Training for Kofi Asamoah and Priti Varma on asking questions, pinning and the Growth dashboards builder. Loads are current, no sync issues, and Priti built a four-tile dashboard and plans to show colleagues.

What happened: Hamza Akhtar trained Kofi and Priti, a Corporate Account Manager, on questions, pages, search and the dashboards builder. Priti pinned a question, built four tiles and tried a trend.

Customer view: Priti was nervous about quoting from the brain in front of clients but found it far less scary than expected. One fleet figure that looked low matched the leasing system, so her notes were behind.

Commercial: Only one small how-to ticket was open and loads were current. Kofi asked whether low use of the forty licences matters, and Hamza advised letting use spread through the service desk and remarketing.

Watch: use still rests on Kofi and Priti. Adoption beyond them depends on Priti's planned show and tell.

Follow-up

Next steps

Current to 9 Oct 26
  • Hamza sends Priti and Kofi the one-page guide on the day of the call.
  • Kofi tells the service desk about pinning and sends remarketing a short note to try one question.
  • Hamza checks with the customer success manager about a later session once Priti has practised.

Risks

Current to 9 Oct 26
  • Only a handful of the forty licensed users are active, so value depends on a few people.
  • Priti was wary of quoting from the brain to clients, so trust in answers is still forming.

Opportunities

Current to 9 Oct 26
  • Priti's show and tell could spread dashboards use among the other corporate account managers.
  • Service desk and remarketing are targeted to try one pinned question each, widening use within Growth.

