What this says
As at Fri 9 Oct 2026Onboarding call on 17 May 2024 with Nadia only; Lauren was with a client. Four Starter connectors planned. Written CRM access depends on a busy IT colleague, agreed for Thursday, and the call recorder is still open.
What happened: Callie Brennan walked Nadia Bashir through admin, the connector list and dates. Nadia is the admin but cannot create an integration user.
Customer view: Nadia was candid that the complaints spreadsheet is unstable, with renamed columns and rows missing client names. She also worried about candidate data in personal mailboxes, which Callie scoped to shared client mailboxes plus opt-ins.
Watch: IT is swamped, so written access moved from Wednesday to Thursday. The call recorder details sit with Lauren and are open.
Commercial: all four hard-limit Starter connectors are earmarked. Only Nadia has used the brain so far, so single-admin dependence and delayed consultant adoption are the risks.

Next steps
As at Fri 9 Oct 2026- Nadia Bashir to deliver written read-only CRM and mailbox access to Callie Brennan by Thursday.
- Callie Brennan to send the request wording for IT and a one-page note of the fields to be mapped.
- Lauren Pilkington to supply the call recorder details.
Risks
As at Fri 9 Oct 2026- Written read-only CRM access depends on a busy IT colleague and has already slipped to Thursday.
- The complaints spreadsheet has renamed columns and rows with no client name, which weakens the first refresh.
- Nadia is the only admin and the only person logged in so far.
Opportunities
As at Fri 9 Oct 2026- If Grisedale wants sources beyond the four connectors, the additional connectors add-on or a higher tier could be raised.
- The connector status page lets Nadia run the brain without BG-Demo, supporting steady adoption.
Transcript
- Callie BrennanHello Nadia, can you hear me alright?
- Nadia BashirYeah, loud and clear. Morning. Sorry, I'm in the little meeting room, somebody's got the big one booked.
- Callie BrennanNo problem at all, morning. Right, I'll tell you the plan for the hour first, then we'll see how far we get. Three things. One, confirm who has admin and what they can see. Two, go through the sources we're connecting, in order, and what I need from your side for each. Three, agree dates, so before we switch on the refresh you know exactly who is doing what.
- Nadia BashirOkay, sounds sensible. Lauren was meant to be on but she's with a client this morning. She said to say sorry.
- Callie BrennanThat's fine, I'll send her the notes afterwards. You're the admin, so you're the one who'll live with this day to day anyway.
- Nadia BashirYeah, that's what I figured. I've logged in a couple of times but honestly I've just been poking around. It's pretty empty.
- Callie BrennanWhich is exactly right at this stage. Nothing's loaded yet, so you're looking at a clean shell. Let me share my screen so you can see the connector list as it stands.
- Nadia BashirGo for it.
- Callie BrennanRight, can you see that? So on Starter you have four connectors. That's a hard limit, so we want to spend them on the things the consultants actually look at. From the order form and what we've said so far, I've got your CRM, the consultants' mailboxes, wherever client complaints get logged, and the call recorder. Is that still the picture?
- Nadia BashirMostly. The complaints bit is a bit awkward, to be honest. At the moment it's a spreadsheet that one of the consultants started and everyone else adds to. It's not a proper system.
- Callie BrennanMm. Okay, that's useful to know. A spreadsheet can work as a source, but it needs to live somewhere stable, not on someone's desktop, and the columns need to stay put. Where does it sit?
- Nadia BashirIt's in the shared drive. I think. Let me check. Yes, shared drive, in the operations folder. But people do rename columns. Lauren hates it.
- Callie BrennanRight, so what I need from your side is, one, the file in a fixed place that you own, two, the column names locked, and three, a short list of who's allowed to edit it. Could you take that?
- Nadia BashirYeah, I can lock it down. I'll tell the consultants it's getting tidied. They'll moan.
- Callie BrennanThey always do. Okay, so that's the fourth one sorted in principle. Let's go back to the CRM, because that's the one that matters most for the first refresh. Who administers it on your side?
- Nadia BashirThat'd be me, mostly, but there's a colleague in IT who handles the actual user accounts and anything to do with permissions. I can build reports and export, but I can't make an integration user.
- Callie BrennanOkay, that's the thing I need to be careful about. I don't start a connector without written access, so what I need is a service account for the CRM with read-only permissions, and the credentials sent to me securely, in writing. Not a verbal go-ahead. Could your colleague in IT do that?
