What this says
Current to 11 Oct 26Ellerby Dental Group's operations head reconciles four or five systems by hand every day. Priya Raman pitched Growth and gave an estimate of £51,600 all-in for year one, with a formal proposal to follow.
What happened: On the 10 Feb 2025 discovery call, Priya Raman learned that Rebecca Oakes pulls complaints, supplier tickets and performance data from separate systems into spreadsheets. Vikram Sethi, the Chief Financial Officer, joined and called it a bottleneck.
Customer view: Rebecca said she cross-checks daily and expects one view to let her flag problems earlier. Vikram framed the value as faster decisions, fewer escalations and fewer staff issues.
Commercial: Priya recommended the Growth tier and gave an estimate of £51,600 all-in for year one, covering licence and implementation. She said the exact breakdown would follow in a formal proposal, so this is an estimate and not a quote.
Watch: Vikram's only pricing comment was "Probably" on timeline and a question about price. The evidence does not show his reaction to the figure.

Next steps
Current to 9 Oct 26- Priya Raman to send the formal proposal with the exact breakdown, promised by end of week, then book a follow-up call.
Risks
Current to 9 Oct 26- The £51,600 figure is an estimate and the evidence does not show how the CFO reacted to it.
Opportunities
Current to 9 Oct 26- Growth tier fits several practices and four or five source systems, with the brain running in the customer's own Snowflake account.
Transcript
- Priya Raman NoneHi Rebecca, Vikram, great to connect. I'm Priya from BB-Demo. Thanks so much for making the time. I'd love to understand a bit about how Ellerby works and what's on your mind.
- Rebecca Oakes NoneYeah, hi Priya. So we run a network of dental practices across the East Midlands, mixture of NHS and private. My job is to make sure they're all running smoothly, which means I'm pulling data from all over the place.
- Priya Raman NoneWhat kind of data are we talking about?
- Rebecca Oakes NonePatient complaints, supplier tickets, performance metrics: appointment times, no-shows, that sort of thing. They all live in different systems. I spend a lot of time in spreadsheets just bringing it all together.
- Vikram Sethi NoneAnd that's pretty inefficient. Ripple effect on the quality of decisions we can make. We'd like to move faster.
- Priya Raman NoneThat makes sense. How many systems are we talking about?
- Rebecca Oakes NoneThe main ones are our practice-management system, a complaints tracker, supplier management, and our HR system. So four or five depending on how you count them.
- Priya Raman NoneAnd how often do you find yourself having to reconcile data across those?
- Rebecca Oakes NoneDaily, to be honest. Every time we want to spot a pattern, like if there's a practice with rising complaints and staffing gaps, I'm manually cross-checking.
- Vikram Sethi NoneIt's a bottleneck. Rebecca can only look at so much, so things fall through the cracks.
- Priya Raman NoneOK. And what would be the impact if you could see all of that in one place? Complaints, supplier tickets, performance?
- Rebecca Oakes NoneHonestly, game-changer. I could flag issues faster, the operations team could get the right information to each practice straight away, and we'd probably spot problems before they escalate.
- Vikram Sethi NoneAnd from a financial perspective, faster decisions mean fewer problem escalations, fewer staff issues, better patient experience. That all matters.
- Priya Raman NoneBrilliant. So what we do is build what we call the brain, it's a unified layer over all your systems. You ask it questions and it brings together data from everywhere. No more spreadsheets, no more waiting.
- Rebecca Oakes NoneHow does it work? Like technically?
- Priya Raman NoneSo we connect to each of your systems: your practice-management system, the complaints tracker, supplier tickets, whatever. We map the data and then we build a unified search. You can ask something like, show me all practices with rising complaints and staffing gaps, and it'll join the dots for you in seconds.
- Vikram Sethi NoneAnd where does the data live? Is it cloud, hosted with you?
- Priya Raman NoneActually, it runs inside your own Snowflake account. Your data never leaves your environment. We just plug in from there. Security is baked in from day one.
- Rebecca Oakes NoneThat's reassuring. What's the timeline to get this live?
- Priya Raman NoneSo implementation takes about eight weeks. We'd need your connectors sorted: read access to each system: then we do the mapping and testing, and you'd be up and running in two months. Does that timeline work?
- Vikram Sethi NoneProbably. And pricing?
- Priya Raman NoneFor your setup, multiple systems, multiple practice sites, I'd be looking at Growth tier. That includes the annual software licence plus a one-off implementation fee. Based on your scale I'm estimating something in the region of £51,600 all-in for year one. I'll flesh that out in the formal proposal with the exact breakdown.
- Rebecca Oakes NoneYeah, that'd be good.
- Priya Raman NonePerfect. I'll get that to you by end of week. Then we can jump on another call and dig into it. Cheers, both.