  1. Kofi Asamoah
    Kofi Asamoah None
Hello, hello. Can you hear us all right, Hamza?
  2. Hamza Akhtar
    Hamza Akhtar None
Loud and clear. Good afternoon, both. Priti, you're on mute, I think. Oh, no, there you are.
  3. Priti Varma
    Priti Varma None
Sorry, sorry. Afternoon. I was just finishing a call with a client, so I've still got their fleet list open in another window. Apologies if I'm a bit distracted.
  4. Hamza Akhtar
    Hamza Akhtar None
Not at all, that's kind of perfect, actually. We can use a real client today. How's the week been?
  5. Priti Varma
    Priti Varma None
Busy. Renewals season for a couple of my accounts, so everybody wants a number yesterday.
  6. Kofi Asamoah
    Kofi Asamoah None
Same on the data side. Right, before we start, shall I do the tickets? There's only one open and it's a small one. Somebody on the driver service desk asked how to save a question so they can run it again tomorrow. I've told them it's the pin option, but I thought it was worth covering today anyway.
  7. Hamza Akhtar
    Hamza Akhtar None
Good, that's a nice one to start with, then. And nothing else outstanding? No sync problems?
  8. Kofi Asamoah
    Kofi Asamoah None
No. I checked last night's load this morning and it completed well before the working day started. Everything's current. Which is why I'm happy to spend the time on training rather than fixing.
  9. Hamza Akhtar
    Hamza Akhtar None
Lovely. So, plan for the next hour or so. I'd like to go through how to ask the brain a good question, then pages and search, then the dashboards builder, which is part of Growth and I don't think anyone's really touched it yet. And we'll leave time at the end for Priti to try things on her own clients. Does that sound right?
  10. Priti Varma
    Priti Varma None
Yes, that's what I need. I've been using the chat a bit, but honestly I ask it things the way I'd ask a colleague and sometimes the answers are a bit, well, wide.
  11. Hamza Akhtar
    Hamza Akhtar None
That's really common, and it's fixable. I'll share my screen. Can you see the brain home page?
  12. Kofi Asamoah
    Kofi Asamoah None
    Yeah, we see it.
  13. Hamza Akhtar
    Hamza Akhtar None
Okay. So the thing to remember is that the brain knows who the client is, because Kofi's mapped the client list to the leasing system. So you don't need to explain everything about them. You name the client, you say what you want to know, and you say a time frame. Try something like, what has this client raised with the driver service desk recently, and are any of their invoices outstanding.
  14. Priti Varma
    Priti Varma None
Right. Let me type that in. Can I use the client I was just on with?
  15. Hamza Akhtar
    Hamza Akhtar None
    Please do.
  16. Priti Varma
    Priti Varma None
Okay, it's thought about it. And there. It's given me a short summary, three queries from their drivers, and it says no invoices are overdue. Oh, that's useful. It's got links under each one.
  17. Hamza Akhtar
    Hamza Akhtar None
Click one of the links. That takes you to the source record, so you're never just trusting the summary. You see where it came from.
  18. Priti Varma
    Priti Varma None
Ah, that's the helpdesk ticket. Okay. So I could have this open when I'm on the phone to them.
  19. Hamza Akhtar
    Hamza Akhtar None
Exactly the idea. Now, the wide answers. If you ask something like, how is this client doing, it has to guess what you mean by doing. Better to ask for one thing at a time. Fleet size, then queries, then invoices. Or ask it to compare this quarter with the last one.
  20. Kofi Asamoah
    Kofi Asamoah None
Can I add something there? When people ask about the fleet, which source is that from is the question I'd ask. The brain will pull vehicle counts from the leasing system, but if someone put a number in an email, it might surface that too. If the two don't match, that's a mapping question, not a bug. Tell me and I'll look.
  21. Priti Varma
    Priti Varma None
Okay, so if I see a number that looks off, I shouldn't just assume the brain's wrong.
  22. Kofi Asamoah
    Kofi Asamoah None
Right. Open the source, see where it came from, and then send it to me. I'd much rather get a note than have you reconcile it in a spreadsheet.
  23. Priti Varma
    Priti Varma None
Ha, that's the dream. Fewer spreadsheets.
  24. Hamza Akhtar
    Hamza Akhtar None
Let's keep going. Priti, try one with a time frame. Ask for everything that changed on that client in the last month. Contract, queries, emails, anything.
  25. Priti Varma
    Priti Varma None
Okay. Hm. That's quite long. It's grouped it, which is nice. Emails, tickets, finance. There's a bit about a vehicle swap that I'd forgotten about.
  26. Hamza Akhtar
    Hamza Akhtar None
That's the point of it. All the places you'd normally have to go and look, in one answer. Now, the pin option Kofi mentioned. See the little pin at the top of the answer? Click it and give the question a name.
  27. Priti Varma
    Priti Varma None
Done. I've called it monthly client catch-up. Oh, and it's in the sidebar now.
  28. Hamza Akhtar
    Hamza Akhtar None
Perfect. Next time you click that and change the client name, you get the same shape of answer. That's what the service desk wanted, I think.
  29. Kofi Asamoah
    Kofi Asamoah None
Yes, that's exactly their question. I'll send them a note after this. Can you pin one for everyone, or is it just your own?
  30. Hamza Akhtar
    Hamza Akhtar None
