What this says
Current to 11 Oct 26Kickoff for the eight-week Growth implementation. Femke wants orders first, but the ERP nightly export is unconfirmed. CRM and helpdesk start now. Femke asked whether the first invoice will match the order form, because Ruud will not pay what he cannot match.
What happened: Elena Novak and Laura Penhaligon walked Femke van Gestel and Mirjam Hendriks through success measures, connector owners, access, timeline and actions. The CRM and helpdesk start first while Mirjam checks whether the older ERP can give a nightly order export, with an answer promised by Friday.
Customer view: Femke's test is daily use by account managers. She will supply the questions they ask her every Monday, and wants short training sessions, not a full day.
Commercial: Femke raised two money points. Extra connectors need Ruud's approval, and the first invoice must match the order form. Elena said the order form is for forty-four thousand pounds a year and would confirm the first invoice date in writing.
Watch: Accounting and helpdesk owners are not yet named. Single sign-on is Enterprise only, so Growth users sign in individually.

Next steps
Current to 9 Oct 26- Mirjam Hendriks to confirm by Friday whether a nightly export from the order system is possible.
- Elena Novak to confirm the first invoice date with finance in writing and send the security documentation and actions.
- Laura Penhaligon to send the one-page plan and the access role document.
Risks
Current to 9 Oct 26- The order data sits in an older ERP and a nightly export is not confirmed, yet account managers want orders first.
- Accounting and helpdesk connector owners are unconfirmed and depend on Ruud and a team lead.
- Ruud will not pay an invoice he cannot match to the order form, and the first invoice date is not yet confirmed.
Opportunities
Current to 9 Oct 26- Extra connector blocks of five could be priced for Ruud if the plan needs more than the eight included in Growth.
- Femke's Monday questions give a concrete adoption case for the account managers.
Transcript
- Elena Novak NoneGood morning, everyone. Can you hear me? Femke, Mirjam, welcome. Laura is joining from the implementation side, I think she is just finding her headset.
- Laura Penhaligon NoneHere, sorry. Good morning. Headset sorted.
- Femke van Gestel NoneGood morning. Can you hear us okay? We are in the small meeting room, the big one is taken. How is the weather in Amsterdam, Elena? Eindhoven is grey.
- Elena Novak NoneGrey here also, and very wet. Thank you for asking. Shall we begin? To confirm, I sent the agenda yesterday by email. There are five points. First, what success looks like in the first weeks. Second, the connectors and who owns each one. Third, access and security, which is mostly for Mirjam. Fourth, the timeline. Fifth, the written actions and who does what.
- Femke van Gestel NoneYes, I read it. Good. Before that, last time's actions. Elena, you were going to send the user list template. Did it arrive?
- Elena Novak NoneIt did go out on Friday, as agreed. I will make sure that you have the final version in writing after today as well.
- Femke van Gestel NoneI have it, we have filled it half. The account managers are in, customer service we still discuss.
- Laura Penhaligon NoneThat's fine, we don't need it complete today. Can I start with the big picture, so Mirjam hears it too? The brain runs inside your own Snowflake account. We don't copy your data to a BB-Demo system. We build connectors from your sources into that account and then the brain reads across them.
- Mirjam Hendriks NoneOkay. So our data stays in our Snowflake. Who has access to it, from your side?
- Laura Penhaligon NoneA named set of our people during the implementation, with the access you give us, and you can see it and remove it any time. We would ask for a dedicated role for the work, not a personal login.
- Mirjam Hendriks NoneGood. A role we can switch off. I will need to create it myself, and I want to read what permissions it needs first.
- Laura Penhaligon NoneOf course. I'll send a short document listing exactly what the role needs. Read access on some things, write only to the area the brain uses. Nothing broader.
- Mirjam Hendriks NoneAnd the security part? Do you need us to fill in a form?
- Elena Novak NoneI will send you our security documentation after the call, so you can read it in your own time, and you can send me your questions.
- Mirjam Hendriks NoneYes, please.
- Femke van Gestel NoneOkay. Let me make it practical. What is the plan? What will the account managers see in the first weeks, not at the end?
- Laura Penhaligon NoneGood question. The plan is eight weeks in total. We bring the connectors in one at a time, in the order that gives you value earliest, so you don't wait until the end to see anything.
- Femke van Gestel NoneWhich first?
- Laura Penhaligon NoneMy suggestion is the CRM first, because that gives you the installer accounts and who owns them. Second the helpdesk, because that's where your delivery complaints live. Third the accounting system, for the credit queries and invoices. Then the order data.
- Femke van Gestel NoneHm. For my account managers the orders are the most important. They want to see what the installer bought, then the complaints, then credit. Can orders be first?
- Laura Penhaligon NoneIt depends on where the orders sit and how easy they are to extract. Mirjam, that's one for you: where do the orders live, and can we get a nightly extract?
- Mirjam Hendriks NoneThey live in our ERP. A nightly export is possible, I think. I need to ask the person who looks after it. It is an older system and I do not want to promise.
- Elena Novak NoneI will make sure this is written as an open point: Mirjam to confirm whether a nightly export from the order system is possible, and by when. Mirjam, which day can you give us an answer?
