What this says
Current to 11 Oct 26Demo to Stefan Meyerhoff and works council chair Lars Wübbena on sample data. Lars wants aggregated usage as the default, written into the contract, plus an exit plan. Stefan will not push if the works council says no.
What happened: Theo Gallagher demoed the brain on an extract of the key-account data, including an account summary with sources and a renewal-risk list. Stefan liked the renewal-risk view and the nightly refresh by seven in the morning.
Customer view: Lars asked whose emails are pulled in, who can see per-employee usage, and what happens on exit. He wants the aggregated setting as the default and in the contract, not only in a settings page.
Commercial: Matteo Ricci restated the Enterprise total of £155k as a deal total including implementation. He could not confirm contract wording and will take the request to the team.
Watch: Stefan said the works council view must come before anything else moves. Theo offered a short technical call with the works council.

- Matteo Ricci sends Stefan the two-page summary with the deal total and a written answer on contract wording.
- Lars Wübbena asks the council about a technical call with Theo.
Risks
Current to 9 Oct 26- The works council chair wants aggregated usage as the default written into the contract, which BB-Demo has not agreed.
- Stefan will not push the deal if the works council says no.
- The budget holder has still not seen the figure, so budget approval remains open.
Opportunities
Current to 9 Oct 26- The renewal-risk list and nightly dashboard resonated strongly with Stefan.
- A short technical call with the works council could move Lars from sceptic to supporter.
Transcript
- Matteo Ricci NoneGood afternoon, Stefan. Can you hear me all right?
- Stefan Meyerhoff NoneGood afternoon, Matteo. Yes, clear. Lars is joining in a minute, he is finishing another meeting.
- Matteo Ricci NoneNo problem. Theo is here too, he will run the demo on the sample data you sent over.
- Theo Gallagher NoneHello Stefan. Thanks, Theo here. Yes, I have the extract from your key-account team loaded, so we can look at something real.
- Stefan Meyerhoff NoneGood. How is the weather in London? Here in Bremen it has been grey all week.
- Matteo Ricci NoneGrey as well, so you are not missing anything. Ah, I think that is Lars.
- Lars Wübbena NoneHello, sorry, I am a little late. Can you hear me? The headset is new.
- Stefan Meyerhoff NoneWe hear you, Lars. Welcome. So, the agenda, step by step. First the demo on our data. Second, what the client sees and what the account managers see. Third, the questions for the works council. Then next steps.
- Matteo Ricci NoneThat works for me. Just to restate where we are: you wanted a view before the decision around 12 May 2026, and I would rather you heard early if anything in the demo does not fit. Theo, over to you.
- Theo Gallagher NoneThanks. I am sharing my screen now. You should see the brain's home page. Everything here sits in your own Snowflake account, so the data does not leave your environment. That is the first thing I want to be clear about.
- Stefan Meyerhoff NoneYes, we see it. Please start with a client. One of the brand clients, not the biggest.
- Theo Gallagher NoneSure. I will pick one of the drinks brands from your extract. I type a question in the chat: what is the state of this account over the last quarter?
- Theo Gallagher NoneAnd here is the answer. It pulls from the CRM notes, the emails with the brand contact, and the support tickets. Each statement has a source link, so the account manager can click through and check.
- Stefan Meyerhoff NoneMm. That is what I want. Today my people open three systems before a client review and still miss something. What does the client see, though? Nothing of this, correct?
- Theo Gallagher NoneCorrect. It is internal only. The client sees nothing unless you decide to export a page and share it yourself.
- Lars Wübbena NoneMay I ask something here? When you say it pulls from emails, whose emails? Of individual employees?
- Theo Gallagher NoneGood question, and an important one. It depends entirely on which connectors you switch on and what scope you set. We can limit it to shared mailboxes or to a defined group, and exclude individuals. Nothing is connected until your side decides.
- Lars Wübbena NoneSo we would decide the scope, not you.
- Matteo Ricci NoneExactly. And what does your works council need to see in writing? Let me confirm that in writing afterwards, so there is no ambiguity about what is connected.
- Lars Wübbena NoneA description of the data categories, who can query, and whether anyone can see usage of a single employee. Those three things first.
- Theo Gallagher NoneUnderstood. I will take those as numbered items. Let me carry on with the demo and I will come back to each one.
- Theo Gallagher NoneNow a different kind of question. I ask: which of these clients have had more than one delayed delivery complaint and an open renewal conversation? You see it combines the ticket data with the contract dates.
