What was said
What this says
As at Fri 9 Oct 2026On 29 Jun 2026 Matteo Ricci negotiated a £2,973 expansion addendum with Veenendrecht Payments. Pieter de Groot agreed in principle, subject to compliance. Signature was targeted ahead of 2 Jul 2026; the outcome is not in the evidence.
What happened: Matteo, with Owen Tallis, negotiated the expansion with Pieter de Groot, Eline Bakker and Marloes de Vries. Matteo stated that £2,973 is the value of the expansion deal, not a new annual price, and the subscription stays at £48k a year.
Customer view: Pieter accepted that usage justifies the cost and agreed in principle to a single end date. Marloes said she would hold any invoice amount she cannot trace to a contract line.
Commercial: The proposal is an addendum to the existing order form, ending with the term on 4 Feb 2027, so there is one renewal conversation. Pieter signs after Marloes checks it, if compliance has no objection.
Watch: The evidence does not show whether the addendum was signed. The compliance check on the outsourcing register and the invoice reference are the open points.

Transcript
- Matteo RicciGood morning, everyone. Can you all hear me properly? I have Owen with me from our side today, and I see Pieter and Eline. Marloes, I think you are just coming in.
- Owen TallisMorning. Audio's fine this end.
- Eline BakkerGood morning, Matteo. Yes, clear. Marloes is joining from another meeting.
- Marloes de VriesHello, sorry, that one overran. I can hear you now.
- Pieter de GrootGood morning. Before anything else, I have the invoice question. Whatever we agree today, will it appear on the quarterly invoices exactly as the contract says?
- Matteo RicciA good place to start, Pieter, and I would rather we settled it first. Let me restate where we are. The expansion is open, we are in negotiation, and the date we have been working to is Thursday 2 July 2026. Owen is here because he likes to see the dates written down.
- Owen TallisI do. What's the next dated step? That's all I want to leave with today.
- Pieter de GrootFine. But first, what does it cost per year? I have the subscription in my head, but I want to hear it from you.
- Matteo RicciOf course. The subscription under the current order form is £47,500 a year, Growth, forty licensed users. That does not change. The expansion is separate. The deal comes to £2,973 in total. I want to be careful here: that is the value of the expansion deal, not a new annual price for the whole account.
- Pieter de GrootIs this in the contract?
- Matteo RicciIt would be. I would propose an addendum to the existing order form, under the same master agreement, so there is one document that says what you are buying and what you pay. Let me confirm that in writing after the call, with the way it falls on the quarterly invoices.
- Marloes de VriesThat is the part I need. If the amount arrives on an invoice and I cannot point to a line in the contract, I will have to hold it. It is nothing personal, it is just how we are set up.
- Matteo RicciUnderstood, and I would not want you to be in that position. So the addendum will name the amount, the invoice it sits on, and the term it runs to. Yes?
- Marloes de VriesYes. And the same reference we already use on the quarterly invoice, please. Then it matches in our system without anyone typing.
- Owen TallisWe can do that. Matteo, note it. Same reference, one line, no surprises.
- Matteo RicciNoted. I will check with our finance team that the reference carries across, and I will tell you if it does not. I will not promise something our billing cannot do.
- Eline BakkerCan I add something on why we are doing this at all? Pieter asked me last week and I want it on the call.
- Pieter de GrootShort version, Eline. I do not discuss the features, you know that.
- Eline BakkerShort version. Usage is up a lot on last quarter. Merchant risk are in the brain every day now, not only my team. When a merchant has disputes and tickets and volumes in one place, we agree on the merchant faster. That is the story.
- Pieter de GrootGood. So the cost is justified by usage. That is all I need from that.
- Eline BakkerYes. And we are nearer the limit than we were. Forty licensed users sounds like a lot until risk and finance join as well.
- Owen TallisWhich is the point of the expansion. Better to size it now than have people queuing for a seat.
- Matteo RicciRight. And I would rather say this plainly: the expansion is small beside the subscription, so I do not want it to be a long negotiation. If there is a question on any line, I would like to hear it now.
- Pieter de GrootOne. How is it governed? We are supervised by De Nederlandsche Bank. Our outsourcing register lists the brain. If there is an expansion, does the register entry change?
- Matteo RicciGood question, and the honest answer is that I do not know what your register needs, so let me ask you instead. What does your regulator need to see? The same service and the same data location, or a description of the new scope?
- Pieter de GrootSame service, same provider, same data location, I think. But I will ask our compliance people. I do not decide that on a call.
- Eline BakkerHe never decides on a call. It is a feature, not a bug.
- Pieter de GrootIt is a feature, yes.
- Matteo RicciThen I will write down exactly what the expansion changes and what it leaves untouched, so your compliance people have one page to read. The service, the hosting inside your own Snowflake account, and the term.
- Owen TallisCan I raise the term? Contract ends 4 Feb 2027, renewal date 5 Feb 2027. I'd want the expansion to finish on the same day, so you have one renewal conversation, not two.
- Marloes de VriesYes, that is cleaner for us. One date in the diary.
- Pieter de GrootAgreed in principle. Predictable cost, one date. Put it in the addendum.
- Matteo RicciI will. So to summarise what I will send, tomorrow or the day after. One, the addendum draft with the amount, £2,973, the invoice reference and the end date of the term. Two, a one-page description for compliance. Three, my note on how the amount falls on the quarterly invoices.
- Owen TallisWho signs?
- Pieter de GrootI sign. Marloes checks it against the contract first.
- Owen TallisThen the dated step is this. Draft with you before the end of this week. Your read and Marloes's check by Wednesday. Signature ahead of Thursday 2 July 2026. Does that work, Pieter?
- Pieter de GrootIf compliance has no objection, yes. I will tell you Wednesday if there is a problem.
- Eline BakkerLet's make it practical. Matteo, send me a copy as well. I will chase compliance if they are slow, and I will tell you who owns the next step.
- Matteo RicciGladly. I will copy you and Marloes. And Elena, our customer success manager, will be in touch about the extra users once it is signed, so that nobody waits for access.
- Marloes de VriesPerfect. Nothing else from me.
- Pieter de GrootNothing from me either. Thank you both.
- Owen TallisThanks, all. Speak soon.
- Matteo RicciThank you, everyone. Best regards, and have a good week.
