A handful of dozens at most, and many are the same pattern, so once you've decided the rule, it goes quickly. I'd not rename anything in either system yet. Let's agree a rule first and I'll apply the matching on our side.
- Aisling Kiely NoneThat's better, because I don't want to change records the consultants rely on mid month.
- Hamza Akhtar NoneAgreed. Now the recruitment system connector. That one authorised fine on the first go, and roles and placements are loading. Can you check one of the consultants' clients for me? Pick one you know well.
- Aisling Kiely NoneOne of the pharma accounts, they've got a couple of open roles. Hold on. Yes, the roles are there, and the placement from the summer. The status on one of the roles looks old though.
- Hamza Akhtar NoneIs it that it's out of date in the brain, or out of date in your system as well?
- Aisling Kiely NoneLet me check. Hmm. It's out of date in ours too. The consultant hasn't updated it. So that's on us.
- Hamza Akhtar NoneGood, that's the brain doing its job, honestly. It's showing what's actually in the system. The refresh runs overnight, so if she updates it today it'll be right tomorrow morning.
- Aisling Kiely NoneRight. Okay. And then the users. Deirdre said we'd start with the pharma consultants. How do I add them?
- Hamza Akhtar NoneYou're an admin, so it's under the users page. You invite by email. You have 15 licensed users on Starter, and at the moment only a couple of people have logged in, which is normal at this stage. Do you want to try one now, with me here?
- Aisling Kiely NoneYes, I'll add myself with my other address, to see what they'd get.
- Aisling Kiely NoneSent. Do I need to do anything else?
- Hamza Akhtar NoneThat's it. They get an email, they set a password, and they land on the home page. I'd keep the first group to a handful, so that if anything's odd we hear about it quickly.
- Aisling Kiely NoneUnderstood. What about the mailbox? Deirdre mentioned it might come later.
- Hamza Akhtar NoneLater, yes. I'd like the invoices and roles to be solid first. Once the consultants have used it for a week or so, we can decide whether the mailbox is worth adding, and which mailboxes. That's a conversation for you and Deirdre.
- Aisling Kiely NoneThat's fine. I'd rather get the basics right.
- Hamza Akhtar NoneMe too. So, to recap what I'm taking away. I'll send the list of clients that don't match. I'll confirm the invoice connector is refreshing overnight and tell you on Wednesday if it isn't. And I'll show you how to ask your first questions in the chat, next time we speak.
- Aisling Kiely NoneAnd me, I'll invite the first group of consultants once I've tidied the status on that role, and decide the naming rule for the duplicates.
- Hamza Akhtar NonePerfect. Anything else from you before we finish?
- Aisling Kiely NoneNo, I think that's everything. Thanks for sorting the ticket so quickly.
- Hamza Akhtar NoneNo problem at all. Speak soon, Aisling.
- Aisling Kiely NoneBye for now.