- Mirjam Hendriks NoneBy Friday.
- Elena Novak NoneThank you. Friday, then.
- Femke van Gestel NoneWhile you do that, we start with the CRM and the helpdesk. No waiting.
- Laura Penhaligon NoneAgreed. I'd rather get the first two connected and loading records than wait on the third.
- Femke van Gestel NoneAnd on the delivery complaints, they sit in the helpdesk as tickets, but half of them come by phone and the customer service people type them in later. So there is lag.
- Laura Penhaligon NoneThat's useful to know. The brain can only show what has been recorded, so it will show them once they are entered. We shouldn't promise live. The nightly refresh runs and is complete by seven in the morning your time, each business day.
- Femke van Gestel NoneSeven is fine for us. Now, who owns each connector on my side?
- Elena Novak NoneThat is point two on the agenda. For each connector we need one named owner on your side, someone who can answer questions about that system. Femke, do you want to propose?
- Femke van Gestel NoneCRM, me. I know it best. Helpdesk, one of my team leads in customer service, I will ask. Accounting, it is Ruud's team, so I need to ask Ruud, and I do not commit his people.
- Elena Novak NoneThat is understood. I will write it as: CRM, Femke. Helpdesk, to be confirmed by Femke. Accounting, to be confirmed with Ruud.
- Laura Penhaligon NoneOnce you have the names I'll invite them to a short intro, fifteen minutes, so each owner knows what we'll ask them.
- Femke van Gestel NoneGood. Practical. Now the question I always ask. Do the account managers use it every day? How do we make them use it?
- Laura Penhaligon NoneHonestly, adoption comes from the first useful answer. If an account manager asks about an installer before a visit and gets the orders, the open complaints and the credit position in one place, they come back. We'll build around two or three of those questions with you.
- Femke van Gestel NoneI can give you the questions. The ones they ask me every Monday. Which installers ordered less, which have open delivery complaints, who is late paying.
- Laura Penhaligon NoneThat's perfect. Please send me those as they are, in your words, not tidied.
- Elena Novak NoneTo confirm: Femke sends the typical questions to Laura. I will add it to the list.
- Mirjam Hendriks NoneHow many users is it, again? I need to know how many accounts to create.
- Elena Novak NoneThe licence is for forty users on Growth. They can be added gradually, you do not need to fill all forty at the start.
- Femke van Gestel NoneWe will begin with the account managers and a few from customer service. Not forty on the first day.
- Mirjam Hendriks NoneIs there single sign-on? So I do not make passwords.
- Laura Penhaligon NoneSingle sign-on is an Enterprise feature, so on Growth each user has their own sign-in. I'll confirm how the invitations are issued and put it in the plan, so you can see it before anyone is invited.
- Mirjam Hendriks NoneOkay. That is fine. Then I need the list from Femke.
- Elena Novak NonePoint four, the timeline. The term began on 24 Nov 2025 and runs to 23 Nov 2026. The implementation is eight weeks from now. Laura, can you give us the shape?
- Laura Penhaligon NoneRoughly: the first two weeks, access and the first two connectors. Weeks three to five, the remaining connectors and checking the records against what you see in your own systems. Then the last weeks are the account managers' questions, a training session, and handover to Elena. I'll send it as a one-page plan so it's not just what I said on a call.
- Femke van Gestel NoneTraining. Short sessions please, not a full day. Account managers hate a full day.
- Laura Penhaligon NoneShort, on their own data, in groups. Agreed.
- Femke van Gestel NoneOne question for budget. If we want more connectors than the plan, who pays, and how much? I do not decide without Ruud.
- Elena Novak NoneGrowth includes eight connectors, so you have room. If you need more, there are extra blocks of five, and I will write the price for you after checking, so you can show Ruud. I will not quote from memory.
- Femke van Gestel NoneOkay. No problem for now.
- Femke van Gestel NoneOne more. Ruud asked me: will the first invoice match the order form? He does not pay what he cannot match.
- Elena Novak NoneOf course. The order form is for forty-four thousand pounds a year, and the invoice should show the same. As to the date of the first invoice, I will check with our finance team and confirm in writing. I will not give you a date today.
- Femke van Gestel NoneGood.
- Elena Novak NoneLet me read the actions. One, Mirjam confirms by Friday whether a nightly export from the order system is possible. Two, Mirjam reviews the access role document from Laura and creates the role. Three, Femke names the helpdesk owner and asks Ruud about accounting. Four, Femke sends the typical questions to Laura and the user list to Mirjam. Five, Laura sends the one-page plan and the role document. Six, I send the security documentation and these actions in writing today.
- Femke van Gestel NoneThat is clear. Weekly check-in?
- Elena Novak NoneYes, a short call every week during the implementation, same time on Tuesday. I will send the invitation.
- Laura Penhaligon NoneFine with me.
- Mirjam Hendriks NoneFine.
- Femke van Gestel NoneGood call. Groetjes everyone, talk next week.
- Elena Novak NoneThank you all. Kind regards, and speak next week.