Both. Your own by default, and as an admin you can share one with a team. So if Priti builds one that works, you could share it with the other corporate account managers.
  31. Priti Varma
    Priti Varma None
Oh, I like that. They'd stop asking me how I do it.
  32. Hamza Akhtar
    Hamza Akhtar None
Let's do pages and search next. Pages are the written summaries the brain keeps for each client, so it's like a living account file. Search is the quick route if you just know a name or a phrase. Priti, search for a contact at one of your clients, someone you know well.
  33. Priti Varma
    Priti Varma None
Okay, I've typed a name. It's found the person, a couple of emails and a call. That's quick. Quicker than my inbox, anyway.
  34. Hamza Akhtar
    Hamza Akhtar None
Now open the client page from the results. This is where you'd start before a review meeting.
  35. Priti Varma
    Priti Varma None
Right, this has the fleet, who the contacts are, recent queries, invoices. Is that all updated overnight?
  36. Kofi Asamoah
    Kofi Asamoah None
Every night. It's done by seven in the morning on a working day, so by the time anyone's at a desk it's current. If it ever isn't, that's me, and you should shout.
  37. Priti Varma
    Priti Varma None
Good to know. I'd been a bit nervous about quoting from it in front of a client, to be honest.
  38. Hamza Akhtar
    Hamza Akhtar None
That's fair, and it's why the sources are always there. Check the link, then quote it. Over time you'll find you don't need to check every one.
  39. Priti Varma
    Priti Varma None
    Yeah. Mm. Okay.
  40. Hamza Akhtar
    Hamza Akhtar None
Shall I give you a few minutes to play? Pick three clients you'd normally prepare a review for, and for each one ask for fleet, queries and invoices. Kofi and I will stay quiet.
  41. Priti Varma
    Priti Varma None
Go on then. Give me a minute.
  42. Priti Varma
    Priti Varma None
Right, sorry, that took a while, but it was worth it. Two of the three were spot on. The third one showed a fleet number I didn't recognise. It's lower than what I have in my head.
  43. Kofi Asamoah
    Kofi Asamoah None
Which client is that? And which source is the number from, can you see?
  44. Priti Varma
    Priti Varma None
It says the leasing system. I'll paste the client name in the chat.
  45. Kofi Asamoah
    Kofi Asamoah None
Got it. I'll check last night's load for that one and compare it with the leasing system directly. I'd guess it's a recent handback that hasn't made it into your own notes, but I won't guess. I'll come back to you tomorrow.
  46. Priti Varma
    Priti Varma None
Thanks, Kofi. Honestly, if the brain's right and my memory's wrong, that's quite a good outcome.
  47. Hamza Akhtar
    Hamza Akhtar None
It happens a lot, to be fair. Right, the dashboards builder. This is the bit I think will matter most for you, Priti, because you can put a client's fleet, queries and invoices on one screen and keep it. Let me go to the builder tab.
  48. Hamza Akhtar
    Hamza Akhtar None
So, you start with a blank canvas and add tiles. Each tile is basically a saved question with a chart type. I'll build one live. Tile one, vehicles on contract by client. Tile two, open queries by client. Tile three, overdue invoices by client.
  49. Hamza Akhtar
    Hamza Akhtar None
There. It's a bit plain, but you can see the idea. You can filter the whole thing by one client at the top, so it works as your pre-meeting view.
  50. Priti Varma
    Priti Varma None
Oh, that's what I wanted. So I wouldn't need to be running three questions each time.
  51. Kofi Asamoah
    Kofi Asamoah None
And the remarketing people would want something like that as well, I'd think. Different tiles, same idea. Can more than one person edit a dashboard?
  52. Hamza Akhtar
    Hamza Akhtar None
The owner edits, and others can view or copy it. If Priti shares hers, people can copy it and change the tiles for their own team. That tends to work better than everyone editing the same one.
  53. Kofi Asamoah
    Kofi Asamoah None
Good. Fewer accidents. I'll note that down.
  54. Hamza Akhtar
    Hamza Akhtar None
Priti, your turn. Build one for your own book. Don't worry about making it pretty.
  55. Priti Varma
    Priti Varma None
Okay. Where's the add tile button?
  56. Hamza Akhtar
    Hamza Akhtar None
Top right, the plus. Then choose a saved question or write a new one.
  57. Priti Varma
    Priti Varma None
Got it. I'll use the monthly catch-up one I pinned. Can I do that?
  58. Hamza Akhtar
    Hamza Akhtar None
You can, yes. Pinned questions show up as options. That's the nice link between the two.
  59. Priti Varma
    Priti Varma None
Right. I've got four tiles. Fleet count, queries, invoices, and one for renewals coming up. It's slow to make the first one and then it gets quick.
  60. Hamza Akhtar
    Hamza Akhtar None
That's about right. Can you share your screen and I'll have a look?
  61. Priti Varma
    Priti Varma None
    Sure. Is it showing?
  62. Hamza Akhtar
    Hamza Akhtar None
It is. That's good. One tip: on the renewals tile, set the time frame to the next quarter rather than the next year, otherwise it'll be a very long list. And name the tiles in plain words, because other people will look at it and won't know what a label means.
  63. Priti Varma
    Priti Varma None
    Fair point. I'll rename them.
  64. Kofi Asamoah
    Kofi Asamoah None