- Nadia BashirI'd have to ask. They're quite busy at the moment, so it might take a few days. Does it have to be read-only?
- Callie BrennanRead-only is what we'd want. The brain only reads, it never writes back to your CRM, so there's no reason to give it more. It also makes the conversation with IT shorter, honestly.
- Nadia BashirAh, that's a good point. I'll say that.
- Callie BrennanI'll write you a short request you can forward as it is. It lists exactly which objects we read, so nobody's guessing. Then the mailboxes: same idea, same person probably?
- Nadia BashirSame person, yeah. Do they need to be all of the consultants' mailboxes? Because some of them are, you know, personal, there's candidate stuff in there.
- Callie BrennanGood question, and worth being careful about. We'd scope it to the shared client mailboxes first, plus whichever consultants opt in. You decide the list, not me. And we can add more later without redoing anything.
- Nadia BashirOkay. That's a relief, I was a bit worried about that.
- Callie BrennanUnderstood. Now the call recorder. Do you have one running already, and can it export?
- Nadia BashirThey've been using one for a while. I don't know the details though, Lauren would. I think it's tied to the phone system.
- Callie BrennanRight, then we'll park it for Lauren. I'll put it on the list as open, not as done. I'd rather say that than guess.
- Nadia BashirFair enough. How long is the whole thing going to take, once we've got the access?
- Callie BrennanOnce the credentials are in writing, the first refresh for the CRM is usually straightforward. Mailboxes take longer because of volume. I'd expect first data in the brain within a couple of weeks, and then we sit down and check the mapping together before anyone is told it's live.
- Nadia BashirAnd the users? Because at the moment it's only me in there.
- Callie BrennanYou have fifteen licensed users. I'd hold back on inviting everyone until the first refresh is checked, otherwise the first thing consultants see is half empty and they decide it's useless. Then you and Lauren choose who comes in first.
- Nadia BashirThat makes sense. She'll want to pick the ones who'll actually use it.
- Callie BrennanYes. Okay, while I've still got the screen up, let me show you the admin area, because the aim is that you can run this without me. This is the connector status page. Each source has a last refresh time and a record count. If a count stays flat for a few days, that's your early warning something's broken at the source.
- Nadia BashirSo if the spreadsheet stops updating, I'd see it here before the consultants notice.
- Callie BrennanExactly. And if a credential is changed on your side, say IT rotate a password, the connector shows as needing reconnection and you re-enter it here. It won't lose anything it's already loaded.
- Nadia BashirRight. And adding a user, is that here too?
- Callie BrennanThat's the next tab along. Invite by email, pick a role. Admin or member is all you need to think about at this size. Have a go on yourself in a minute, but not now, I'll lose the thread.
- Nadia BashirOkay, yeah. Sorry, one more. If something goes wrong and it's not obvious, who do I ring?
- Callie BrennanRaise it through support and it'll reach the right people. Once onboarding finishes, Marcus Bell is your customer success contact for how things are going generally. I'll put both in the setup note.
- Nadia BashirLovely. I do like a setup note. Lauren's always saying nobody writes anything down.
- Callie BrennanI never hand over without one. Right, let me recap, because I want you to leave with a list. You: move the spreadsheet and lock the columns, and ask IT for a read-only service account for the CRM, plus the mailbox access, all in writing. Me: send you the request wording to forward, and a one-page note of which fields we'll map. Lauren: the call recorder details. Could you have the written access with me by Wednesday?
- Nadia BashirI'll try. Wednesday's tight, IT are swamped. Let's say Thursday and I'll chase them.
- Callie BrennanThursday works. I'll put Thursday against it. If it slips, tell me early and I'll move the next step rather than start without it.
- Nadia BashirWill do. Sorry, one last thing, the spreadsheet. Is it a problem if there are rows with no client name? There's a few from when people were rushing.
- Callie BrennanNot a problem, but I'd tidy what you can. A complaint with no client attached can't show up next to the account, which is the whole point for the consultants. Don't spend a day on it, just the obvious ones.
- Nadia BashirOkay, I'll do that when I move it. Thanks, this was a lot clearer than the email thread.
- Callie BrennanGood. I'll send the notes this afternoon, and say hello to Lauren for me. Thanks, Nadia, speak soon.
- Nadia BashirCheers, bye.
