What this says
Current to 11 Oct 26Lewis Kerr and Theo Gallagher demoed the brain to Neil Barlow, who called it quite impressive. Lewis quoted sixty-two thousand for year one, which differs from the discovery quote. Neil wants his IT team to review security.
What happened: Lewis and Theo Gallagher demoed the brain on 28 Sep 2026 using Ravensholt's client database and email. Neil Barlow called it quite impressive and asked about dashboards, sharing, connectors and limits.
Commercial: Lewis quoted sixty-two thousand for year one, subscription and implementation together, invoiced upfront. At discovery he gave £44,000 and £12,000 separately, so the proposal needs one reconciled price.
Watch: Neil said his IT team would want to review the security material. Only Neil attended, and the evidence does not show who decides or signs.
Next: Lewis will send a formal proposal and touch base in a couple of weeks. Theo offered an IT call.

Follow-up
Next steps
Current to 9 Oct 26- Lewis Kerr to send a formal proposal with one reconciled price and terms.
- Theo Gallagher to set up the security and architecture call with Ravensholt's IT team.
- Lewis Kerr to touch base with Neil in a couple of weeks.
Risks
Current to 9 Oct 26- The year-one figure quoted on the demo differs from the £44,000 and £12,000 quoted at discovery, which could undermine trust.
- Security review by Ravensholt's IT team is still outstanding before any decision.
- Only Neil attended, so the buyer and signatory are not shown.
Opportunities
Current to 9 Oct 26- Neil responded well to the email and client record linking, and to the dashboards builder.
- Growth's forty users and eight connectors leave headroom for the whole client-service team.
Transcript
- Lewis Kerr NoneHi Neil. Thanks for making time. So this is our demo of the brain with your data. We've got about 49 minutes, and Theo here will walk you through what it does. The idea is to show you how you can query across your client database and the interactions you have with them, all in one place.
- Neil Barlow NoneSounds good. We've been curious about this for a while.
- Theo Gallagher NoneRight, Theo here. I'm just going to share my screen. So what we've done is connect to your client database and your email system. The brain has indexed the client names, their assets under management, and all the email interactions you have. Now I can ask the brain questions. For example, 'Show me all our clients who have had an email conversation in the last month and their AUM together.' Watch this, it brings back the client list with their assets and the recent interactions side by side.
- Neil Barlow NoneThat's quite impressive. So that's my Outlook data?
- Theo Gallagher NoneIt is, yeah. Anything you've sent or received about that client. The brain has linked your emails to the client record. It doesn't copy the email content anywhere, it stays in your Microsoft 365. The brain just reads it and links it.
- Neil Barlow NoneOkay, good. And this is for the whole team? All our client-service people?
- Theo Gallagher NoneIt can be, yes. Growth includes forty users, so everyone in client services can use it if they want. They log in, they can search, they can ask questions about clients, they can build dashboards to track things.
- Neil Barlow NoneSo if a client calls in, we can see the whole conversation history across email and the previous interactions?
- Theo Gallagher NoneExactly. You can search 'show me all interactions with the Smith family office in 2026' and get back all emails, all notes, everything in order. No more digging through folders.
- Lewis Kerr NoneAnd that's where the value is. Right now, if a client calls, someone's flipping between the CRM, Outlook, maybe a spreadsheet. With the brain, it's one query.
- Neil Barlow NoneRight. And you were saying you have a dashboard builder?
- Theo Gallagher NoneYeah. Growth comes with a dashboards feature. You can drag and drop, no code, and build a view of whatever metrics matter to you. So you could have a dashboard showing clients with no interaction in the last ninety days. Or assets by client segment. Or email response times by team member. Anything you want to track.
- Neil Barlow NoneAnd we can share those with the team?
- Theo Gallagher NoneYou can. You build it, you share the link, and your team sees a live dashboard that updates when the data updates.
- Lewis Kerr NoneAnd all of this is in your own Snowflake account, so the data's always yours. We're just running the brain on top of it.
- Neil Barlow NoneGot it. So what's the implementation timeline?
- Lewis Kerr NoneGrowth is eight weeks. You'd start immediately after signing. We handle the connectors, your email system and your client database, and we work with your IT team on the security side. By the end you're live, your team's been trained, and you're asking the brain questions.
- Neil Barlow NoneAnd the cost?
- Lewis Kerr NoneGrowth is sixty-two thousand for year one, all-in. That includes the subscription and the implementation. It's invoiced upfront.
- Neil Barlow NoneAnd year two?
- Lewis Kerr NoneYear two is just the subscription without the implementation fee. So a lower number then.
- Neil Barlow NoneOkay. And how many connectors does Growth include?
- Theo Gallagher NoneEight. So you've got your email system, your CRM, and you've got room to add more. If you wanted to connect your Slack or your calendar or another system, you can do that.
- Neil Barlow NoneNice. And if something goes wrong, or we hit a limit?
- Lewis Kerr NoneYou're on Growth, so that comes with quarterly business reviews with our Customer Success team. If you hit connector limits, you can add more connectors. If you hit user limits, same thing. All scalable.
- Neil Barlow NoneOkay. And security, I'm guessing you have something to say about that.
- Theo Gallagher NoneWe do. The brain runs inside your Snowflake account. So your data doesn't leave your infrastructure. We don't see it, we don't store copies. For Growth, that's included. We've got documentation on the controls, the encryption, how the refresh happens every night. I can share all that with you.
- Neil Barlow NoneGood. I think we'd want our IT team to have a look at that.
- Theo Gallagher NoneAbsolutely. I can set up a call with them whenever suits. We'd walk through the architecture, answer any questions.
- Lewis Kerr NoneSo next steps, I'll send you a formal proposal with the pricing and terms. You have a think, chat internally, and let's say we touch base in a couple of weeks. Sound okay?
- Neil Barlow NoneSounds good. Thanks, both of you.
- Lewis Kerr NoneCheers, Neil. Speak soon.
