What this says
Current to 11 Oct 26Matteo Ricci walked Kilcarra's Operations Director and CFO through a Starter proposal. Both said they had what they needed and asked for the order form. The evidence does not show whether it was signed.
What happened: The proposal call covered Starter for one distribution operations team, four connectors, a four-week implementation and a nightly refresh by seven in the morning Irish time. Conor Fitzgerald confirmed annual payment was fine.
Customer view: Roisin Clarke asked about connector ownership and the build timeline. Conor asked about support, legal terms and who fixes problems during the build.
Commercial: Matteo quoted twenty-eight thousand pounds all-in for year one. He said a signed order form that week would mean a go-live by early November.
Watch: The call is the last record, so the outcome is not shown. Conor also asked about upgrading, and Matteo pointed to Growth.

Next steps
Current to 9 Oct 26- Matteo Ricci to confirm whether the order form, timeline and IT checklist were sent and whether the order form is signed.
Risks
Current to 9 Oct 26- The evidence does not show a signed order form, so the early November go-live depended on signing that week.
- Kilcarra owns the connectors in its Snowflake account, so changes it makes itself could affect sync.
Opportunities
Current to 9 Oct 26- Conor asked about upgrading later, so Growth is a natural next step once Starter is live.
Transcript
- Matteo Ricci NoneGood morning, Roisin, Conor. Thank you both for joining. I wanted to run through the proposal we discussed and make sure you're clear on what the investment looks like.
- Roisin Clarke NoneYes, we're keen to hear it.
- Matteo Ricci NoneSo you're looking at the Starter tier. That's designed for a single team, your distribution operations team, in your case, with up to fifteen users. Four connectors to your Salesforce, your call recorder, your ERP and your helpdesk. Does that cover it?
- Conor Fitzgerald NoneYes, that's what we talked about.
- Matteo Ricci NoneRight. The service level includes a full data refresh every night by seven in the morning, Irish time. So you wake up with current data. Search, chat and the pages feature. Implementation is four weeks.
- Roisin Clarke NoneAnd what's the cost of all this?
- Matteo Ricci NoneThe all-in cost for year one, including implementation and the subscription, is twenty-eight thousand pounds.
- Conor Fitzgerald NoneAnd you need that all upfront, or can we spread it?
- Matteo Ricci NoneThe subscription is annual, paid in advance. But if quarterly works better for your process, I can arrange that.
- Conor Fitzgerald NoneAnnual is fine. What about support? What happens if something breaks?
- Matteo Ricci NoneWith Starter you have six-monthly check-ins with my team and a helpdesk for any questions. First response is four business hours on a P1 ticket. The service level also covers availability: if the brain is down and we miss our ninety-nine point five percent target, we credit you five percent of a month's fee.
- Roisin Clarke NoneOkay. And once you've built this, do we own the connectors? Can we make changes ourselves?
- Matteo Ricci NoneTo be precise, you own all your data and all the connectors are in your Snowflake account. You can change them, but we'd recommend coming to us if you want to add a new source or modify the ones you have, because the brain needs them to stay in sync.
- Conor Fitzgerald NoneFair enough. So what's the legal side? Do we sign an order form?
- Matteo Ricci NoneYes. We have a master service agreement that covers the terms and conditions, and then a one-page order form with your company name, the tier, the cost, the term and the renewal date. Once you sign, we have a four-week implementation and you're live.
- Roisin Clarke NoneGot it. And the four weeks, what does that look like week by week?
- Matteo Ricci NoneWeek one, we configure your connectors and map your data. Weeks two and three, we build the search and chat features on your systems, and test everything thoroughly. Week four, final user testing, a training session, and go-live.
- Conor Fitzgerald NoneOkay. And if something goes wrong during the build, who fixes it?
- Matteo Ricci NoneMy team is responsible for the implementation. If your systems change or if there's a problem on our side, we fix it. If it's a problem with your data quality, we help you work through it, but you own the solution.
- Roisin Clarke NoneRight. When would you want to start, if we sign soon?
- Matteo Ricci NoneIf we have a signed order form this week, we'd kick off implementation next week. So you'd be live by early November.
- Conor Fitzgerald NoneThat's good. And if we want to upgrade later, what's the process?
- Matteo Ricci NoneYou'd move to Growth, which adds more users, more connectors, dashboards, and quarterly business reviews. You'd pay the difference in your next renewal.
- Roisin Clarke NoneOkay. I think we have what we need. Any other questions, Conor?
- Conor Fitzgerald NoneNo, I think we're good. When do we get the order form?
- Matteo Ricci NoneI'll email it to you today, and I'll include a timeline and a checklist for your IT team. Please do share any questions you have, and I'll confirm all of this in writing.
- Roisin Clarke NonePerfect. Thank you.
- Matteo Ricci NoneThank you both. Speak soon.
