What this says
As at Fri 9 Oct 2026Laura Penhaligon walked Monica Starling through connecting the helpdesk. Client naming is the main data risk. Call recorder deferred. Monica owns the client list, dropdown gaps and first user group.
What happened: Monica connected the helpdesk on the call, using her own admin login. Laura advised a service account later and said the first load will look thin until the nightly refresh.
Customer view: Monica distrusts the subject line, where employer names are spelled several ways. She wants a small first user group and does not want to be embarrassed in front of colleagues.
Commercial: This is Growth onboarding with forty seats on the plan. Allison Pereira was absent in a client meeting, so the senior sponsor did not hear the progress first-hand.
Watch: Laura will check the record count tomorrow and at the end of the week, and will call if it is flat. Flat records would mean a stale brain before adoption begins.

Next steps
As at Fri 9 Oct 2026- Monica to export the client list, check the dropdown gaps and name the first user group.
- Laura to check the record count tomorrow and at the end of the week, and call Monica if it is flat.
- Laura and Monica to swap the personal login for a service account later.
Risks
As at Fri 9 Oct 2026- Different spellings of the same employer client could split ticket history into pieces.
- A flat record count after the first load would mean the helpdesk source is not refreshing.
- The first connection uses a personal admin login, which could break if Monica changes her password or moves on.
Opportunities
As at Fri 9 Oct 2026- A small first group of client service leads can build confidence before the wider team is invited.
- A clean by-client view would show value to Allison ahead of her renewals.
Transcript
- Monica StarlingHi Laura, I'm in. Can you see me okay?
- Laura PenhaligonI can, hello. Afternoon, Monica. Bit grey over here, how is it in Hartford?
- Monica StarlingHot and sticky. The office air conditioning has given up, so I'm working from the quiet room. It's fine.
- Laura PenhaligonSounds grim. Okay, shall we get going? Allison isn't joining today?
- Monica StarlingNo, she's in a client meeting. She said to carry on without her and she'll read whatever you send.
- Laura PenhaligonThat's fine. So the plan for today is to connect the ticketing system and look at what comes in. Did your colleague in IT manage to sort the Snowflake side?
- Monica StarlingThey did, yes, a couple of days ago. They created the role like your note said. I wasn't sure if I should have tested it.
- Laura PenhaligonNot to worry, I'll check it from my side as we go. Can you share your screen and open the connectors page? I'll talk you through it.
- Monica StarlingSure. Give me a second. Okay, can you see it?
- Laura PenhaligonYes. Click add a connector, and choose the helpdesk option. Right, it'll ask for an admin sign-in to your ticketing system. Is that you or someone else?
- Monica StarlingIt's me, I'm an admin on there. Do I use my own login?
- Laura PenhaligonIdeally a service account, so it doesn't break if you change your password or move on. But for the first connection, your own is fine and we can swap it later. I'll put that on the list.
- Monica StarlingOkay. It's asking me to approve access. I'll say yes. Oh, it's thinking.
- Laura PenhaligonThat's normal. Give it a moment.
- Monica StarlingIt's connected. It says it's started loading. Is that all?
- Laura PenhaligonThat's all for the connection. Now the first load takes a while, and the nightly refresh picks up from there. So the count of records won't look like much until tomorrow. Don't read anything into it today.
- Monica StarlingRight. Because I did look yesterday at something else and it showed hardly anything, and I panicked a bit.
- Laura PenhaligonUnderstandable. Early on it will look thin. What I'll watch is whether the record count keeps rising over the next few days. If it goes flat, that's when I'd worry.
- Monica StarlingOkay. While that's going, can I ask about the employer client thing? Allison keeps saying by client. In our ticket system a client might be spelled three ways.
- Laura PenhaligonYes, that's the big one. Different spellings of the same employer split the history into pieces. Is there a client field that's reliable, or is it free text?
- Monica StarlingBit of both. There's a dropdown, but people type in the subject line as well. Honestly I don't trust the subject line.
- Laura PenhaligonThen we use the dropdown as the anchor and ignore the subject line for matching. If there are clients missing from the dropdown, we list them and you decide which ones to merge. I wouldn't guess.
- Monica StarlingThat I can do. I'll export the list of clients and look it over this week.
- Laura PenhaligonGood. Next, users. You've got forty seats on the plan. How many do you want in the first round?
- Monica StarlingAllison wants it small. I was thinking the client service leads for the biggest employers. A handful. Then me.
- Laura PenhaligonThat works. I'd only invite them once the first load has finished and you've had a quick look at one client page yourself. That way if something's off, you've seen it before they have.
- Monica StarlingYeah, that's what I'd like. I don't want to embarrass myself.
- Laura PenhaligonYou won't. And frankly if something's wrong, that's my job to fix, not yours.
- Monica StarlingSorry, I had to answer a message. Where were we? The call recorder.
- Laura PenhaligonYes, that's next. But I'd suggest we leave it for the next session. We've done the helpdesk, and I'd rather you check that one has settled than rush a second connector on the same afternoon.
- Monica StarlingThat's fine by me. Honestly I'm happy not to rush.
- Laura PenhaligonGood. Then in the meantime, can you do three things? Export the client list, look at the dropdown gaps, and tell me who the first group of users is.
- Monica StarlingClient list, dropdown gaps, first group. Got it.
- Laura PenhaligonAnd I'll check the record count tomorrow and again at the end of the week, and I'll email you what I see. If it's flat, I'll call you rather than leave it.
- Monica StarlingPerfect. Thanks, Laura. Have a good evening.
- Laura PenhaligonAnd you. Stay cool. Bye for now.
