What this says
Current to 13 Oct 26Allison Pereira said the brain was bought for client renewals and must give one view by client before open enrollment. Laura Penhaligon agreed phase one: helpdesk and CRM, then calls and email.
What happened: Laura set out roles, with Monica as admin and Allison as sponsor. The plan is helpdesk and CRM first, then call recorder, with finance data left for later.
Customer view: Allison wants client service people to see tickets, calls and renewal status by client, not by agent or queue. Her one hard ask is a single view before open enrollment.
Commercial: The customer is on Growth with forty users at £50k a year. Value will be judged on renewals work, so client name matching across systems and sensitive field permissions are the early risks.
Watch: Laura declined to promise what is live by then. IT access is not yet requested.

Follow-up
Next steps
Current to 9 Oct 26- Monica Starling to raise the IT access request using Laura Penhaligon's checklist.
- Monica Starling to send the list of sensitive fields.
- Allison Pereira to name three or four client service leads as first users.
Risks
Current to 9 Oct 26- Client names differ across systems, so a view by client depends on matching them.
- The open enrollment deadline is firm and Laura declined to promise what is fully live by then.
- Sensitive benefits data may limit which fields can be connected.
Opportunities
Current to 9 Oct 26- Renewal tracking by client is the stated purchase reason, so a working view would give a clear value case.
Transcript
- Laura Penhaligon NoneHello, hello. Can you both hear me alright?
- Allison Pereira NoneLoud and clear. Hi Laura. I think Monica's just joining.
- Monica Starling NoneHi, sorry, I'm here. I had to hunt for the right link.
- Laura Penhaligon NoneNo problem at all. It's late afternoon for me and morning for you, so I'll try to stay bright. How's the week been?
- Allison Pereira NoneBusy. Renewals, mostly. We've got a handful of employer clients coming up for review and I'm trying to get ahead of them. Honestly that's why we bought this, so I want to get the first few weeks right.
- Laura Penhaligon NoneThat's useful to hear, because it tells me where to start. So today is really about getting you set up: who does what, which sources we connect first, and what we need from your IT side. Does that sound fair?
- Allison Pereira NoneYes. Before open enrollment, please. That's my one hard ask. If the team can't work from one view by then, it's not much use to me.
- Laura Penhaligon NoneUnderstood. I'll be straight with you, I can't promise what's fully live until we've seen how the first connectors behave, but I'd rather plan backwards from open enrollment than forwards from today. Monica, you're down as the admin.
- Monica Starling NoneThat's me. I run the day-to-day for client service operations, so I'll be the one inviting people and chasing access. Allison's the sponsor.
- Allison Pereira NoneSponsor, loudest voice, whatever you want to call it.
- Laura Penhaligon NoneHa, good. Right, a quick reminder of what you've got. You're on Growth, so forty users and several teams, at £50k a year. The brain runs inside your own Snowflake account, which means somebody on your side has to grant us access there. Who looks after that?
- Monica Starling NoneThat would be a colleague in IT. I haven't asked yet. I wanted to know exactly what to ask for so I don't send them something vague and wait a week.
- Laura Penhaligon NoneSensible. I'll send a short checklist straight after this call. It's a one-pager: the account, the role we need, and what we will and won't touch. Your IT person can read it in five minutes.
- Monica Starling NoneThat would help a lot. Thank you.
- Laura Penhaligon NoneNow, sources. Tell me in your own words what you want to see side by side.
- Allison Pereira NoneOkay, so, what do my client service people actually do all day? They have an employer client, say a manufacturer with a few hundred staff. They need the tickets that client has raised, the calls we've had with them, and where they are in the renewal. Right now that's three places and a spreadsheet.
- Monica Starling NoneAnd the spreadsheet is mine. I keep it up to date by hand, which is not a good use of anyone.
- Allison Pereira NoneCan we see that by client? That's the question I keep coming back to. Not by agent, not by queue. By client.
- Laura Penhaligon NoneYes, that's exactly how it's meant to work, but it depends on the client being recorded the same way in every system. If the helpdesk calls them one thing and the CRM calls them another, the brain has to be told they're the same.
- Monica Starling NoneOh. Yeah. That's going to be a thing. We have some clients with, like, three spellings.
- Laura Penhaligon NoneThat's normal, don't worry. It's the most common thing we find in the first weeks. What I'd suggest is we start with the helpdesk and the CRM, get those two agreeing on client names, and then add the call recorder.
- Allison Pereira NoneWhat's the signal that tells us it's working? Because I don't want to wait until open enrollment to find out it isn't.
- Laura Penhaligon NoneGood question. Two things. First, the nightly refresh finishing each morning with the records count moving. If the count sits flat for a week, something's broken at the source. Second, people asking it real questions. At the moment I can see just a couple of you logging in, which is what I'd expect this early.
- Monica Starling NoneThat'll be Allison and me poking around.
- Allison Pereira NoneGuilty. I asked it which clients had a renewal soon and it gave me something odd, but I assume that's because nothing's connected.
- Laura Penhaligon NoneExactly that. It's answering from almost nothing, so don't judge it yet.
- Monica Starling NoneCan I ask about permissions? Some of our client files have sensitive stuff in them, benefits elections, that kind of thing. I need to know what the brain can see.
- Laura Penhaligon NoneRight, and I'd rather you ask that now. It only sees what the connectors are allowed to read, so we decide per source. For the helpdesk we can leave out particular fields or categories. I'd want you to list the ones you're uneasy about and we'll go through them together next time.
- Monica Starling NoneOkay. I can do that. I'll have a list for you.
- Allison Pereira NoneJust so we're clear, I don't want anyone seeing something they shouldn't, but I also don't want the list so long that we connect nothing.
- Laura Penhaligon NoneFair. Start narrow, widen later. That's much easier than the other way round.
- Monica Starling NoneMm. That I like.
- Laura Penhaligon NoneLet me share my screen for a second and show you the plan I've drafted, so you can tell me where it's wrong.
- Allison Pereira NoneOkay, I see it. So that's phase one on the left, helpdesk and CRM. And phase two is calls and email.
- Laura Penhaligon NoneYes. The finance data we'd leave for after, unless you tell me renewals need it sooner.
- Allison Pereira NoneRenewal values, yes, but I think the CRM has them. Monica?
- Monica Starling NoneIt has most of them. Some are stale, though. I'd rather we sort that after we see what the brain says first.
- Laura Penhaligon NoneThat's a good approach. It'll show you where the gaps are, which is half the value early on.
- Allison Pereira NoneOkay. And who's running training? Because my people will not read a manual.
- Laura Penhaligon NoneNobody reads the manual. I'd plan a short live session for your client service leads once the first two sources are loading, and then it's Monica who becomes the person they ask. I'll make sure she's ready for that.
- Monica Starling NoneNo pressure then.
- Allison Pereira NoneYou'll be great. Okay, what do you need from us, and by when?
- Laura Penhaligon NoneThree things. Monica gets the IT access question moving once she has my checklist. Monica also sends me the list of sensitive fields. And Allison, I'd like you to name three or four client service leads who'll be the first people on the brain.
- Allison Pereira NoneI can do that today. I'll pick the people who'll actually use it and complain loudly if it's wrong.
- Laura Penhaligon NonePerfect, those are exactly the right people. I'll book us in again in a couple of weeks to see where IT has got to.
- Monica Starling NoneSounds good. Thanks, Laura.
- Allison Pereira NoneThanks both. Best, Allison. Speak soon.
- Laura Penhaligon NoneCheers, both. Speak soon.
