What this says
As at Fri 9 Oct 2026Check-in on 12 Jun 2026 with Finance Director Philip Annear. A little over eleven people active daily against fifty licensed. He wants proof of what the brain saves. Term ends 27 Dec 2026. Invoices are not overdue.
What happened: Daniel Okafor reviewed usage with Philip Annear on 12 Jun 2026. A little over eleven people were active on an average day against fifty licensed.
Customer view: Philip wants the other staff using it and still cannot say what it saves. He asked for the value note to be resent and said he will read it properly.
Commercial: Invoices are not overdue and match the order form at £48k a year. The term ends on 27 Dec 2026 with renewal on 28 Dec 2026, so the renewal is booked, not held.
Watch: Questions are concentrated in a small group of account managers. Depot supervisors are not yet using it, and Daniel offered a free short session once operations gives a date.

Risks

- Question asking is concentrated in a small group of account managers, so two departures would be felt.
- Eleven daily actives against fifty licensed invites a seat reduction at renewal.
Opportunities

- Quarterly logins show wider use than the daily average suggests, which supports the value case.
Transcript
- Daniel OkaforHello, Philip. Thank you for your time, I know your Fridays are tight. Have I got you at an all right moment?
- Philip AnnearYes, I've got the half hour. Hello, Daniel. Usage first, please. How's it looking?
- Daniel OkaforSteady, and still creeping up. It's a little over eleven people active on an average day this past month, which is a few more than the previous quarter. Not a leap, but nobody's dropping away.
- Philip AnnearEleven. Out of fifty.
- Daniel OkaforOut of fifty licensed, yes, and I haven't forgotten that. I did the piece we talked about last time, looking at who has logged in at all over the quarter rather than the daily average. Would you like me to take you through it?
- Philip AnnearBriefly.
- Daniel OkaforSo the daily figure undersells it. A fair number of people come in once or twice a week, mostly around contract reviews, and they don't show in the average. So the picture is less of a gap than it looks, though I'd still say there are seats you could do without, and I'd rather say so than have you find it yourself.
- Philip AnnearThat's a straight answer. Thank you. And the people who ask the most questions?
- Daniel OkaforA small group of account managers, as I suspected. It's not one person, which is the good news, but it is concentrated. If two of them moved on, you'd feel it. That's worth knowing rather than worrying about.
- Philip AnnearThen I want the others using it. What stops them?
- Daniel OkaforMostly habit, I think, and I wouldn't blame anyone for that. The depot supervisors have their own ways of working and the brain isn't in their day yet. I can run a short session for them, or for the satellite depots, if you think they'd give it an hour. I'd keep it practical, tied to the excursion tickets they already deal with.
- Philip AnnearWho runs it, you?
- Daniel OkaforMe, yes. No charge, it's part of looking after the account. I'd just need someone on your side to get people in the room.
- Philip AnnearI'll ask the operations lead. I can't promise a date.
- Daniel OkaforNo, and I wouldn't ask you to. Whenever suits them. Now, support. There was one ticket this past month and none of them were high priority. Just to close the loop, that's all handled and nothing's sitting open with your name on it.
- Philip AnnearGood. Invoices?
- Daniel OkaforNothing overdue. Invoiced matches the order form, forty-seven thousand five hundred a year, same as last time we spoke.
- Philip AnnearRight. And the value note you mentioned at the review. Did it arrive?
- Daniel OkaforIt went to you after the review, and I wouldn't be surprised if it's sitting in a pile. I can send it again today so it's at the top. It shows the questions asked by team, the month-on-month movement, and how concentrated the asking is.
- Philip AnnearSend it again. I'll read it properly this time.
- Daniel OkaforWill do. And on the question underneath all of it, what it saves you, I'd rather the note speak for itself than me stand here asserting it. If it doesn't convince you, tell me, and I'll go and find a better measure.
- Philip AnnearI will. I'm not hard to read on that.
- Daniel OkaforNo, which I appreciate.
- Philip AnnearRenewal is the end of the year, then. I have 27 Dec 2026 for the end of the contract.
- Daniel OkaforThat's right. The term ends on 27 Dec 2026, and the renewal date is 28 Dec 2026. You'll get the paper from me and Tom Ashdown in good time, with the terms set out in full. Nothing happens on autopilot.
- Philip AnnearGood. I've been warned about invoices before and I'd like to be warned about this.
- Daniel OkaforYou will be. Let me recap the loose ends. I'll resend the value note today. I'll look at a short session for the depot supervisors once your operations lead has a date. And I'll bring the renewal paper to you well ahead of the notice period.
- Philip AnnearFine. Anything from me? No. That's all.
- Daniel OkaforThen thank you, Philip. Enjoy the weekend, and I'll come back to you by the end of next week. Best wishes.
- Philip AnnearCheers, Daniel. Goodbye.