While Priti does that, can I ask something about usage? We're licensed for forty users, and I know only a handful are really using it day to day. Is that something we should be pushing on, or does it not matter?
  65. Hamza Akhtar
    Hamza Akhtar None
Honestly, I think it's healthy. Active use has gone up a lot since go-live, and you've got plenty of room left. I wouldn't push people on for the sake of it. I'd get the people who feel the pain, the service desk and remarketing, to try one real question each this week, and let it spread from there.
  66. Kofi Asamoah
    Kofi Asamoah None
That's more or less what I was thinking. A named question each, pinned, and a short note on how to find it.
  67. Priti Varma
    Priti Varma None
I can do a ten minute show and tell for the other account managers. If I've got a dashboard I can say, look, this is what it does for me.
  68. Hamza Akhtar
    Hamza Akhtar None
That would be better than anything I can do. I'll send you a one page guide after this with the three habits: name the client, ask one thing, say the time frame.
  69. Priti Varma
    Priti Varma None
    Please. Lovely.
  70. Hamza Akhtar
    Hamza Akhtar None
One more trick. You can tell it to use only one source. So if you want the answer from the leasing system alone, or only from emails, you say so. It's useful when two sources disagree, like the number you saw earlier.
  71. Kofi Asamoah
    Kofi Asamoah None
That'd help with the mismatch. Does it work in chat as well as in pinned questions?
  72. Hamza Akhtar
    Hamza Akhtar None
Both. Try it, Priti, on that client where the number looked low.
  73. Priti Varma
    Priti Varma None
Okay, leasing system only. Same number as before. So the brain and the system agree, and it's my notes that are behind.
  74. Kofi Asamoah
    Kofi Asamoah None
Then I don't need to chase anything, but I'll still check the load tomorrow, just so I can tell you I did.
  75. Priti Varma
    Priti Varma None
    Ha. Fine. Thanks.
  76. Hamza Akhtar
    Hamza Akhtar None
Okay. We've got a good bit of time left. Do you want to go deeper on anything? I could show how to ask for trends over a few months, or how to build a tile that compares two clients.
  77. Priti Varma
    Priti Varma None
Trends, please. My clients always want to know if their query numbers are going up or down.
  78. Hamza Akhtar
    Hamza Akhtar None
Right. So you'd say, show me monthly queries for this client over the last six months. And then in the builder you pick a line chart rather than a table. Have a go.
  79. Priti Varma
    Priti Varma None
That's nice. You can see a bump about two months ago. I'd like to know what caused it, though.
  80. Hamza Akhtar
    Hamza Akhtar None
Click the bump. It'll take you to the tickets in that month, and you can ask the brain what they had in common. Be careful with the why, though. It'll tell you what the tickets say, not what the client is thinking.
  81. Priti Varma
    Priti Varma None
Yeah, understood. That's a conversation for me to have.
  82. Kofi Asamoah
    Kofi Asamoah None
I'd say the same about the data. It can tell you what's recorded. Whether it's right is a different job, and that one's mine.
  83. Hamza Akhtar
    Hamza Akhtar None
Good split. Now the last piece, which is how you ask for help. If something looks wrong, there's the thumbs down on an answer, which flags it to Kofi, and for anything bigger Kofi raises a ticket with us. You don't need to do anything with us directly.
  84. Priti Varma
    Priti Varma None
    That's reassuring. I won't feel like I'm breaking it.
  85. Hamza Akhtar
    Hamza Akhtar None
You won't. You can't. Honestly, the worst that happens is a poor answer.
  86. Kofi Asamoah
    Kofi Asamoah None
Can I go back to the dashboards for a second? I'd like to set up one for the connectors, so I can see in the morning that every source loaded. Is that possible?
  87. Hamza Akhtar
    Hamza Akhtar None
Yes. There's an admin view for it, and you can put the same tiles on your own dashboard. Let me show you where.
  88. Kofi Asamoah
    Kofi Asamoah None
Right, that's what I wanted. One screen, every source, last load time. I'll check that first thing and keep the ticket queue for real problems.
  89. Hamza Akhtar
    Hamza Akhtar None
Perfect. Right, I'm conscious of time. Let me recap. Priti, you've pinned a monthly catch-up question, built a four tile dashboard and tried a trend. Kofi, you've got your load view and you're going to look into that fleet number. Anything I've missed?
  90. Priti Varma
    Priti Varma None
I think the main thing for me is the one page guide, so I can show the others. And maybe a follow up in a few weeks, once I've used it on real review meetings.
  91. Hamza Akhtar
    Hamza Akhtar None
Of course. I'll send the guide today, and I'll check with your customer success manager about a short session later, once you've had some practice. Kofi, anything on your side?
  92. Kofi Asamoah
    Kofi Asamoah None
Just that I'll tell the service desk about pinning, and then I'll send a short note to remarketing about trying one question. If anyone gets stuck they can ask me.
  93. Hamza Akhtar
    Hamza Akhtar None
Brilliant. And if you want me to join a team session, I'm happy to.
  94. Priti Varma
    Priti Varma None
Might take you up on that. Thank you, Hamza, that was really helpful. Far less scary than I thought.
  95. Kofi Asamoah
    Kofi Asamoah None
Yes, thanks. Good session. Cheers, Hamza.
  96. Hamza Akhtar
    Hamza Akhtar None
    Cheers both. Speak soon.