- Stefan Meyerhoff NoneAh, this is nice. Renewal risk is exactly what keeps me awake. Can it list them for the whole team, not one by one?
- Theo Gallagher NoneYes. It is a list, sorted, with the reason next to each name. And you can turn it into a dashboard so it refreshes every night.
- Stefan Meyerhoff NoneEvery night. So by the morning, my team has the picture.
- Theo Gallagher NoneBy seven in the morning your local time, on business days. That is the commitment, and we can evidence it from the refresh logs.
- Theo Gallagher NoneLet me show you the connectors page now. Here is your CRM, the helpdesk, the mailboxes, and your accounting system. Each has its own scope setting, and an owner on your side who approves it.
- Lars Wübbena NoneAnd the usage view you mentioned. Can a manager see which of his people asked which question?
- Theo Gallagher NoneThere is an admin view with question counts per user. That can be switched to aggregated, so only team totals appear. This is a configuration choice, and I would suggest the works council reviews it before anything goes live.
- Stefan Meyerhoff NoneYes. We must involve the works council before any decision, that is not negotiable for me. So Lars, you take the lead on that part.
- Lars Wübbena NoneFine. But I want the aggregated setting as the default, and I want it in the contract, not only in a settings page.
- Matteo Ricci NoneThat is reasonable, and I will put it to our team as a request. I cannot confirm contract wording today, but I will come back with a written answer. Let me be careful not to promise something engineering has not agreed.
- Lars Wübbena NoneThank you. That is an honest answer.
- Theo Gallagher NoneOne more thing on your data. This is the sample, and you can see two fields are empty for the Hanover site, the delivery window and the account contact. In a live set-up that would show as a gap in the brain's answer, not a wrong answer. It says what it does not know.
- Stefan Meyerhoff NoneGood. Hanover is always the messy one. Okay. Can we talk about size? The deal. Matteo, what are we looking at?
- Matteo Ricci NoneRight. For the Enterprise tier as we have scoped it, the total is £155,000. That is the deal total, so the one-off implementation is inside it, not on top. I would rather be precise than let you read it as a yearly figure.
- Stefan Meyerhoff NoneUnderstood. Total for the whole project, including set-up. I cannot commit budget on my own, you know that. My budget holder needs to see it.
- Matteo Ricci NoneOf course. Shall I prepare a short summary she can read without watching this recording? Scope, what is included, and the split between implementation and subscription.
- Stefan Meyerhoff NoneYes please. Short, not a sales brochure.
- Matteo Ricci NoneUnderstood. Two pages at most.
- Theo Gallagher NoneLet me show you the access side briefly, since Enterprise includes single sign-on. Your people would log in through your identity provider, and permissions follow the groups you already have. A key-account manager sees only the accounts in their group.
- Stefan Meyerhoff NoneSo the Bremen team does not see the Hanover clients unless we allow it.
- Theo Gallagher NoneCorrect, unless you map it that way. Your choice.
- Lars Wübbena NoneWhat happens if we decide to stop? If the works council says no after a year, for example. What happens with the data?
- Theo Gallagher NoneGood question, and I like it being asked early. It is built in your Snowflake account, so the data stays with you. We would remove our access and the brain's layer, and what remains is yours. We can write that exit plan down, with dates, as part of the review.
- Lars Wübbena NonePlease do. That helps me more than the demo, to be honest.
- Stefan Meyerhoff NoneLars, that is fair. Step by step. First your questions, then we go to the budget holder.
- Matteo Ricci NoneLet me summarise so we agree what happens next. Theo sends Lars a written note on the data categories, who can query, and the aggregated usage setting, plus the exit plan. I send Stefan the two-page summary with the deal total. Stefan, you take it to your budget holder and to the works council. Is that right?
- Stefan Meyerhoff NoneYes. And I need the works council view before anything else moves. If they say no, I do not push.
- Matteo Ricci NoneUnderstood, and I respect that. We will not rush you. The timeline we discussed stays a plan, no more.
- Theo Gallagher NoneOne last thing from me. If it helps the works council, I can join a short call with them on the technical points. Just tell me when.
- Lars Wübbena NoneThat would be useful. I will ask the others and let Stefan know.
- Stefan Meyerhoff NoneGood. Thank you both. This was useful, and the questions from Lars were the right ones.
- Matteo Ricci NoneThank you, Stefan, thank you, Lars. Best regards, and speak soon.
- Theo Gallagher NoneThanks, everyone. I will send the note this week.
- Stefan Meyerhoff NoneYou too. Goodbye, until next time.
- Lars Wübbena NoneGoodbye.
